SAP Note Header Data Symptom When you archive certain tables from the Controlling area (COEP, COEJ, COSP, COSS, ...), several archiving objects are possible. It is not always immediately obvious which of these archiving objects should be used on any particular occasion. There are no suitable analysis programs to help you. Reason and Prerequisites The system needs further development. Solution As of Release 4.6A analysis programs have been developed which are designed to assist you with the above-mentioned problem. You can obtain these in advance for Releases 3.1I, 4.0B, 4.5B and 4.6B. Procedure: 1. For Release 4.6C and higher: All listed programs are in the standard. 2. For Release 4.6B: Apply the Support Package attached to this note corresponding to your release. 3. For Releases 4.5B, 4.0B, and 3.1I: Apply the Support Package attached to this note corresponding to your release. As an alternative, you can import the files K900906.U4B and R900906.U4B according to Note 13719. You can find them on the Sapserv computer relevant for you in the directory /general/R3server/abap/note.0138688. You can ignore warning messages that may occur when you import the files. After importing the transport, apply the corrections from Note 447467. You will then have the following programs available: 1. RARCCOA1 - Analysis of CO tables for archiving objects: CO_ITEM, CO_PROCESS, CO_KSTRG, RE_RNTL_AG, CO_COSTCTR, PS_PROJECT, CO_ORDER, PP_ORDER, PM_ORDER, PR_ORDER, SD_VBAK, COPA2_*. Step 1 - Creation of a data extract. 2. RARCCOA2 - Analysis of CO tables for the above archiving objects. Step 2 - Evaluation of the data extract. 3. Solution

As of Release 4.6A analysis programs have been developed which are designed to assist you with the above-mentioned problem. You can obtain these in advance for Releases 3.1I, 4.0B, 4.5B and 4.6B. Procedure:

1. For Release 4.6C and higher: All listed programs are in the standard.

2. For Release 4.6B: Apply the Support Package attached to this note corresponding to your release.

3. For Releases 4.5B, 4.0B, and 3.1I: Apply the Support Package attached to this note corresponding to your release. As an alternative, you can import the files K900906.U4B and R900906.U4B according to Note 13719. You can find them on the Sapserv computer relevant for you in the directory /general/R3server/abap/note.0138688. You can ignore warning messages that may occur when you import the files. After importing the transport, apply the corrections from Note 447467.

You will then have the following programs available:

Analysis of CO tables for archiving.

Use

Programs RARCCOA1, RARCCOA2 are used to analyse CO tables in the preparatory phase for archiving CO data.

Features

The table analysis is carried out in two steps. First report RARCCOA1 is called up, and then report RARCCOA2. Program RARCCOA1 counts the entries of required CO tables, assigns them explicitly to an archiving object and creates a data extract with the required information. This activity can take a considerable time depending on the number and size of the tables to be analyzed because all entries for the tables chosen have to be read. Report RARCCOA2 reads this dataset and processes it as appropriate. You receive a list as a result of the analysis in which the number of the entries in these tables is compared with the archiving objects. The list first displays a summarization of the data generated by program RARCCOA1. You can obtain more information by clicking on the totals line. In addition, you can set filters (for example, only analyze the data for one archiving object in detail), choose other sortings (for example by fiscal year) and change the summation. More information on this can be found under "Extended help -> Cross-Application Components (CA)" under the key word of the ABAP List Viewer. The division of the analysis into two steps enables you:

¡ to separately create the data extract, which (as mentioned above) can take a considerable time.

¡ the multiple evaluation of the same data extract.

The programs can analyze the following CO tables:

¡ COEP

¡ COEJ

¡ COSP

¡ COSS

¡ COST

You can choose in the selection screen of report RARCCOA1 which of these tables is to be analyzed. The programs consider the following archiving objects:

¡ CO_COSTCTR

¡ CO_ITEM

¡ CO_KSTRG

¡ CO_PROCESS

¡ COPA2_*

¡ PM_ORDER

¡ PP_ORDER

¡ PR_ORDER

The analysis is always carried out for all of these objects.

Activities

1. Execute program RARCCOA1. You can decide in the selection screen which of the tables you wish to analyze. All tables are proposed as a default. You should bear in mind that the creation of the data extract can take a long time when large quantities of data need to be analyzed (see section "Features" above). You should plan it as a batch if necessary.

2. Execute program RARCCOA2 online to evaluate the data extract. You can repeat this evaluation as often as you like. The program displays the data relating to the data extract last created.

Program RARCCOA1 has previously been executed for all tables (standard setting). (The example does not represent typical data, as the list was taken from a development system). Below you can find brief explanations regarding some of the information which is contained in table analysis.

l "System": name of the system in which the evaluation is carried out.

l "Evaluation at": this date specifies when report RARCCOA2 was called up, meaning the evaluation of the data extract previously generated.

l "Data extract generated on": this date specifies when report RARCCOA1 was executed.

l "Analyzed tables: ": tables which you chose for analysis in the selection screen of report RARCCOA1. For tables which were excluded from the analysis, the number of table entries assigned to an archiving object is 0 (zero).

The actual evaluation - the list - states how many entries for the respective table and how many entries in the system (column 'ALL') are available in total. It does not inform you which entries can or should actually be archived. The system cannot determine how long you need data or want to retain it in the system, for example. You should pay particular attention to the following entries in the list:

¡ Empty field for "Object": there is not an archiving object responsible for these table entries or none is known to the program.

¡ Archiving object CO_ITEM: All line items (COEP, COEJ, ...) can be archived using CO_ITEM. However, you are recommended to take the other cost objects into account as well.

¡ Archiving object CO_COSTCTR: CO_COSTCTR also stands for CO_CCTR_ID, CO_CCTR_PL and CO_CCTR_EP (and CO_ALLO_ST). You have to decide in another step which object should actually be used (see reports RARCCOAP and RARCCOAA). You are recommended not to use archiving object CO_CCTR_ID. Use archiving object CO_COSTCTR to archive actual data.

Preconditions

The analysis of CO tables using this report is recommended particularly when Allocations (assessment, distribution and periodic reposting) are in use and are frequently repeated or reversed.

Features

The program calculates how many entries for the chosen tables can be archived in which fiscal years and controlling areas by using archiving object CO_ALLO_ST. It then processes the data calculated and displays it in the form of a list.

You are recommended to use this report if actual data must be retained for cost centers but you no longer need planning data.

Features

The program reads all entries for the tables chosen and determines which of them can be archived by archiving object CO_CCTR_PL and which selection criteria you can use (fiscal year, controlling area). It then processes the data determined and displays it in the form of a list. The program analyzes the following CO tables:

¡ COEJ

¡ COSP

¡ COSS

¡ CPST

The program considers archiving object CO_CCTR_PL.

Activities

Execute program RARCCOAP. You can decide in the selection screen which tables are to be analyzed. All are proposed as a default. You obtain the required information as a result displayed in the form of a list.
