Information structures of type C without period reference (i.e. without period field or with blank period field SPMON, SPTAG, SPWOC, or SPBUP) containing data on the current inventory ("inventory information structure") 3. Information structures of type D which (as a rule) do not contain any data themselves but are filled with data from an inventory information structure and a movement information structure each during runtime of the standard analysis. The type-D information structure allows to display stock data for any period in the past in the standard analysis report and display key figures for the inventory and for movements in the same report. The differentiation between inventory structure and movement structure is required to be able to calculate stock values for any period in the past. Starting from the current stock from the inventory structure, all receipts from the movement information structure are subtracted up to the desired period in the past, and all issues are added. This results in the stock value at a particular point in time in the past. For the SAP standard analyses of Inventory Controlling, the following information structures are delivered: S031: aggregated movement data S032: current stock data S033: detailed movement data per document, material and day S034: movement data for batch analysis S035: stock data for batch analysis S038: type-D structure for batch analysis S039: type-D structure for the remaining standard analyses There is no special analysis report for information structure S033. It is used for the detail display in all stock analyses. Information structure S094 plays a special role. The data in this information structure are not updated online but constructed using Report RMCBDISP (see the documentation for long-term planning, Transaction MCBZ). As of Release 4.0, self-defined information structures of types C and D can be created and thus stock values can be displayed in self-defined standard analyses. For a setup of the SAP information structures and the self- defined ones, different programs are available: 1. Standard information structures (movements) are set up using programs RMCBNEUA (Transaction OLI1) and RMCBNERP (Transaction OLIZ). 2.     Reason and Prerequisites

    In Inventory Controlling and in the Retail Information System (RIS), we can differentiate between three types of information structures:

    1. Standard information structures with period reference for movements ("movement information structure")

    2. Information structures of type C without period reference (i.e. without period field or with blank period field SPMON, SPTAG, SPWOC, or SPBUP) containing data on the current inventory ("inventory information structure")

    3. Information structures of type D which (as a rule) do not contain any data themselves but are filled with data from an inventory information structure and a movement information structure each during runtime of the standard analysis. The type-D information structure allows to display stock data for any period in the past in the standard analysis report and display key figures for the inventory and for movements in the same report.

    The differentiation between inventory structure and movement structure is required to be able to calculate stock values for any period in the past. Starting from the current stock from the inventory structure, all receipts from the movement information structure are subtracted up to the desired period in the past, and all issues are added. This results in the stock value at a particular point in time in the past. For the SAP standard analyses of Inventory Controlling, the following information structures are delivered: S031:aggregated movement data S032:current stock data S033:detailed movement data per document, material and day S034:movement data for batch analysis S035:stock data for batch analysis S038:type-D structure for batch analysis S039:type-D structure for the remaining standard analyses There is no special analysis report for information structure S033. It is used for the detail display in all stock analyses. Information structure S094 plays a special role. The data in this information structure are not updated online but constructed using Report RMCBDISP (see the documentation for long-term planning, Transaction MCBZ). As of Release 4.0, self-defined information structures of types C and D can be created and thus stock values can be displayed in self-defined standard analyses. For a setup of the SAP information structures and the self- defined ones, different programs are available:

    1. Standard information structures (movements) are set up using programs RMCBNEUA (Transaction OLI1) and RMCBNERP (Transaction OLIZ).

    2. Information structures of type C (inventory information structures) are set up using program

    3. For deleting and copying versions of all types of information structures, programs RMCSISCP (Release 4.X) and RMCVISCP (for Release 3.1 only) (Transaction OLIX) are available.

    For Releases 3.1I - 4.6B, program RMCBMSEG is available in addition. It has the same functions as program RMCBNEUA but differs in the selection options. RMCBNEUA allows to select the documents to be set up by plant and/or document number, while RMCBMSEG can select by plant and/or posting date. As of Release 4.6C, selection by posting date or material document number is possible only. For special applications, there is program RMCBMMAT. It serves for correcting the values for individual materials (Note 111691). Please note: ************************************************************************ Program RMCBNEUB can set up inventory information structures only in a period where no documents are posted for the materials management and accounting areas. This results from the fact that these information structures only contain the current values independent of the periods. The setup program might overwrite the valid data record generated by posting the current document with obsolete values. Similarly, the data of the movement information structures referring to open posting periods of materials management (MM) and accounting (FI) can be set up only in a period where no postings are made. This restriction is not due to the program but results from basic considerations and must therefore be observed. ************************************************************************

    Solution

    Please refer to the notes given under "Related notes". The corrections described there are a precondition for the correct functioning of the setup programs. Carrying out the setup of statistical data: ******************************************* Standard procedure (recommended proceeding) All steps described below are carried out in a period where no material and accounting documents are posted.

    1. Making a backup copy

    Use program RMCSISCP (Release 3. X: RMCVISCP) to copy the data of version '000' of all information structures to be set up into a backup version (e.g. '&(1'). By selecting function 'Initialize target version', the target version can be deleted automatically before copying. Please note that this function always deletes ALL (!) data. Restrictions entered under 'Data source' on the selection screen do not limit the number of records deleted. (Deletion of selected data records is possible using the "Delete version" function or using the Copy Management tool (Transaction MCSZ); see step 2.)

    2. Deleting the data in version '000'

    The data in version '000' are deleted using program RMCSISCP (Release 3.X: RMCVISCP). Please make sure that the selection screen does not contain any entries that restrict the number of data records to be deleted. Before the setup, version '000' must not contain any data records. Please check this using the Data Browser (Transaction SE16).

    3. Setting up the inventory information structures (type C)

    Start program RMCBNEUB and enter the names of the information structures of type C to be set up into the field "Information structure to be set up". For the SAP standard analyses, these are S032 and (if you use batch analysis) S035. If self-defined information structures are active in the system, specify all self-defined structures of type C. With regard to performance, it is better to combine all structures to be set up by the same program in one program run than to schedule the program several times for different information structures.

    Enter version '000' in the field "Save as version".

    As of Release 4. 6C, choose the "Only valuated stocks" option under "Restriction of stock data". This option has not been available in Releases 3.1I - 4.6B (see the section "Further explanations regarding the selection parameters"). Here, you can also restrict the setup to individual plants or materials. This restriction should only be made, however, if the posting-free period is too short for setting up all data and needs to be distributed to several setup runs.

    Finally, choose a unique name for identifying the program run under the option for controlling the setup run, and mark the "New run?" option. This option should always be chosen, except if there is a setup run to be explicitly continued after having been terminated due to a timeout for example. The termination date and time need to be chosen in a way that the program run is interrupted at the end of the posting-free period at the latest.

    With the specified settings, Report RMCBNEUB can be carried out online or as batch job.

    Note:

    4. Setting up the data from material documents (movement information structures)

    Data from material documents are updated in movement information structures of type "Standard". The SAP standard movement information structures are S031, S033, and S034. They are set up using program RMCBNEUA (like self-defined standard information structures of applications 03 and 40 active in the system). Program RMCBNEUA is operated as described for RMCBNEUB in the previous section. It differs only in the selection options on the screen "Restriction of document data".

    Please make sure, however, that the runtime name for RMCBNEUA differs from the one you chose for program RMCBNEUB.

    5. Setting up the data from accounting documents (movement information structures)

    Apart from the material documents, the accounting documents that change stock valuation have to be taken into account when setting up the movement information structures. For this reason, another setup using program RMCBNERP is required for information structures of type "Standard" in applications 03 and 40. This program is operated in the same way as programs RMCBNEUB and RMCBNEUA. It also differs in the selection options on screen "Restriction of document data". Since accounting documents refer to the company code, there is a corresponding selection criterion "Company code" which does not exist for the material documents that refer to a plant.

    When executing RMCBNERP, please also make sure that the runtime name differs from the ones chosen for the other setup programs and that the "New run?" option is marked.

    After step 5, the setup is complete. The update of material and accounting documents can be continued.

    Note: Steps 3 through 5 can be carried out in any order or in parallel. The sequence does not have any effect on the completeness or correctness of the data. The procedure described differs from the general recommendations for setting up LIS information structures in the fact that the data is stored directly in version '000' during setup. The setup version is not copied to the active version in order to keep the time required for setup as short as possible. As a matter of course, you can also use the LIS standard procedure (1. backup copy, 2. building a setup version, 3. copying the setup version to the active version '000'). Procedure with reduced posting-free time With large data volumes, the setup of material document data using RMCBNEUA may require more posting-free time than available in the time frame. In this case, the following procedure can be used. All data need absolutely be stored directly in version '000'.

    1. Creating a backup copy

    The backup copy is created as described above for the standard procedure. The copy is made during system operation, however. This means that the data are complete only up to the time the copy process is started.

    2. Deleting the data in version '000' - Part 1

    With large data volumes, the deletion of the data using program RMCSISCP (Release 3.X: RMCVISCP) needs a long time. For this reason, it makes sense to delete the data in version '000' already during system operation. When deleting during system operation, only the data records are kept that are generated between the end of the deletion run and the beginning of the posting-free time as well as some of the data records posted during the deletion process.

    3. Beginning of the posting-free time

    The following steps 4 through 7 must be carried out during a time where no material and invoice verification documents are posted. Steps 5 through 7 may be carried out in parallel.

    4. Deleting the data in version '000' - Part 2

    Program RMCSISCP (Release 3. X: RMCVISCP) deletes the remaining data in version '000'. Please do make sure that no data records are left in version '000' before carrying out the following steps.

  • All information structures of type C are set up using program RMCBNEUB as described above for the standard procedure.

    6. Setting up the data from material documents of open MM periods

    The information structures of type "Standard" for movements in applications 03 and 40 are set up for the periods that are open for postings in materials management (MM).

    As of Release 4. 6C, use program RMCBNEUA with the option "Selection by posting date' for this purpose. For the posting date, enter the range from the first calendar day of the first open period until the last calendar day of the last open period. The remaining settings are the same as described for the standard procedure.

    In Releases 3.1 - 4.6B, program RMCBMSEG is available for setting up the movment data with selection by posting date.

    7. Setting up the data from accounting documents of open FI periods

    In all releases, Program RMCBNERP is used to set up the data relevant for inventory controlling in the open FI periods (also with the additional selection by posting date).

    8. End of the posting-free time

    After steps 5 through 7, all data records from the information structures that may be changed by the posting of new documents have been set up. The following steps can be carried out any time as batch job during system operation.

    9. Setting up the data for material movements in closed MM periods

    Setup is carried out using program RMCBNEUA (as of Release 4.6C) or RMCBMSEG (Release 3.1 - 4.6B). Please make sure that only documents in closed MM periods are selected per posting date.

    10. Setting up the data from accounting documents of closed FI periods

    Setup is carried out using program RMCBNERP. Please make sure that only documents from closed FI periods are selected per posting date.

    With this step, setup of the stock and movement data has been finished.

    Alternative procedures The backup and deletion of the data in information structures can be further sped up using the copy procedure on database level described in Note 42944. That note refers to the Oracle database since standard commands are described but it can also be applied to other databases without any problems. If no backup copy of the information structure and none of the versions stored in the information structures are needed any longer, you can delete and recreate the database table using the database utilities SE14. *********************************************************************** Partial setup: In certain cases it makes sense to set up single periods of an information structure only. In this case, version '000' must NOT be chosen directly as target version but a working version must be created first. From this working version, exactly the periods that are to be replaced in version '000' have to be copied there. This procedure is required because revaluation documents may generate data records in the follow-up period. If you choose documents with a document date between 01/01/2002 and 03/31/2002 for setup, for example, to correct the statistics for months 01.2002 through 03.2002, additional data records for month 04.2002 are generated, if revaluation documents are among the selected documents. By copying only the data records for months 01.2002 through 03.2002 from the working version to the active version, you can avoid duplicate revaluation data records in month 04.2002. ************************************************************************ Note 518876 describes program RMCBNEWD. The program carries out the steps of the "procedure with reduced posting-free time" automatically in the correct order. The program should be scheduled once per company code. It cannot be used for setup from archived documents. You can test the correct functioning of the update of self-defined movement information structures by setting up documents from closed periods. For the test, create versions other than '000' in the namespace between '&(0' and '&(Z'. With the setting up of inactive versions for a test, you can also estimate the required runtime. Further explanations regarding the selection parameters:

    l Save as version

    Determines the contents of field "Version" (VRSIO) in all information structures. Data from the online update are always saved as version c000' (aktive version). Versions '&(O' through '&(Z' are intended for testing the setup and for procedures with partial setup. This way, you can make sure that the tests do not alter the current statistics data and cause errors in the standard analysis reports. As a rule, the data from version '000' are displayed in the standard analyses. If the option for freely selecting a version is active in the user settings, an additional field is displayed on the selection screen where you can choose the version the data are to be read from.

    l Delete/create indexes ---------------------

    Please note that this function must not(!) be used, if several setup runs for the same information structure are carried out in parallel. For further explanations see the F1 help for this function.

    l Options "Only valuated stocks" and "All stocks" -----------------------------------------------

    (RMCBNEUB only and as of Release 4.6c) If you choose the option "Only valuated stocks", all inventory- managed materials including made-to-stock sales order stocks are set up. This option is preset for all materials that are taken into account in inventory controlling according to the SAP standard delivered. Choose option "All stocks", if you want to set up self-defined information structures where additional sales order stocks have been considered.

    l Runtime name ------------

    Serves for being able to continue an interrupted setup. Under this name, the first document that has not been processed is searched for and its processing is started. Runtime name and document number are stored in Table TMCW3.

    l New run -------

    If this indicator is set, the data of all documents selected are set up. If the indicator is not set (as preset in the standard), the program checks whether there are documents that have already been processed under the specified runtime name. If this is the case, the program does not process all selected documents but only the ones that have not been processed yet. Please note: You need to make sure (e.g. by creating a corresponding variant) that the specifications on the selection screen for a restart are the same as for the first run. Otherwise, incorrect data are generated. The program cannot ensure identical specifications on the selection screens automatically.

    l Termination date and time -------------------------

    Here you can specify when the setup should be terminated at the latest. As a rule, the end of the posting-free time is entered here.

    l Archiving run -------------

    If a number of an archiving run is specified in this field, the document information is not read from the current document tables but from the archive.
