Registration Guide for Graduation 2019

Student login

Go to: https://www.gownhire.co.uk/Gownhire/FindInstitution.aspx

You can search for your Institution if using gownhire.co.uk for the first time.

If you are an existing customer, you can enter your Email address and Password to login (if you have never booked tickets or a gown before you are a new customer).

You can first perform an Institution search, and then select your institution within the results dropdown. Type in Middlesex (do not use Evaluation – this is just an example!)

After submitting, you will be asked to enter your StudentID, Surname and Email before you can progress to the Gownhire website. DO NOT click on Buy Your Graduation Outfit unless you want to purchase your gown to keep (somewhere in the region of £300). Click submit. If the site shows a calendar with dates and asks you to submit your graduation certificate you have asked to buy a gown and need to go back a page.

The next page will already have your allocated ceremony date and time pre-populated. Do not change your allocated ceremony. If you cannot attend your allocated ceremony please contact the graduation office on 0208 411 6770 or [email protected] If you change the ceremony the registration will reject at our end. Do not book in if you want to change the ceremony – if you do this you will have to cancel and start over again. Again, DO NOT click on Click Here to Buy unless you want to purchase a gown to keep. Click on submit.

Your level of award and name of award is preassigned to you. If you need to change this for any reason please contact the graduation office on 0208 411 6770 or [email protected] Click on Next.

If you are using the Gownhire website for the first time, you are required to complete a short registration form to create a user profile. Once created, you can login via your chosen email and password. Filling in this form DOES NOT register you to attend your ceremony – it simply creates an account for you to enable you to register for your ceremony.

This page is your “home page” which shows the ceremony you would like to attend along with the level of your award. If anything is incorrect please contact the graduation office on 0208 411 6770 or [email protected].

You cannot amend your ceremony – if at any point you need to do this you must contact the graduation office

This page is NOT confirmation that you have registered to attend your ceremony – it is a home page showing how far you have progressed with your registration for the ceremony. Under ORDER PROGRESS you will see that TICKETING/CATERING shows as Not Purchased. You must click on the CLICK HERE TO START YOUR ORDER button to “purchase” a ticket for yourself and any guest tickets you require.

Select ‘Click Here to Start Your Order’ to order your tickets. By entering this page the website will automatically allocate you a student ticket - you must click on submit even if you don’t want to order any guest tickets– this is how we know you would like to attend the ceremony and a seat will be allocated to you.

Guest tickets can be booked up to a maximum of two tickets at £30 each in the first instance. Children under the age of 5 cannot attend the ceremony in the main marquee and any children over this age must have a ticket purchased for them.

If you have extra guests with children who wish to watch the ceremony via the lecture theatre you must book free of charge lecture theatre tickets for them – please include the

children in the number of tickets (children under the age of 2 do not need a ticket as they will sit on adults laps).

In the additional information box please enter any special requirements that you have – these should be disability requests for yourself or your guests. We do NOT need to know about dietary requirements or requests for extra tickets.

Do NOT click on Skip Ticketing as this will mean you have not booked a ticket for yourself

Select ‘Confirm Order’ to review the ticket transaction. You can choose to checkout the tickets, or continue to Gowning. If you cannot book a gown or guest tickets at this time please make sure you book yourself in. You can always go back and book a gown and tickets before the deadline.

Within Gownhire, you can enter your measurements and also make any comments in the additional Special Requirements box if required. You can also choose whether to rent or buy your robes and whether you would like to retain your robes (if rented) for an extended period.Note: The type of robe is pre-selected for you based on your award.

After the Gownhire is completed, you will receive an on-screen order confirmation which shows a pricing breakdown. You can amend the order if necessary.

You can then select ‘Continue to Photography’ or choose to check out the Gownhire transaction.

For photography you can view the various packs that can be purchased, and pricing. Select the required pack to choose the available options and quantity. Photography can also be purchased on the day of your ceremony.

Select ‘Next’ and accept the Terms and Conditions in order to progress to the payment screen.

Enter your Delivery and Billing details.

Note: if you wish to be updated about order progress, enter your mobile phone number to receive SMS updates.

Select ‘Pay’ to see a final review of the transaction

Select ‘Checkout’ and choose your payment method.Note: after payment is made, you will receive order and ceremony details via email which should be saved/printed as they will be required on the day of the ceremony.

Frequently asked Questions

How Do I Apply for Extra Tickets?

If we have any extra tickets they will be available on a first come first served basis for £30 each from 1pm on 25th June. Extra tickets can be booked by logging back in to your account and going to the ticket page and amending to the TOTAL number of tickets you require. Full instructions will be emailed to

all students that have booked into a ceremony nearer the time. Extra tickets are on sale until 4pm on 1st July.

How Do I cancel my Guest tickets?

You will need to login, and then select Amend Tickets. Amend the quantity of guest tickets that you would now like (if you want to cancel completely change the amount to 0, do not cancel your own ticket) then select continue. Follow the instructions on screen to receive a refund. The deadline to refund tickets is 1st July at 4pm. Do not cancel your own ticket if you would still like to attend – this will cancel you out of the whole ceremony and we can not override this once registration has closed.
