JOB DESCRIPTION

POST: ADMINISTRATOR – GRADE 2 (Head Office)

REPORTING TO: ADMINISTRATION OFFICER

ACCOUNTABLE TO: CORPORATE SERVICES MANAGER

JOB PURPOSE: To support the provision of effective administration functions required by Head Office to ensure accurate completion of tasks within timescales.

MAIN DUTIES AND RESPONSIBILITIES:

All Grade 1 duties and responsibilities plus:

1. Operates within TPS policies and procedures

2. Assists with on-the-job training

3. Provide administration support to Head Office and the Senior Management Team

4. Provide or assist in the provision of a telephone and receipt service

5. Set up and maintain effective filing systems and other appropriate office systems

6. Input data and maintain the accuracy of databases used by Turning Point Scotland

7. Extract data and produce reports from more complex data and TPS databases

8. Coordinate meetings, provide administrative support including minute taking.

9. Responsible for carrying out specific tasks to deadline [without prompt]

10.Drafting letters/emails etc. based on information provided

11.Administration and processing of financial transactions and paperwork

12.To work within the framework of the Data Protection Act

RESOURCES MANAGEMENT

1. To be familiar and comply with Turning Point Scotland’s Finance policies and procedures.

8. To take any action necessary to become eligible for registration with the Scottish Social Services Council and to maintain registration once achieved.

9. To be responsible for your own continuous professional development and identify any perceived ‘gaps’ in your knowledge which require to be addressed through training, or other means to the Corporate Services Manager (or nominated deputy)

10.To assist the Corporate Services Manager with the on-the-job induction of new starts within the organisation, and demonstrate good practice at all times in this regard.

The annual leave entitlement will be: 30 days per year plus 10 public holidays.We pay annual leave based on average regular take home pay including regular additional hours payments and sleepovers.

Additional annual leave is granted in recognition of 3 years’ perfect attendance and of completing 10, 15 and 20 years’ continuous service.
