What is DDE?

• Direct Data Entry (DDE) is the slightly unglamorous name we’ve given to our web-based venue information CMS (content management system).

• Information in this system appears on the Culture24 and Engaging Places websites, as well as in other places online (more about this in a minute).

• There are just under 4500 venues in DDE, 518 of which are channelled to Engaging Places.

Where does the information go?Information from DDE combines with editorial content to drive both the

Engaging Places website and the Culture24 website. Here are some of the places where you can expect to find it:

Where else does the information go?• Powers other national and regional partnership sites like Tourism South East’s

SouthEast - Year of the Museum and Their Past Your Future• May be selected to appear on our children’s site, Show Me.

Data sharing• From the beginning of 2010, your information has been made available as a

data feed, in three formats, for developers to build into new web-based applications and widgets.

Basics• Each venue on the system has a username and password.

• To use the system, all you need is your venue’s username and password, and the address of the database: www.24hourmuseum.net/production/dataentry.

• We send out full instructions on how to use the system. These instructions are available on the Engaging Places and Culture24 websites. If you ever get stuck, get in touch.

• Information in DDE falls into three broad categories:

• Venues• Events• Resources

Venue

• Main details about your institution.

• This is where you add a picture

• Descriptions are really important

• Eastings/northings info means you show up on map searches.

Resource vs Event

An event has fixed start and end dates.

‘Events’ includes temporary exhibitions.

A resource is bookable, or available on demand (e.g. online games, bookable tours and workshops, downloadable worksheets).

Event

• Title, description need to be engaging

• Make sure start and end dates and times are correct!

• Don’t forget to tick the ‘Engaging Places’ programme box.

• Tagging makes your event, your venue and all your other resources more visible.

Resource

• Clear descriptions are a must.• Don’t forget to tell people how to access

your resource.• Add as much information as you can about

what the resource is and how to use it.• ‘Type’ means what form it’s in when it’s

used – so a downloadable pdf is a paper-based resource.

General tips

• You’re publishing to several places at once so the more information you put into the system, the better!

• Tagging, tagging, tagging. Everything you do becomes more discoverable when you tag your events and resources.

What if something goes wrong?• If you have any technical problems, get in touch and

we’ll do our best to help you.

• There are two bugs we know about –

4. Copying and pasting from Microsoft word can stop your venue updating. If you want to copy and paste, save your source as a plain text (.txt) file, open it in notepad and paste from there.

5. Internet Explorer 6 sometimes doesn’t work too well with DDE. Upgrading is free!
