Wedding coordinators are tasked with the organization and the leadership role the wedding
vendors, details and the wedding day tasks. A wedding coordinator is also known as a wedding
planner. The wedding coordinator maintains contact with all the vendors during the wedding
planning period and also acts as a liaison between the groom and the bride and the all the various
wedding participants. The coordinator may also offer advice to the couple and help them make
the budget.
Hiring Wedding Vendors
A typical wedding day is comprised of many vendors coming all together to create a perfect
ceremony and reception. The wedding coordinator presents the groom, bride, parents or other
parties involved in the wedding planning process with options for each of the vendor services.
This includes caterers, reception venues, florists, dress designers, cakes and rental equipment.
The planner is also responsible for hiring a band or DJ, and any other wedding necessities. The
wedding planner also offers recommendations of the vendors that she has had a good past
experience with. The wedding planner should also note the groom’s and bride’s style and
requirements and then relay all of this information to each and every vendor to ensure that the
couple is pleased with all aspects of the wedding day.
Communication
The wedding planner maintains all the contact and communication with the chosen vendors. If
the wedding vendors have a concern or question, the coordinator can address these issues
without having to involve the couple. If necessary, the wedding planner should relay any
questions to the groom or bride and then report back to the vendor. The wedding planner must
make certain that all the vendors arrive on time on the wedding day. Each of the vendor’s should
have the planner’s cell phone number in the event of an emergency.
Consultation
The initial consultation with a client is usually a common first duty of the wedding coordinator.
The coordinator should meet with the bride and groom and discuss the type of wedding that they
want, general seating, along with the size of the wedding are key areas of discussion. The
wedding coordinator needs to find out the wedding budget of the couple, because it dramatically
affects how much quality and detail is possible. The wedding coordinator’s fee is also a point of
discussion at the initial consultation.
Planning
After initial consultation, the wedding planner begins putting the plans into action. The planner
contacts the vendors and books a location on the chosen date Before and during this planning
phase, the wedding planner maintains close contact with the bride and groom to ensure that they
are all in agreement with what develops.
Supervision
During the big event, the wedding planner shifts into the mode of a wedding supervisor. She is
responsible for overseeing all facets of setup, so that the elements and participants of the
wedding end up in the right place and at the right time. The coordinator spends time on the
phone confirming details and checking on services. The last minute adjustments are typical. She
also helps monitor and direct the moving parts of the ceremony.
