HOW
We propose that AIR VILLEKULLA Projects conceptualise, plans and manages the full event. This provides one contact point for all queries and allows us to create an event experience that flows between each aspect of the day. We would also take on the media and communications.
Marketing Brand/design We need to come up with a brand a name of event and a logo. Then to have the marketing materials (posters, flyers, digital banners, etc.) designed.
Social Media’; the Facebook page AIR VILLEKULLA can promote the events and venue.
Mobile. Setting up a whatsapp group will allow for us to spread the word of the event through key community mobilisers and reach those who do not have fb, etc.

Financial Forecast and budget
Income generation
There is potential to generate income from the ticket sales and food and drinks. The table below is a rough and conservative forecast. This gives us an idea of what can be generated. The aim is to keep it accessible.
Proposed Budget
This budget is a rough estimate based on previous events and current supplier fees etc.The aim is to provide us all with an idea of what investment/ funding and sponsorship we are looking for and what it could cost to put on a high quality, well coordinated event experience. It is important to consider that the artists fees (based on standard commercial value of the well known artists). We could also reduce the overall costs, if we have budget constraints.
Once this budget has been reviewed by all and we have a sense of finances committed, we can revise and finalise the budget and work within it.

This budget includes some of the supplies that would be organised by or through the venue, and there are a few costs that have not been accounted for i.e. additional staff, catering, cleaning, security etc
A profit share agreement could be considered to the key drivers of the event, this would need to be discussed and agreed by all.
Next Steps
- Andre, Jeams, Eric to review comment and approve overall proposed plan of action.
- Upon receipt of deposit, we would get to work, do a site visit and get the programme confirmed so that marketing can begin.
Many thanks
Yvonne
