2020 Upper School Spring Musical Welcome Packet
2
Hello everyone and welcome to the MVCA High School Players’ production of
“Beauty and the Beast”! We are excited that you are joining the team!
The vision of this program brings students, parents and community members
together in order to showcase the High School students at MVCA in a production that is
nothing short of amazing. Throughout this time together, students will have the
opportunity to learn through experience the many artistic and technical aspects as well
as the joy found in musical theatre. This program will be dedicated to students in grades
nine through twelve. It offers an enthusiastic environment for students, teachers, and
parents to interact with each other in order to develop the students’ talents and skills.
For some this may be singing, dancing, and acting, while for others it could be working
behind the scenes or helping with the preparations. For most people, the common
element is having fun throughout the whole process! We will all work together to create
the magic as a team - from costumes and building the scenery, to rehearsing and
meeting new friends. This is an experience that you will remember for the rest of your
life. So, welcome to the family! We are thrilled you are here, and we are looking
forward to a year of wishes coming true!
God Bless,
John and Kristie Jung Your Production Team

musical including the calendar, show resources, and updates.
Virtual Stage Manager (VSM) www.stagemanagement.com

The “Scheduling” tab contains the rehearsal schedule. Click on a rehearsal event to
find the location and time of rehearsal, what work will be done in rehearsal, and which
characters are needed at rehearsal. Each performer and crew member will have a
separate view of the calendar that only displays his or her personal required rehearsal
schedule.
MVCA Players Webpage You can access the Beauty and the Beast Show page, which contains music for the
show, choreography videos, and eventually the cast list. Recordings of the music can
be found here as well, including vocal demonstrations and accompaniment tracks (like
karaoke). After the students have learned and feel comfortable with their songs, they
can use the accompaniment versions to practice at home. The choreography videos
should be used to practice dance and movement at home. The full calendar will be
available on the High School Fall Play Page in case you need to access it as well.
If you have questions or need information before or during the show process, you may
contact the Production team by emailing JKTheatreProductions@gmail.com. Please
allow 1-2 business days for email responses. Each Sunday, a message will be sent to
remind parents of the week’s schedule and any important upcoming dates. Email is the
most thorough and consistent form of communication and will be used to
communicate changes, so it is recommended to check email often during the musical
season.

FAMILY EXPECTATIONS We strive to create an open, welcoming, and collaborative environment for all involved
with the MVCA High School Spring Musical Program. In support of this goal, we ask
parents to volunteer with the program. It is required that each family fulfill the following
three requirements:
1. Volunteer on a team during the pre-show preparation time period
2. Volunteer during the run of the show
3. Participate in strike after the Saturday evening performance
Sign-ups for teams will happen at the Parent Meeting. A chairperson will be designated
by the production team who will be responsible for (1) communicating with the
directors and the parents serving on that team, (2) assigning tasks, and (3) setting future
meeting dates. The teams include the following:
Entry Decor (DURING)
This team works throughout tech week to decorate the lobby for the show. The
team will creatively transform the hall into the world of a French Provincial Town.
Hair & Make-Up (DURING)
This team is responsible for assisting with hair and make-up before every dress
rehearsal and performance. This team needs to arrive at least two hours before
the show to assist with hair & make-up.
Concessions (DURING) – Lead Paige McElfresh
This team organizes and procures/makes the food then sells food and drinks
before the show and during intermission. You must be able to arrive at least an
hour before the performance.

10
Hospitality (AFTER)
This team organizes and executes the long-rehearsal meals designated by
Production Team as well as the cast party that takes place after the closing
performance (April 18). This calls for planning and serving as a chaperone for the
party.
Ushers (DURING)
This team makes sure that before the doors open and after every performance
that the floor is clean and free of any litter, the lobby is clean, and make sure
there are ushers at each performance. They also ensure that the stage manager
is ready to open the house to patrons before opening the doors.
Applause-a-Grams (BEFORE, DURING) – Lead Erin Pierson
The Applause-a-Grams team creates unique, show-specific treats and
merchandise for patrons to purchase, write notes, and place in the performers'
candy gram decorative bags or buckets during the show weekend.
Costumes (BEFORE, DURING, AFTER) – Leads Tami Williams and Kristen Campbell
The Costumes team is responsible for procuring and organizing all of the
necessary pieces for the performers to wear throughout the show. This team can
include finding, sewing, creating, and purchasing items for costumes. This show
will also utilize a considerable amount of rental costumes. Once in tech and
dress rehearsal, this team will also provide dressing room monitors who can assist
students with any issues that may arise.
Props/Set Building/Creation (BEFORE, DURING, AFTER) – Lead Matt McCasland
The Props team focuses on all of the objects within the show (the enchanted
rose, the enchanted mirror and Belle’s books, etc.). Almost anything on stage
that is not a costume or set piece, is Props territory. Team members are tasked
with finding/creating props that will enhance the story on stage.
On specified days throughout the show preparation, Matt McCasland will
organize and guide students, parents and anyone else who wishes to lend a
helping hand in the huge task of preparing scenery that will be used for the
show. No experience is required and there are many tasks that could use your
help!

11
SET STRIKE
Strike takes place directly after the final performance on Saturday, April 18. While the
students attend their cast party, the adults have a party of our own by cleaning up!
During this time, the entire set is taken down, the hall is cleaned, and everything used
for the show is put away. Strike is a HUGE project and requires all hands-on deck. Team
heads will be leading specific jobs and all parents are required to join a team and help
until all work is complete. We ask that you bring power tools to help break down set
pieces. A list of tasks and task leaders will be posted to ensure that everyone knows
what to work on next. Attendance will be taken, and it is expected that at least one
parent from each family attends strike.
WEEKLY EXPECTATIONS
- Each rehearsal a productive and learning experience for every student
- Focus during rehearsals as well as practice at home.
- Watch choreography videos posted on the musical page to review and
practice on your own.
IMPORTANT NOTES The schedule and provided information are subject to change at the discretion of the
Production Team. Changes will be communicated as soon as possible through Virtual
Stage Manager (email, text messages), and through school announcements when
possible.

The last two and a half weeks of rehearsals can be more intense than the previous
rehearsal schedule. We hope this summary can help aid in relieving confusion and
make tech week a positive experience for everyone. Starting on March 31, we will
begin technical rehearsals which will include props, costume elements that are
functional, and full sound. April 5th is Load-in at the Anderson Center. We will need all
the help we can get to both move everything over and get it situated so that the
Monday rehearsal can go as smoothly as possible. Beginning April 6th, we will be doing
full dress rehearsals. Dress rehearsals require students to be in full hair, makeup, and
costumes. This means the student should arrive at their call time promptly and in proper
undergarments (tan bodysuit/cami and volleyball shorts, undershirt, panty hose, etc).
Emails regarding specific requirements for your student’s character(s) will be sent closer
to tech week. Basic information regarding costumes and hair/make-up is listed below.
COSTUMES
Girls need a tan bodysuit or tank top and spandex/volleyball shorts/shorts for changing
costumes. Boys will need an undershirt specified to match their costumes. Specific
information that is character specific will be sent out closer to the show.
HAIR & MAKE-UP
Role specific information will be sent out regarding these needs as we get closer to
show time. Just know that there are some roles that will require standard stage make-
up while others will be more character-based and could include prosthetics.
EXPECTATIONS
Tech and dress rehearsals are mandatory for all participants in the show. Students
cannot arrive late or leave early due to the final changes made during dress rehearsals.
Students should arrive promptly to call times and be ready to get into costume.

➢ Bios should be approximately five lines (7 inches long, 12 pt. font) between 60-65 words maximum
➢ The body should be written in the third party (he/she, his/her). Start with your first and last name
➢ Numbers, such as grade or age should be written out in word form. (Ninth grade versus 9th grade)
➢ Shows included within are to be typed with the role in parentheses, i.e. Annie Jr. (Annie).
➢ You do not need to say you are a student at Miami Valley Christian Academy because all
cast/crew members in our theatre production are students at MVCA
Other Tips:
➢ If this is your first show or you do not have much theatrical experience, that is okay! Let people know
it is your debut on stage. Let them know what you like to do outside the theater or how you came to be
involved in the theater. Thank those that encouraged you to try theater or helped you prepare for your
audition. If you have taken voice, dance, or acting lessons, feel free to include that.
➢ If you have a long list of shows you’ve been in, you will need to pick the most meaningful shows or
most significant roles that you have had.
➢ Remember that you are sharing yourself with the audience in your bio, and that you are
representing not only you, but your family, and Miami Valley Christian Academy as well.
➢ Sample Bios (These are just samples. Don’t make yours just like these, or they all look/sound the
same.)
