Overview:• District Executive Day of Planning• Ongoing communication with

District Vice Chairs & Chairs is a necessity.

• Key 3 Meeting• Committee Meeting• Commissioner Staff meeting• Roundtable Meetings

18

Handouts• Sample Key-3 Agenda

Structure of Meeting• Unlike District Committee Meeting or

Commissioner Meeting, the Key-3 meeting is run by the District Executive and is a time for him or her to communicate candidly the needs of the district to his or her top volunteers.

• These needs may include units that need immediate attention, or pressing volunteer vacancies.

• The Chair, Commissioner, and Executive each leave the Key-3 meeting with a “to do” list.

District Key-3 Agenda

19

Handouts• Sample/Template for Committee Meeting

District Committee Meeting Structure

• Coordination is the focus of the meeting, SO the agenda needs to reflect that focus.

• Operating Committee reports should provide for assessing progress and planning for month ahead.

• The district commissioner reports on the special needs of units and solicits the assistance of operating committees to meet those needs.

• District committee meetings should be conducted in a manner that provides some fellowship and builds morale, thus contributing to the committee’s sense of unity.

District Committee Meetings

20

Handouts• Sample Membership Workplan

Operating Committees (Membership/Program/Advancement/Training)

• Meet during month as needed.

• Committees could be given sufficient time at committee meetings for separate and simultaneous meetings in the first part of the district committee meeting agenda.

• AGENDAS- Check progress made by its members

- Create action plans for upcoming month.

- Meetings are the basis for each committee’s reports at DistrictCommittee Meeting.

- Chair gives leadership to whatever coordination may be neededamong committees.
