Cube: System Features Workflow routing: Cube is designed to enable a hospital to manage multiple options for the completion of its work depending on a variety of criteria. These work queues can be

automatically triggered based on pre-defined settings in the control panel or can be manually chosen by the Trust administrator

In-house or outsourced: Outsourcing In–house processing

Prioritisation: Set criteria for advance processing of urgent files

File allocation: auto allocation (default settings) manual allocation overflow allocation (based upon volume or timing criteria)

Transcription pooling In-house transcribers (one secretary or a group of secretaries). Common pool – select work on first-come, first-served

Confidentiality & Data Security

We are acutely aware of our fiduciary duty to protect the confidentiality of our client data. In order to ensure that we undertake the following:

Our premises our guarded by physical security guards

All servers and user pc’s can be accessed only via validated usernames and passwords and are protected by firewalls, and regularly backed up

All employees sign a confidentiality agreement to ensure privacy of client data

We sign a contract with our customers to do the same

All audio files and word documents are encrypted to 256bit SSL and the application maintains a log file with server timestamps on each file

CUBE has been built to ensure security with all access governed by usernames and passwords

Inbuilt audit trail to monitor use and access to the software at all times

CUBE has been approved by the NHSIA to connect to N3 and complies with the NHS Information Governance Statement of Compliance (IGSoC 2008).

All your audio files will go through a 3 stage quality assurance process of Transcribing, Editing and Proofreading

We therefore work on the concept of “Client Acceptable Quality”. What this simply means is that we do not believe that we have achieved our target till you tell us so

Work on a 360 degree feedback loop whereby we ask you for ways to improve our work and suggest ways in which the user can help in getting the best out of us

Maintain a repository of knowledge that documents all user feedback, templates, preferred sign off methods, etc. This builds institutional memory and guards against staff changes and/or sickness

In real terms, all of these measures put together deliver a much higher quality standard in terms of accuracy, user experience as well as continuity of service

So how much does it cost ?

There are a couple of options that we offer for use of the CUBE digital dictation and workflow application. We pride ourselves on being very flexible and tailor our solution to the customers requirements and budget.

These are as follows:

Outsourced Transcription. We provide the CUBE application at no charge to Trusts that outsource their routine transcription work to us, subject to an annual minimum billing.

Digital Dictation and Workflow only. For Trusts that do not wish to use the Transcription service but only wish to purchase our CUBE software we offer two options:

pay-as-you-go by paying us a fixed fee per line of work transcribed within CUBE

one off purchase by paying for an unlimited user licence to install and run the application within the Trust
