VISIO – THE ULTIMATE DIAGRAMMING PLATFORM

Visio – the diagramming platform• Visio is all about diagrams• Visio is NOT about „drawings“• The visualisation is just following SOME standard (BPM,

BPMN, UML, ISO)• It‘s the data we‘re interested in – Visio is all about

encapsulating data in graphical components being a placeholder and container• E.g. Orgcharts, Network components

• Diagrams are NEVER „real-life-look“ they‘re always simplifying reality to focus on core-information: the (meta-)data• Name for the graphical placeholders: shape• Name for the metadata: Shape data

Visio - basics• A Shape is a container for metadata (which is

customized to YOUR needs)• A Shape is always bound to a problem domain

(Network, IT, BPM)• Shapes visualize the components and their

dependencies or flow of data/information• Visio delivers thousands of Shapes for different problem

domains• The basis for a diagram is: a (problem-domain)

template, e.g. ISO Flowchart• Shapes from any domain can be used in any (other)

template – where it makes sense• There is not „the“ Visio department – any department

will benefit from one or more Visio templates and diagrams

• Visio is THE ultimate communication tool for intra and extra organizations information

Data connectivity in Visio• Since Visio 2007: data connectivity feature: connects a

Visio FILE to a data source – and then the individual shapes to a data record – importing the data into the shape• First step: select the datasource (more parallel sources

supported)• Second step: connect a data record to a single shape• Alternative: let Visio do the connection for you

Data visualisation and interpretation• Since Visio 2007: Datagraphics• A datagraphic is a package of evaluation rules for shape

data (SETS) of an individual shape• So a datagraphic is a container for several

datagraphic(s) which can be applied to a shape• 4 different evaluation types:• Text: simply the value• Data bar: for numeric values• Icons: assign a number/value/value range to an icon• Color by value: assign a color to one value

VISIO SERVICES A SHAREPOINT COMPONENT FOR INTELLIGENT DIAGRAM PUBLICATION

Visio services – publication of live Visio diagrams in the Web• The problem with Visio is: it‘s a client application• Visio diagrams however often need/must be

communicated to other people WITHOUT them being given the ability to modify the diagram or severely „touch“ it• i.e. consume the diagram but not „take it away“

• Old approach: Export to… HTML, JPG, PNG• JPG,PNG,BMP: you loose all metadata• HTML: pretty ok - but : re-export after every change, no

update, file mess• Alternative: give away the Visio file – great for viewing

(viewer component) but: you give away the source of information

Visio Services• A component of SharePoint Server (Enterprise-Level) or

Office 365 (with certain plans)• Aloows the viewing and consuming of Visio files in the

browser (any SharePoint-supported browser)• However: • Users view the ORIGINAL Visio file• DataConnectivity stays intact• Data-update happens IN the server through Visio Services

• Users always see a live-udpated Visio file• Datagraphics UPDATE instantly on the server• BUT: no changes to the file itself are allowed – all

changes happen in memory

Visio Services 2• Service application within SharePoint Server

Enterprise/365• Just activate it

• In SharePoint Online: no configuration required(allowed)• In SharePoint on-prem: caching and loading time and

updating time • The values can be re-set to 0 for instant update (however:

high server-impact)• Usage: • either through right-click (but no customization)• Visio Services Webpart-> customization of UI, Update times

etc, including Webpart connections

BI in Visio – or: the basic BI tool is Visio• So: • Visio is about encapsulated data – data in Shapes in diagrams• Visio Services is about (updated) publication of Visio diagrams

• Result: • Create a Visio diagram• Enrich it with data• Analyze/evaluate it with DataGraphics• Permanent monitoring/insight at your fingertips
