The letter of the law

The US regulations under the Dodd-Frank Act, the FCA in the UK and forthcoming EU ESMA MiFID II regulations require financial organisations to record and store all relevant business-related communications including voice and SMS. Similar regulations already exist in other countries too.

ONiX ONiX is a secure data management and eDiscovery system that sits at the heart of the Truphone Mobile Recording Hosted Service. ONiX was designed from the ground up to provide a modular scalable repository against regulations such as:

- BSI BIP 0008 – A code of practice on the legal admissibility of information stored in electronic formats

- ISO TR 15801 – Electronic imaging recommendations for trustworthiness and reliability

- BSI DISC PD 5000 – A code of practice for e-commerce transactions as legally admissible evidence

Hosted implementation ONiX modules are deployed in three storage regions North America, Europe and Asia Pacific allowing a global company to manage its data in an internationally distributed solution while maintaining appropriate separation as demanded by regulation.

ONiX duplicates all data at two Data Centres in each storage region.

Each Data Centre has a complete set of components scaled to support the entire local customer base by providing geo-resilient protection against catastrophic systems failure at any one location.

Data Security and Risk

Truphone Mobile Recording protects all data with state-of-the-art encryption services that only allow access with dedicated customer keys generated at the time of encryption. These keys ensure data is always available when you need it, but only to authorised users. Once encrypted, data is only accessible through secure web portals that form part of ONiX. These portals provide secure encrypted access, user verification and use https:// security as default. Dedicated VPN access and Private Portals are also available as a premium option.

Truphone Data Centres have successfully passed the rigorous security and risk assessment review and audit required to be trusted with the data belonging to six out of the top eight Tier 1 banks.

Truphone Mobile Recording is built within Truphone’s globally distributed mobile network to make recording a seamless experience for the recorded user, whether they are at home or abroad. Their phone operates as they would expect - functions, call connect time and in-call latency are no different. At the back end their company gets an immediate live, recorded copy of both voice calls and SMS messages.

Where required, Truphone can enable a compliance message to be automatically played at the start of a call, to the called and/or calling parties, as a warning that calls are being recorded. Continuous in-call beeps are also an option.

The customer can choose for Truphone to record, store and provide access to its historical mobile communications using the cloud-based TMR Hosted Service based on the ONiX Platform. Alternatively the customer can opt for Truphone to route the copy of voice and SMS calls directly to the customer’s own recording and storage platforms using Truphone’s TMR On-Site Service.

How it works Hosted TMR featuring ONiX:

IntroductionThe Truphone Mobile Recording Hosted Service is a cloud based mobile recording solution. It features the data recording and the ONiX for recording consignment, storage, (optional) analytics and access. The TMR Hosted Service is a standard, standalone solution purchased simply on a per-user, per-month license basis. This is available quickly without the need for integration with existing in-house technology and processes.

A Global SolutionThe same Truphone US, EU and APAC Data Centers used for hosting also provide secure Points Of Presence to break out data to the customer in a range of different network topologies to match any customers geo-resilience needs e.g. multiple point-to-point private wires and/or Internet based VPNs.

Mobile Voice Calls are sent to the customer as live stream anywhere they want them delivered without effecting the mobile users call experience whether they be a home or roaming on the other side of the world.

Data Security and RiskVoice traffic for recording is never held “at rest” within Truphone. The customer is responsible for taking the live voice stream, recording, storage and subsequent chain of custody within its own systems. Truphone Data Centers are protected by state of the art systems and processes that have passed the rigorous standards set by major banking institutions.

Customer TMR On-Site:

IntroductionThe Truphone Mobile Recording On-Site Service shares the same global network base infrastructure as the Hosted Service but instead of recording and consigning data with Truphone Data Centers, voice calls and SMS are routed to customers Data Centers to be recorded and consigned. Truphone already has certified implementations with market leading recording platforms such as NICE NTR and Verint plus a number of others.
