KEY TERMS
ORGANIZER – Person who creates/schedules the conference call
PRESENTER – Person(s) allowed to control a conference call
ATTENDEE – Guests invited to the conference call
CONFERENCE ID number – a dedicated number assigned to each employee
Each invited attendee must have the conference Id and the bridge number to
enter the meeting
PIN number - a secure 4-24 digit number associated with the Conference ID –allows employee to initiate an ad-hoc phone conference call
Skype Meeting Options - determines how people join your meeting
Conference Calls
Scheduled Conference Meetings are
created using your Outlook Calendar via
the New Skype Meeting Option for Skype
To perform this action
Open your Outlook calendar and on the
Home tab, click New Skype Meeting
In the meeting request, add recipients,
subject, agenda, etc. as desired. Once you
click New Skype Meeting the conference
dial-in information is automatically provided
to users in the Outlook calendar invitation
The Skype Meeting Options
tab opens a window that
determines the type of
meeting and how participants
enter the meeting
Once set to Remember
Settings, the Meeting Options
will be used for all future
meetings unless changed by
the Organizer. Clicking ‘OK’
will set the Meeting Options for
that meeting only
To Join a Meeting
Click Join Online in the meeting
reminder, or
click Join Skype Meeting in the
meeting invitation request
Joining the Meeting using a Phone
Dial the Conference Phone displayed in the Outlook invitation
from any telephone
Enter the Conference ID displayed from the Outlook invitation
Telephone callers will be identified as Attendees. Any non-
company employee will be identified as a “Guest Participant” in
the Conference Call Window which displays their dial-in phone
number
Once the meeting has
begun, they can invite
contacts into the
meeting by using the
Invite More People icon
or ‘drag’ a contact into
the call window from
the Skype Client
Any employee can
begin an Unscheduled
Skype Meeting, by
opening the Skype
Client Options Menu
and clicking the ‘Meet
Now” option
Scheduled Telephone Conference Calls must be created using
your Outlook Calendar via the New Skype Meeting tab by the
Organizer
The Organizer dials the Conference Phone number from any
telephone
The Conference ID is entered from the Outlook invitation
The Organizer enters their dedicated PIN which identifies they are the meeting organizer and the meeting is started
Unscheduled Ad-Hoc Telephone Conference Calls
The Organizer’s Conference Phone number is dialed from any
telephone
The Conference ID is entered from the Outlook invitation
The Organizer enters their dedicated PIN which identifies they
are the meeting organizer and the meeting is started
The conference phone number and Conference ID is emailed or
texted to the participants
Note: All callers joining any conference call MUST know the call-in number andConference ID to join the conference call.

What is Web or Desktop Sharing?

PowerPoint file rather than share the PowerPoint Program
on your desktop
Present Icon:
In a Skype Meeting, any presenter can
share their desktop, a specific program
or open a PowerPoint presentation to
begin a Web Presentation
Present the Desktop, Programs or
PowerPoint
Add Attachment for Attendees
Share OneNote page notes or access
One Note
More… Whiteboard, Polls and Question &

Select Present Desktop and then click Present to begin
sharing your desktop
Any Presenter can Give Control on
the top of the screen to any
Attendee
Any Attendee can Request Control
by clicking the Request Control box
The Presenter can take control back
at any time by clicking Take Control
When you have finished presenting,
click Stop Presenting on the toolbar
Present Options when presenting
Sharing a Window:
Only the Presenter can select the
window (or program) to be shared
Any window to be shared must already
be opened on the desktop prior to
sharing
Only one window at a time can be
shared on the screen
Any attendee can be given control of
that window to make changes, if the
window is a program (e.g. Word, Excel,
etc.)
Thumbnails is a view of all the slides
in the presentation. Select any slide
to view and and click that slide.
The arrows at the bottom of the
Present window advance the slides
The Annotations button on the
upper-right of the slide opens the
toolbar which contains highlights,
stamps, laser pointer and more
Notes contain the presenter notes
and cannot be seen by the
viewers
Presenting the PowerPoint
Skype for Business allows for multiple
windows to be open during a
presentation
Manage Presentable Content allows
the Presenter to select the Window
to be shared and ‘toggle’ between
content sharing (e.g. PowerPoint
presentation, Whiteboard, Excel
spreadsheet, etc.
The Presenter will determine which
content the attendees will view
using the “Stop Presenting” or
“Present Now” options to change
the window
Present Icon:Add Attachment for Attendees:
Select Add Attachments from the Present Icon and then choose any file from your environment to
attach to this conference meeting for your attendees to download. The Presenter has several
options regarding who can download the file as well as other options that should be reviewed.
Polls
Polls can be used when seeking feedback from the
audience and creates a more interactive experience
Skype for Business Recording captures the
entire session, including audio, video, instant
messaging (IM) and desktop/program sharing
Start Recording begins the recording and all attendees
are notified that the meeting is being recorded
• The controls at the bottom of the meeting room pause,
resume, or stop the recording
• When the recording is stopped, Skype automatically saves
the file in a format that plays in Windows Media Player
• Manage Recordings highlights the recording to play,
rename or delete
• Browse opens a folder of the location of the recording and
allows the presenter to make a copy of the recording
and/or post it on a shared site for others to view
Skype for Business Recording
Manage Recordings opens the location where the recording is saved and highlights the
recording to play, browse, publish, rename or delete.
Browse opens the folder where the locations have been stored.
Publish opens another menu providing a description of the recording with options to save and
publish the recording to another location or venue and post it on a shared site for others to view
