The SAP DAta Retention Tool is a standard SAP feature, used for Tax and Legal reporting, used to extract data from selected fiscal periods for use in third party analysis software.

Running DART is not an easy task: the process involves large amounts of data, extracts need to be checked and stored in a secure environment. A standad DART extraction process can contain several steps all of which are started manually and must be verified by the user.

In addition, DART usually runs at the end of fiscal year, years before tax audits take place. When data archiving is used it is at least cumbersome, at worst impossible, to run DART extracts with archived data.

So if for some reason DART extracts are lost, corrupted , or created with a wrong variant, it may be absolutely impossible to re-run DART when data are needed.

TJC developed the DART Sessions Cockpit to automate the DART process : you will be sure your process was performed, without variant error, and that DART files are checked before and after storage. In addition, when linked with TJC ASC, you will be sure archiving is only run after DART sessions were performed.

DSC does not replace DART, TJC enhances DART by automation, adding security and efficiency to this critical tax audit preparation process where financial stakes are high for all companies.

A typical DSC process involves :

Main DART extract

Checksums

FI total checks

Load to Content Server

Reload from Content Server

Verify checksums

Verify FI totals

Delete from file system

The standard DART interface for extract definition is retained

Standard DART reports are used (DSC creates real DART extracts)

DSC takes the lead from DART customizing

The user has access to full DART functionality for all DSC extracts

DSC will automatically create the necessary DART variants based on simple customizing and provides

a full and detailed overview of all processes in the DSC cockpit. It manages all jobs and allows a quick and easy verification of finished sessions.

Because DSC is automated, you may tune your DART process more finely, for better file segregation. A useful feature for tax audits.

Ensure that DART extracts run on time and without errors.

Automation of the DART process leads to significant time gains for employees by removing slow and repetitive tasks

DART files are stored on a Content Server and/or on a file system.

Auditor’s reviews are easier due to automated processes.

Although since DART version 2.6 you can schedule DART extracts and checks using the SAP scheduler, you still need to change variant manually or using a Z report. Thus SAP scheduling does not match DSC capabilities because it is still open to errors.

Centralization of DART processes leads to better visibility

Complete traceability of all user actions and DART steps

DART only runs during allowed time periods protecting SAP Service level agreements

Automation allows DART extracts to be better targeted through finder selection criteria with minimal extra work

With DSC and ASC (Archiving Session Cockpit from TJC) integrated data extraction and archiving can be run automatically ensuring DART extracts are complete before the related data is archived.

Here are some customer benefits:

The completion of DART processes before data archiving is guaranteed

Links between DART components and archiving objects are delivered as

standard, customers can add their own links.

ASC uses DSC record to check if all DSC sessions for the archiving object in question have

been completed for the period to be archived.

ASC only blocks data archiving for impacted data; if a company is not part of a DSC

definition its archiving proceeds as normal
