Excel 2013 has a wide range of formulas and functions that we don’t find in other Office suites.

Today, we’ll discuss an important feature of Excel namely Data Validation that controls data or

values, which users input into a certain data range. With the Data Validation Tool, you can not

only control data that is be typed in, but can also prevent the input of invalid values or data. It

lets you create a rule which can, for instance, allow you to restrict entry of a value greater than

100, or keep users from entering invalid dates, numbers etc. Read More

In Excel 2013, you can access the Data Validation

Tool from Data tab on the Ribbon.

Let’s look at how Data Validation Tool works with

help of an example. Suppose you are working on

creating a roll number form for students of a certain

class. With the help of Data Validation, you can

easily specify a series of cells that should only contain

numbers up to 4 digits.

You can either select a range or entire column/row

where data validation rule is to be applied. Click Here to

According to scenario, we select the Whole Number option

and enter 4 in both the minimum and maximum values. You

can choose the data range from “between”, “not between”,

“equal to”, “not equal to” etc, as per the requirements.

A Warning Message

In order to enable warning message, click the Data Validation tool and select the Input Message

tab. You can type in both message title and text.

Remember to select the “Show input message

when cell is selected” check-box. Click OK to

create an Input Message.

Now, when you try to enter a value in defined

range, warning message will pop-up to help you

An Error Message

Similar to the warning message, you can customize the

error message that shows up upon entering a wrong

value. Simply select the Roll Number cells, and click on

Data Validation icon. Select the “Error Alert” tab, and type

in the title and message for the error. You can also change

the icon that shows up with the error message. Read More

Remember to select the “Show error alert after invalid data

is entered” check-box before clicking OK to create the error

message.
