PREFACE

• 3 years ago: the strategic decision of automating HIBA’s core and supplementary processes.

• HIBA contains two main departments (administration& academic) full Automation means Implementing ERP and E.L systems.

• In-house built Vs. Vanilla.• Available budget (provided by EU).• Signing a contract with ITG Co as a result of a

tender (Wave GRP& EduWave).

Page 3: ERP & e learning implementation at HIBA

EXPECTED ADDED VALUES BY IMPLEMENTING Wave GRP

• Save time and cost.• Integration.• Security.• Decision support.• Monitoring & Tracking.• Reports & Queries.

What Does GRP

Stands For?

Page 4: ERP & e learning implementation at HIBA

THE IMPLEMENTATION OF GRP

• Phased Implementation: Purchasing& Implementing Wave GRP module by module.

• Starting with Implementing Two modules (Personnel& Inventory) since they only needed simple customization.

Page 5: ERP & e learning implementation at HIBA

THE FAILURE OF GRP IMPLEMENTATION AT HIBA

Reasons:• Turnover of Top Management.• Lack of commitment from the middle

management.• required process reengineering to implement the

rest modules of GRP.• change resistance (Old VS. New business

transactions processing, Elimination of certain positions, authorities undermining).

The Implementation of

GRP has stopped!!

EXPECTED ADDED VALUES BY IMPLEMENTING EDUWAVE

• Data Integration.• Time saving and cost reduction.• Generate reports & Queries.• Enabling many services for the main clients

“STUDENTS” . • Students satisfaction.• Monitoring & tracking.• Support decision making.• Reinforce interaction between students and instructors.

THE IMPLEMENTATION OF EDUWAVE

• Purchase the whole product.• Phased Implementation:

o Phase one: Implementing registration& examination Modules (SIS& SMS).

o Phase two: Implementing student and instructor modules (LMS, CMS, IMS).

CHALLENGES AND RESULTS

• Inevitable customisation of the examination module.

• Complexity of Data migration.

• Period of customizing the examination module was way higher than planned.

• Turnover of Top Management.

• Change resistance Shown by the examination department.

• Incomplete Cycle.

• The student module cannot be enabled.

• Failure to utilize the guaranteed maintenance period

COMMUNICATION AND DIALOGUE

• Communication and dialogue with the concerned parties (IT& examination department):o Agreement to use both the legacy& new systems

on parallel for one year.o Don’t fix the old system when any bugs occurred

or any new rules introduced.

Page 15: ERP & e learning implementation at HIBA

MOTIVATION PROGRAMS

• Executing Motivation programs to promote using the new system:o Financial incentives.o Awareness secessions.

Page 16: ERP & e learning implementation at HIBA

INDIRECT PRESSURE

• Indirect Pressure:o Enabling students to access the system to check

their grades as a pressure tool to increase the examination department engagement in adopting the new system.

Where are our

results?!!

Page 17: ERP & e learning implementation at HIBA

Phase two Activation Plan

Second Semester2009\2010

• launching the system. • Receiving feedback.

First Semester 2010\2011

• Motivate the instructors who are using the system.

• enabling the system internally for undergraduate student.

Second Semester 2010\2011 • Enabling the system On-line for all HIBA's Students.

PROPOSALS FOR IMPROVMENT

• Gap analysis: what we have and what we don’t System upgrade.

• Reactivate GRP Implementation: in order to integrate it with the e.learning system MIS Systems applied at HIBA are fully integrated.

• E.Learning Expansion:o Integrate the e.learning system with

HIBA’s library.o Online Application.o Online exams.
