The client had been manually managing the entire customer data. It would take them 4-5 days to bifurcate the data of mismatched invoices and invoices which were not available on their Indirect Tax system and get back to their customers by email.
They had also been facing several challenges while processing their data manually whensplitting the raw file into multiple files based on usernames and sending that file to the respective user by email.

CYGNET’S SOLUTIONCygnet’s business analysts understood the client’s expectations and detailed requirements to identify their challenges. After thorough discovery, the team proposed implementation of a Robotic ProcessAutomation solution.
The development team built a robust BOT to address the identified data management and accuracychallenges.
To execute the process, the user simply needs to define the details in the config file which includes:
1. Sender/receiver email IDs
2. Email content (Subject, Body, Attachment naming conventions) – Email body can be in HTML format as well
3. File Paths
4. Details for Mapping Data in Excel Files
As an Input, the Bot includes two sets of files:
1. One set includes the list of Invoices processed in the Defined time duration
2. Another set includes the mapping of PO numbers with user details
The Bot validates the invoice data and maps it with the PO numbers and relevant contact details of the usersgenerating the following set of files as an output.
There will be three sets of files:
1. Individual Excel sheet for each user classified by its PO Number. It will be sent to the individual user via email.
2 One set will contain invoice data with PO numbers that are not found in the Master file and,
3. The other set will contain invoice data in which usernames are not found relevant to their PO numbers.
The above Output files (2 & 3) will be sent to the respective user IDs as mentioned in the configuration file.
Additionally, based on the client’s request, ourdevelopers also included a failure condition for the BOT, i.e. email would not be sent to the users if the file size exceeded 10 MB as the client’s network limited sending or receiving emails with attachments beyond 10 MB.
This ultimately fast-tracked the client’s productivity with 99% accuracy using the Bot to mimic human actions while performing the same task. Moreover, due to the technical rule-based nature of the repetitive tasks, they could easily be automated without causing disruption to the client’s existing IT infrastructure.
