“When we went live with Aptify, one of the things that we found out pretty quickly is that the fundraising module was lacking a bunch of stock features that usually come standard in the fundraising world,” recalls Richard Wollenberger, IT Director. “Our challenge was to build the tools needed by the fundraising department within the Aptify system to create reports and make the process of entering donations simple, easy, and trouble-free.”

One of the issues PAT had was easily finding the available fundraising functionality. “I created a simple dashboard with control buttons, views, and graphics that could easily access standard fundraising reports and views,” explains Jeff Boyer, Application Developer. “We also made finding views easier by utilizing a process flow that calls a specified view with a touch of a push button. These tools helped in a lot of ways, giving users everything they need right when they log on.”

The team also looked at simplifying its processes. Before advancing their customizations, adding persons records was often complex and duplicative. Boyer states, “Because of how the system was initially configured, you’d have to add

a new persons record to the persons module and then again to the fundraising module. With that, you’d add an address two different times, essentially duplicating address IDs.” As a result, PAT attempted to simplify this process by containing everything within the persons module.

With this streamlining, a security issue arose. PAT needed to ensure that all information in the persons module related to fundraising activities was kept private to those within the department. To do so, staff utilized Aptify Row Set security and field level security features to present the information only to those who needed to view it. Boyer says, “By adding security, we gave them a one-stop shop where they could add a person, all personal fundraising information, and add pledges in one smooth process.”

Initially, staff thought they might need to implement another software to do fundraising, but the solutions were possible with Aptify’s flexibility and PAT’s IT team. Boyer says, “[The staff] got excited about the system. They actually took ownership and were asking for more features. What you really want to see in a department is excitement toward what we can do in the future to enhance the ability to do our jobs.”

When Parents as Teachers (PAT) went live in 2011 with its AMS, the staff quickly realized that even the most robust of solutions aren’t always able to capture every need without a little fine-tuning.
