Demographic/Participants:

We wish to find Cal Poly students who love the game of volleyball, are competitive, and

wish to improve their skills through a fun and competitive volleyball league.

Marketing:

In order to promote our volleyball league we used text messaging and word of mouth.

Since we did not need a large amount of participants, just sending out a few text messages and

asking around was sufficient. We were able to gain enough participants through this method of

marketing. Our volleyball league was free of charge to all participants and all that was required

of the teams was that they show up with good attitudes and be ready to play. For the duration of

the league and the tournament all games were played at Avila Beach. There were sometimes

other beach goers utilizing the courts, but for the most part there were no issues related to getting

the courts during the time we needed them. We would arrive fifteen minutes before each game to

claim the courts for our league.

Management:

It was necessary to provide our participants with volleyballs to use for warm up and the

games. The nets were already set up at Avila and we advised all the players to bring their own

water bottles. There were no charges for the use of the courts.

Rules & Policies:

Our participants were aware of the rules on the first day of our league. As people signed up

for our league we would briefly discuss the rules, but they became very clear on the first day

before the games began.

Policies:

• Clothing must be worn, shoes are optional

• Must be sober at all times

• Be a positive & supportive teammate

• Be respectful of beach, clean all trash

• No smoking

• If a team is not able to play, communicate with leaders twenty four hours in

advance

• Practice good sportsmanship

• Have fun!

Beach Volleyball Rules: • Teams consist of two people (two girls)

• Best of three games, first two are played to twenty-one and a third tie breaker game if need

be will be played until fifteen

• Teams will switch sides every seven points in a twenty-one point game and every five in

the fifteen point game to account for sun, etc.

• A coin toss will be held at the beginning of a match to determine the first server or side of

the court a team would like to play

• Three touches are allowed for each possession, one player cannot touch the ball twice

• The first touch must be a forearm dig, unless receiving a spike

• The ball may be played using all body parts

• The server must serve behind the court boundaries

• Side setting is only allowed when setting to your partner in order to set up a spike

• Netting will be necessary during a continuation play and if there is an obvious hit that

affects the game play

• Rotation of players will not be necessary

• If a team is late they will be penalized one point for every five minutes they are late

• If a team is unable to make their game, we must be informed twenty four hours in advance

to reschedule and contact the team’s opponent

• If there is a no show the team will automatically forfeit if they have not shown up within

twenty minutes of their scheduled game time

Disputes:

Most of our disputes were surrounded by weather and the availability of the courts during

the times we needed them, however there were a few regarding calls during the games.

Our first day we encountered an issue with the courts. When we got to Avila the courts

were being used. We informed the teams that they did not need to be there at the decided time

and Sierra and I sat and waited for the people before to finish their game. Luckily we did not have

to wait long and could start our games just twenty minutes later than originally planned. None of

our teams had an issue with the time change and we were able to proceed as planned.

The next weekend we ended up deciding to change the time of the games due to heat. We

were in communication with all of the teams through a group text message and came to a

consensus to change the time of the game to later in the day. We thought it would be too hot on

the sand and worried about people becoming dehydrated. We were able to talk with the teams

and schedule a time that worked for everyone later in that day when it would not be quite so hot.

During one game there was an argument about whether one of the players hit the net or

not. It was difficult to judge because each team was giving a different scenario about what

happened. Sierra and I made the executive decision to just have the player serve again, because

we did not find it acceptable to make a call since neither of us had seen what happened. At the

time both of us were watching the other two teams play on the other courts.

Set Up & Clean Up: The set up for our volleyball games was very simple. The courts were already in place; all

that was required of us was to provide the volleyballs. We also brought a few extra water bottles

in case some of the players forgot to bring one. Clean up was also very simple. We asked all of

the participants to pick up all of their trash and usually after the games we would do a quick walk

around the courts and areas surrounding to make sure that all was left as we found it.

Parking:

Parking for our league was not an issue during our league. There is plenty of parking

around Avila Beach and participants did not find any problems with finding somewhere to park.

However, we held our games on Saturday and sometimes the players would have to park further

down the street due to the high volumes of people at the beach. Even though it was crowded, all

participants found parking.

Check in:

When the participants arrived they just had to check in with Katy or Sierra.

Area & Facility:

The courts were located at Avila beach and arriving early to claim the two courts was

crucial so that the games could start on time. Before the games began we would do a quick walk

around both courts to make sure there were no harmful objects that could injure the players.

There were restrooms within walking distance of the quarts for the public to use.

Safety & Risk Management:

There are many injuries that can happen while playing volleyball. We encouraged all

participants to be cautious and made sure the courts were safe for the players. It was also

important to make sure that all players were well hydrated and that the weather was conducive

for prolonged physical activity. We made sure to monitor the players and had a plan in place if an

injury were to occur. We had first aid kits on site and were both CPR and first aid certified.

Forms:

There were no forms necessary for our league. Each team was required to come up with a

team name and inform Sierra or Katy in order to make the schedule. All participants were

informed of potential risks involved and the format of the league.

Staffing:

There was no additional staff required for our league. We carried out all necessary tasks,

such as scheduling and running all games.

Budget:

There was no budget necessary for our league. The courts were free to the public and

many participants had volleyballs that they willingly shared for the duration of the league. We

would bring a few water bottles for each game, but it was something extra we chose to do and did

not charge the participants.

Scheduling:

After our league was filled with the proper amount of teams we made the tentative

schedule. We made sure that each team played each other during the duration of our league. Our

games took place on Saturdays and we e-mailed the schedule out to all participants at the

beginning of our league, with the disclaimer that the schedule was subject to change.

Tracking & Reporting:

At the end of each game we recorded the scores into a notebook that we brought with us

every week. We would then update the brackets and inform the teams of the schedule each week.

Tournament (Shank Model) Sunday June 1st

Activities/Events: All Girls Beach Volleyball League

The league is to begin on Saturday April 26th and culminate in a tournament held on Sunday June

1st.

Theme: Beach Volleyball Participants: Cal Poly Students

Objective: The goal of this sports league is to provide a fun recreational opportunity for the

participants while incorporating teamwork and cohesion through beach volleyball.

Setup/ Cleanup:

We arrived a half an hour early to the courts to set up and make sure the courts were

available for play. We made sure there were no objects in the sand. For clean up, we asked all

participants to pick up after themselves, and after the games would do a walk thru of the courts to

make sure all surrounding areas were as we found them.

Activity/ Game: The tournament will consist of all girls beach volleyball games. The rules

of the volleyball games will remain the same as the league.

Area & Facility: Avila Sand Volleyball Courts

Equipment & Supplies: 4 volleyballs, ball bump, music (portable speakers), refreshments

Scheduling: The tournament will be played in a single elimination bracket. For the first round of

games the teams will be selected randomly and then their schedule will be determined by their

performance.

Safety/ Risk Management: There will be a first aid kit on site and Sierra and Katy are trained in

CPR. If a severe injury occurs 911 will be called and athletes will be taken to the nearest hospital.

Procedures: If it rains, the games will be canceled and the tournament will be rescheduled. If the

Expansion Plan for All Girls Beach Volleyball League

Location: Avila Beach Volleyball Courts

• Off of the 101 North or South take the Avila Beach Road Exit

Time: Saturdays from 9 a.m. until 12 p.m.

• June- August

Background: This is an expansion of the all girls beach volleyball league, which took place on

Saturday afternoons from late April through May. This league is designed for female college

students, who can maintain the level of competition as seen in our original league.

Hiring/Staffing: To adequately staff our league we will use a combination of paid part-time

staff members and eager and willing volunteers.

• Rec Supervisor: paid part-time staff, in charge of monitoring games and ensuring

everything runs smoothly

• Sports Manager: paid part-time staff, in charge of scheduling and coordinating volunteers

• Volunteers: unpaid, in charge of reffing and score keeping

Procedures for Evaluation & Termination:

Rec Supervisor & Sport Manager: positions will be evaluated once a month, and based upon need

as seen by directors

• Termination: employees will receive a notice of termination two weeks prior and an exit

interview will be held

Volunteers: volunteers will be evaluated based upon need as seen by directors & rec supervisor

• Termination: volunteer will be asked to leave if need be and a brief exit interview will be

held

Volunteer Recruiting:

Volunteers shall be recruited through social media (facebook, twitter, etc.), flyers posted

throughout SLO and surrounding areas, postings on Mustang Jobs, and through Parks & Rec

classes at Cal Poly.

Registration:

In order to promote our league there will be flyers and various forms of advertising throughout

SLO County. All of the information about the league will be provided on all forms of advertising.

All participants must be of college age (18-22) and teams will consists of two girls. There will be

an entry fee of $150 per team to cover the costs of the league for the season. The advertising will

prompt the participant to follow the process on our website to sign up for the league. The

payment will be possible through a credit/debit card or by mailing in a check. All information

will be found on our website.

Budget:

The budget will be based off of the entry fees paid by each team. We are aiming to have two

divisions of twelve teams so that our budget will be $3,600. With this budget we will be able to

pay our part-time employees and cover the other costs of the league. There will be a set salary so

that there will be no discrepancies when it comes to pay. Our goal with the league is to break

even; we are not overly concerned with making a profit since it will be our first trial with

expanding the league.

The profit from our league will be put into savings for use in futures leagues and be used for

accidentals during the duration of the current league.

Facilities:

The beach courts at Avila Beach will be used for the league. It is not necessary to reserve the

courts, but we will arrive early to claim them for our games. There are no fees involved with using

the courts. There is plenty of parking throughout Avila, so there should be no issues regarding

parking.

Equipment:

It will be necessary to purchase volleyballs for the league. The courts are already set up and

provided free of charge. There will be no other equipment necessary for conducting the league.

Risk Management:

Due to the increased number of participants we will require each person to sign a release of

liability if they should be injured during the league. This form will include all possible situations

that could occur while playing volleyball so the participant is fully aware of all scenarios. In order
