What is Email Archiving?
Keeping an IMMUTABLE copy of every mail sent and received by your users in a SAFE email vault.
Email Archiving
How does email archiving work?
Why Archive Emails?
Email is an official record
Email is the de-facto tool for corporate communication. Having a central access to all the email data also lets you find all data for contractual obligations, mandatory compliances and legal matters during internal audits.
Email Archiving Benefit #1
Email Archiving Benefit #2
Business Continuity
An email archiving service which allows end users to access their archived mails via a self-service portal, could also act as a disaster recovery site and can provide an alternate access to a user’s archived mail store – that too instantly.
Email Archiving Benefit #3
eDiscovery & Regulation Compliance
E-documents are scattered across locations including email servers, PST files on local desktops, laptops, mobile devices, backup devices and other removable media. An email archiving solution with a central access to all the information reduces such internal inefficiencies.
Email Archiving Benefit #4
Data backup
Enterprises need to back up email data which is older and still necessary for future reference, as well as required for regulation compliance. Such email archives are indexed and have easy search to make discovery and retrieval easy.
Disaster recovery
Protect your organization against all kinds of situations causing data loss such as accidental or malicious deletion of mail, data corruption on desktops, laptops or loss of end point devices.
Email Archiving Benefit #5
Improves service performance
By keeping only recent mails on the live storage and moving older mails to a secondary storage, the mail service performance improves and emaildata management is simplified.

GE Oil & Gas is migrating 500 applications, and more than 750TB of
data, to the cloud by the end of 2016 as part of a major digital
transformation, helping it attain a 52% reduction in IT costs and greater
speed to market.
Get rid of time-consuming, expensive tasks
Before migrating to Amazon Web Services (AWS), News UK ran six physical datacenters that had approximately 200 servers and another 2,000 virtual production servers. The publisher initially used AWS when developing the control system to manage subscribers’ access to digital content. Making that transition in a traditional way would have required three to six months to procure and build infrastructure before development could begin. For its subscription offerings to work properly, News UK needed to begin developing immediately, so it chose AWS.
Dole Food Company is an American-based agricultural multinational corporation that distributes its products in 90 countries. Searching for a solution to host its MSFT SharePoint sites, the company chose AWS because of cost, efficiency, and to improve operational efficiency. By running on AWS, Dole can launch a new SharePoint website in minutes, host business intelligence and mobile applications globally, and estimates savings $350,000 in operating expenses.
Customer Case Studies
The Philips HealthSuite digital platform analyzes and stores 15 PB of patient data gathered from 390 million imaging studies, medical records, and patient inputs to provide healthcare providers with actionable data, which they can use to directly impact patient care. Running on AWS provides the reliability, performance and scalability that Philips needs to help protect patient data as its global digital platform grows at the rate of one petabyte per month.
In just three months, Condé Nast was able to migrate over 500 servers, one petabyte of storage, various mission critical applications (such as HR, Legal, and Sales), and over 100 database servers into the AWS Cloud. As a result of going all-in into the AWS Cloud, the company reduced costs by 40% and increased operational performance by 30-40%.

• Solutions to reduce our expenses on data backup and to have data stored away from the main server
The Requirement
What Was:
• In premise mail server with NAS storage
• Prolonged power cuts beyond 8 hours meant UPS exhaustion and downtime
First step into the cloud
• Move mailing to the cloud and retire in premise mail server
• For over 5 years now, we have had reliable, secure communication amongst our team members
The Choice
Next set of challenges
• Emails were stored on a NAS, which was filling up rapidly
• Making a keep or delete decision for email was difficult, stressful and time consuming
• Faced with a decision to buy a new storage to augment capacity.
• Despite assurances that we had a backup on the NAS the retrieval process was time consuming and so most usrs wanted to have an desktop email solution to ensure their emails were accessible
Next step into the cloud
• Vaultastic on cloud was the solution we were looking
• As the emails get backed up automatically to Vaultastic:
• Users do not have to worry about loss of their data,
• Users do not need to have to backup mail locally
• Users can freely delete mail from the mailbox without any risk
The Choice
By taking a cloud solution like Vaultastic we have saved 7 Lakhs on:
• Adding another storage at the cost of 2 lakhs
• Additional server as an email server at the cost of 75-80000
• Other software, battery backup and space 60000
• Person to maintain email services in addition to the service provider 240000/ year
• Risk of loosing data due to sudden surges in power or other hazards
