Within the context of implementing a new ERP system, SAP, at the subsidiary company Concord Oil in Italy, Q8 was looking for a method to help them speed up the imple-mentation and ensure user adoption. According to Rob van den Bosch, SAP Core Competence Centre Manager, getting the right specifications, needs and requirements, is one of the biggest challenges when implementing an ERP system.. In addition, John Monster, SAP Consultant, points out that change management is the hardest to succeed in.

For both challenges, communication is the key: to under-stand the needs and wants of the organisation, as well as com-municating the steps to be taken during and after go-live of the project. To enable this, Q8 decided to use Mavim AIM as a communication tool for all users throughout all the phases of the ERP implementation: the business blueprint, realisa-tion, integration, testing and go-live. It helped to define the software architecture by translating the business processes to the required software components and to communicate to users what to expect from the new system in a clear way. This has led to an implementation realized within time and budget and exceeding the organisation’s expectations.

Challenges• Developing a system which would support the business

processes in the most effective way• Getting the right specifications, requirements and needs• Change management – making sure there is no reluc-

tance to the change to a new system• Communicating with the end user in a clear way• Reduce time, budget and risks

Benefits• Efficiently create an extensive Business Blueprint• Effortlessly translate the business processes to software

functionality and vice versa• Continuous communication with all end users via an in-

teractive web portal• Quickly extract testing and training material• Reuse of all information for future projects
