Adaptive case management
What is ACM
Adaptive case management (or dynamic case management) is an approach to managing the company’s business processes in such a way, that every process is managed as a separate case with key elements. Those key elements could be documents, people, events, processes, etc. The case could also be broken down into stages that should be achieved by meeting specific conditions. This approach helps to achieve the lenient decision-making, unlike the way it is done in traditional systems, thanks to the versatile choice of the elements.

BPM and ACM compatibility
Albeit the dissimilar approach, ACM doesn’t disrupt BPM, but rather adds to it. For example, if
the strict sequence of actions could be implemented in some stages of the case, they would
be modeled into business processes. The remaining stages would be described as business
requirements that should be pursued in order to complete them successfully.
That being said, the system also simulates business processes in the BPMN 2.0 notation, using
the convenient visual editor.

The most efficient way to use the case management system would be for processes that don’t have the predetermined sequence of events and their content could change from case to case. For example:

Citeck EcoS is a powerful, versatile and dynamic tool for case creation and management. Any project, process or situation could be described in the form of the case. All the case elements would be created on the preassigned stages of the case management (such stages as filling the case card, uploading necessary documents, task execution, etc.).

Every case consists of different elements. Those could be people, documents, events, categories,
etc. Using ACM in the Citeck EcoS system could help create different system elements and use
them in the case.

Case card
Every type of the element has its own section in the case card. Citeck EcoS allows configuring the
information displayed in that section in a convenient way. For example, file info contains name,
description, date and the option to download it according to the access rights; people section
contains the photo, full name, phone number; and events are displayed in the calendar mode.
The section could be configured to display the element management possibilities.

Case templates
The template could be made out of any case. Templates are cases with preconfigured elements
(stages, business requirements, etc.). Once configured case could be used to create a template
with necessary elements and stages, which significantly improves standard problem solving.

In Citeck EcoS, any element could be converted into the case (a folder, a document, an event,
etc.). For example, in order to approve the contract, it could be converted into the case, adding
stages of approval and business requirements to those stages (for example, the requirement to
create and sign the certificate of completion).

Case completion stagesCase completion process could be broken down into the unlimited number of stages. In addition
to that, the completion requirements for every stage could be implemented (particular actions or
the list of the necessary documents). The system would not allow to proceed to the next stage
until all the requirements of the current stage are met.

Citeck EcoS supports the broad spectrum of business requirements options:
•The system administrator could implement business requirements into the case attributes.
For example, one field could be made obligatory/non-obligatory or be automatically filled in
accordance to other data.
•The administrator can set up the number of obligatory and unique documents and the
approved files attached to these documents on different life cycle stages of the case.
•The requirements are described using simple declarative language, which is clear for any
engineer or administrator. Therefore, the cost of the development and adaptation is
considerably lower when the technology of business requirements is used, and, as a result,
simple requirements (like show/hide the fields, make the field obligatory for everyone or for
a specific group of users) are brought to life at a faster rate.

Setting up the case in such a way, that the system would form the closing documents pack and send those to be approved 3 days before the end of the approval stage of the case. Until the approval is done, the case won’t proceed onto the next stage.

•The system does not require a thorough inspection of the existing processes, adjustment
and programming. The users create new cases, tasks and adjust them on their own. The
result is a working, convenient, user-friendly instrument.
