7 Ways to Crush Email

1. Use a SignatureMake it easy for people to communicate with you.At the footer of each email, include your name,

title, company, phone, website and email address.

In Settings, you can remove “Sent from my…” and replace it with your personal signature.

If you are sending work emails from your phone or iPad, nobody needs to know that you are not at your desk.

2. Pick up the PhoneIf, after two or three emails an issue is not

resolved, pick up the phone.Sometimes a short phone call is more effective

than going back and forth through email.

3. DisagreementsDo not try to reconcile disagreements via email.Take disagreements off-line.You do not want an email trail of a negative

conversation.Also, tone of voice can often be misinterpreted in

sensitive situations.

4. Check Less Frequently

Constant checking of email increases stress.A study at University of British Columbia showed

that checking email less frequently (5 times a day) resulted in a reduction of processing time of as much as 20 percent.

5. Delay the SendIf you are working after-hours on non-urgent

work, it’s fine to create emails. But be sure to delay sending them until the following workday.

Nobody appreciates getting work emails late at night or at the crack of dawn.

Outlook has a feature to schedule emails and Google and Boomerang for Gmail and SendLater for Mac accomplish the same thing.

6. Keep it ShortKeeping emails short shows respect for the time

of the reader.Short emails are also more likely to be read.

7. Subject Abbreviations

Indicate the importance of your email through subject abbreviations.

Use these or come up with your own:EOM = End of MessageNRR = No Reply NeededAR = Answer Requested
