How to post your agenda

1. From the home page, click “upload document” and select the file (PDF is best)

2. Add a descriptive title

3. Add “meeting agenda” as a topic

4. Tag your team

5. You can paste the text into the description box, but it’s not necessary

6. Tag any PEs that are relevant to the meeting

7. When you are done, click save and the agenda will be “live” on the website. Your admin person will then link it to the event page.

How to edit something you posted

1. Navigate to the post

and click “edit document”

2. Upload a different file, and/or…

3. Edit anything else in the document

How to email your team

1. On the top right of the home page, click ”Account” then “Team admin.” On the next page (not shown) select “Send email”

2. Select the checkbox for your team

3. Scroll down to fill in the text of the email

4. Any reply to the email you send will be forwarded to the email address associated with your account.

How and why to @tag peopleIARPC Collaborations has a lot of posts coming in, and sometimes people don’t read everything. If you see something you want people to notice or comment on, use the @tag to with their name. They will receive an email notifying them they have been tagged and a link to the post.

3. Subscribe to the comments to be notified by email when someone responds.

2. When done correctly, their name will appear as a blue link.

1. Type the “@” symbol followed by the person’s name (no space in-between) then select their name from the drop down list.

4. In this example, 12 comments were made. Success!

How to use @Tagging to continue conversation after a meeting ends

1. This meeting as highly attended and it was clear there was more to discuss as the meeting was ending.

2. Before the call ended, the leader asked the team to submit further comments on the event page.

3. Several people commented and agenda items for the next meeting were generated.

4. When you comment, you will be ”subscribed to comments” and will receive email notifications of future comments. You can also click here to follow a thread you are interested in without commenting.

Anatomy of your Team Page

1. Link to your profile on the public side of the website (more info on next slide)

2. See who is on your team

3. View and update your performance elements (more info in 2 slides)

4. All website posts tagged with your CT

5. View info for your next meeting

6. Customizable area of the team page (more info in 3 slides)

How to Customize your Public-Side Team Page

1. On your member-side page, click “Profile”

2. The subtitle is a short description of your team’s overall goal. Contact Jessica to change it and for help tailoring it to a broad audience

3. The “Scope” section currently contains the intro text from your team’s chapter in the Arctic Research Plan. Contact Jessica to change it.

Your public team page is visible to anyone on the web; you don’t need to log into your account to see it. It’s good for recruiting purposes.

4. The “Accomplishments” section will contain a one-page summary of the year’s activities that you submit for annual reporting, usually in October. Contact Jessica for help.

How to customize your member-side team page

1. This section of the team page is editable and can include text, links, bulleted lists, sub-headings, images and video.

2. The width of the section cannot be changed, but it can be as long as needed.

3. Submit change requests to Jessica and your team administrator.

How to update Performance elements

4. Describe the action and include a link to more information if available (a link to the public side of the website or to an external website is preferred for reporting purposes).

5. If there is a date the action will take place, you can set a deadline date and the lead contact will be sent a reminder a week in advance (the deadline can always be changed).

2. Scroll down to the action table and click “+Add action”

3. Enter a lead contact for the action (this is the person who can report that the action was taken, not necessarily the person performing the action. In many cases it will be you.)

6. When the milestone is complete, use this checkbox.

1. Click “Performance Elements” on your team page. On the next page (not shown) click on the PE you want to update.

How to invite someone to join your team1. If they don’t have an account, use the “Invite a colleague” feature found on the bottom of every page on the website to encourage them to join.

2. If they do have an account, send them a link to your team page and tell them to click the blue “Join” button in the top right corner.
