Podio Process Overview STEP ONE: You will receive an email asking you to fill out the membership and organization form. This information will automatically be entered into Podio. 36 37. Podio Process Overview STEP TWO: You will receive an email from Podio that invites you to join the Region 6 VCAT workspace. Click Join Now to be taken to the Region 6 VCAT workspace and create a password. 37 38. Podio Process Overview STEP THREE: Once you are in the workspace, you can create your Podio account. Click on My Account in the upper right hand corner Click on My Profile and complete your profile as thoroughly as possible. 38 39. Podio Process Overview STEP FOUR: Find your member and organization profiles in the workspace and update ALL of the information! Note: These profiles only contain as much information as you provided on the form in step one. There are many other questions (i.e. specific services, eligibility requirements, service hours) that are beneficial to share. 39 40. Seeking Immediate Assistance Option I Use the search feature within an App or Workspace. This is for when you need immediate assistance. If you search within an App, the search results will come from that App with the option to view all results from all Apps in every workspace you belong to. 40 41. Search All Workspaces An Item is a specific detail or information that is related to the App title, example: Organization (App) with Organizations VCAT Profiles (Items). A Task is something that is assigned to you in a Project or Request Files are documents that are uploaded to Podio For example, if you were looking to search for temporary housing within zip code 48826, you would type in all of the words mentioned in bold into the search field. Seeking Immediate Assistance Option I 41 42. Seeking Immediate Assistance Option II Also, you can use the various filters in the Members App to find services provided by members of the coalition. This is for when you need immediate assistance. You can quickly look through the services provided under each of the four pillars on left side of the Members App. You can select as many filters as you would like in the Members App to fine tune your search even more. 42 43. 43 Video Tutorial 44. Seeking Long-Term Assistance Allows member service providers to request support or assistance with helping a Veteran over a longer time frame. Can contact specific coalition member(s) or the entire coalition in order to seek the appropriate assistance. Can store completed requests for others to reference navigation routes to obtain services. Ability to document case management (randomized ID number) with multiple providers assisting in the resolution process. 44 45. Long-term Assistance To add a request, select the Request App icon and click Add Request. Seeking Long-Term Assistance Fill in as much information as possible. The more comprehensive the initial request, the more efficient the process will be for all coalition members. 45 46. Long-term AssistanceSeeking Long-Term Assistance Search for your name to attach to the Submitters Contact Information Once you fill in all of the information, the next step is to send the request for assistance to member(s) of the coalition. Identify who you want to Send the Request to. You can request assistance from a specific member of the coalition. Also, you can request assistance from the entire coalition by using the @ symbol in the comments section of the request. 46 47. Seeking Long-Term Assistance This is an example of a submitted request. Once you submit a request it is automatically assigned a Request ID number. Using this number to reference, discuss and resolve the request is necessary in regards to protecting the privacy of the Veteran. This is where you can request assistance from the entire coalition by using the @ symbol in the comments section of the request. This is the activity feed that shows comments, suggestions, and updates on the request. 47 48. A notification (email, smartphone alert, or text message) will be sent once the request is submitted. OPTION I When someone receives the notification that their assistance is being requested, they can select Go there now, and this will take them directly to the request. OPTION II When someone receives the notification that their assistance is being requested, they respond with support via email, and this will be added to the request in Podio. Coalition members responding to the request can then change the Status to Active and comment with support. Seeking Long-Term Assistance This is what an email notification looks like when your assistance is requested.
