Need of E-mail Etiquette• We all interact with the printed word as though it has a personality and that personality makes positive and negative impressions upon us. By using professional email language you/your company will convey a professional image.

• Without immediate feedback your document can easily be misinterpreted by your reader, so it is crucial that you follow the basic rules of etiquette to construct an appropriate tone.

• Be concise and to the point: Do not make an e-mail longer than it needs to be. • Subject line must be meaningful: Do make the subject line meaningful. A ‘Hi’ or ‘Hello’ won’t do.• Make it personalized: Do personalize your message to the recipient. • Do not attach unnecessary files: Wherever possible try to compress attachments and only send attachments when they are productive. • Do not write in CAPITALS: IF YOU WRITE IN CAPITALS IT SEEMS AS IF YOU ARE SHOUTING.

• Read the email before you send it: It is very important to read the email before sending as it can prevent it from spelling and grammatical mistakes and thus, helps you sending a more effective message.• Use proper structure & layout: Use short paragraphs and blank lines between each paragraph. When making points, number them or mark each point as separate to keep the overview. • Take care with abbreviations and emotions: Do not use abbreviations such as BTW (by the way) and LOL (laugh out loud).• Include your signature: Do include your name and signature with additional detail and contact information.
