Using could is very simple, polite language you can use

anywhere, anytime

We use there phrases when we want to more polite and

less direct. We use them when:

-When the person we are making the request to has no

obligation to say yes?

- When we are making a big request.

- When we are making a request to someone higher up in

the company (or your mum!)
