Contract for Banquet and Catering Services

Function Room Reservations

All Banquet rooms are assigned based on the anticipated number of guests and the basic requirements ofyour function. If attendance increases or decreases, or your program changes, the Conference Center reservesthe right to reassign a room appropriate to the event.

Food and Beverage

All food and beverage served in the Housing Facility and NCED are to be provided by and consumed on thepremises of the Housing Facility or NCED. Dietary substitutes may be made in advance. Alcoholic beveragesare to be served only by Hotel servers and bartenders and consumed in designated areas. We would be morethan happy to provide catering services in the Conference Center or Conference Hall. Receptions, banquets,conference break items and other types of catering events are available, upon request, and are subject toadditional charges and sales tax.

Security

The Conference Center will not assume responsibility or liability for the loss or damage of any merchandiseleft at the Conference Center prior to, or following a function. Arrangements can be made for the security ofexhibits, merchandise or display items prior to your event through Conference Services.

Catering Pricing

All food and beverage charges are subject to applicable sales taxes. By state law, sales tax is added to the totalcost of the function. Organizations which are tax exempt must provide a State of Oklahoma Tax ExemptAffadavit in advance of the function. Otherwise, tax will be charged. Printed menu pricing is subject tochange without notice; however, all contract pricing will be honored. Please initial_____________

Guarantee

It will be necessary for all menu items to be finalized at least three (3) weeks prior to the function. Aminimum guarantee number of attendance is required three (3) business days in advance of the function. Thisnumber will be considered a guarantee, not subject to reduction, and charges will be made accordingly. Werequire your minimum guarantee number of attendance to be at least 80% of your estimated attendance. Ifthe Catering Office is not notified, the expected attendance will become the guarantee. The Conference Centerwill be prepared to set and serve 3% above the guaranteed number.

Conference Rooms

All conference rooms and spaces for catered events at the Housing Facility or NCED must be reservedthrough the Conference Services Office at 405-366-4752, Monday through Friday, 8:00 a.m. to 5:00 p.m.

Catering Services

All catering services at the NCED Marriott Conference Center must be arranged through the CateringDepartment at 405-447-9000, extension 1822, Monday through Friday, 8:00 a.m. to 4:30 p.m.

Payment

Payment arrangements should be made prior to the function. All Postal groups must inform and provide theConference Services Coordinator a copy of a purchase requisition to cover all incidental charges. If a purchaserequisition is not provided, Postal groups will be required to make other billing arrangements prior to theirarrival and may be subject to taxation.
