Email is short for 'electronic mail'. An email can be sent to a single email address or to multiple addresses.

It’s quick and easy to use. An email typically arrives seconds after it’s sent.

Unlike letters, a single email can be sent to multiple people at no extra cost.

Emails can have text, images, audio and video in them.

Files can be sent with an email, as attachments.

Emails can be forwarded. This is when you send an email you’ve received on to someone else.

All email providers work together. Regardless of provider, if you have a person’s email address you can send them an email.

It doesn’t cost to send an email. The costs are covered by your internet service provider (ISP) or by advertisements.

Because it’s so quick, it’s easy to send an email you might later regret, or to send one to the wrong person entirely.

Emails can be misunderstood. A rushed email may be interpreted as rude by the recipient. Emotions can help but are best avoided in formal or professional emails.

Email overload - because it’s so easy to send an email it’s possible to receive lots of emails every day, sometimes far too many to deal with.

Spam and junk mail – emails you haven’t asked for and don’t want. A good spam filter will stop most of these from reaching your inbox but sometimes mail that isn’t junk may slip into your junk mail unnoticed. It is always worth checking your junk mail if an email you are expecting doesn’t arrive.

Attachments may contain viruses that can damage

your computer.

There is no way of knowing if a recipient received an

email unless a read receipt is used. A read receipt is

sent to the sender when the recipient opens the email.

It’s rare to receive an instant response to an email as

they may be treated as less urgent than a phone call.

Users can hide behind false online identities, which can be dangerous.

People you don’t know may gain access to your personal information.

If you don’t apply security settings, a potential employer may see something you’ve posted online that they don’t like or agree with and decide not to hire you.

Targeted adverts can be unsettling and intrusive.

Viruses are becoming increasingly common on social networking sites.

Keeping up to date and active in all of these communities can take up a lot of time.

Meeting people online can be less fulfilling when compared to meeting people face to face.

Video conferencing

Video conferencing is a phone call with video.

Specialist equipment can be used for video

conferencing and often is used in business. At

home there are cheap and even free services

that take advantage of a laptop’s webcam.

Two or more people can edit a document at the same time, this is called collaborative working. As one user changes something, the other person’s screen will show the changes.

The editing options are less advanced.

Backups may not be done and even if they are, there’s no way to know how frequently.

The service may close or go bankrupt, taking your documents with it.

Hackers may gain access to your documents.

If you’re working collaboratively, managing many people editing single document at once can be time-consuming.

Introducing ICT into a workplace will have

many advantages to an organisation as it

attempts to keep competitive in an ever global

market. However there are some drawbacks

also.

Drawbacks of ICT

Financial cost: The initial outlay of buying new equipment is normally expensive, as well as maintenance costs.

Demoralise staff: Employees' motivation may suffer if part of their job is replaced by ICT. This de-skilling of their job may make workers feel that they are vulnerable to being made redundant.

Breakdowns: Machinery and equipment may suffer breakdowns which will affect production.

Resistance to change: When introducing new technology employees may feel threatened or may not wish to learn something new. This can create tension. Also there will be training issues that need to be addressed.

Productivity: With new technology, productivity

should be increased as some activities will be

speeded up.

Quality and accuracy: Machines are capable of

producing the same standard of product over and

over again, which reduces human error and

therefore reducing waste or errors.

Lower labour costs: Machines and

technology can replace some human

tasks, and over time this will make

some employees redundant. This saves

the business paying wages for labour.

Communications: Through new

technology such as email and video-

conferencing, communications will be

improved within a business and also to

external customers. Communication

between branches or even between

countries will be improved.
