Google Hangouts On Air• Google apps are rich in free-access tools that offer instant

communication vehicles and collaborative work tools. However, since they are so marketing driven, it is sometimes difficult to figure out how to actually use their tools. But once you become used to them, you will be using them with ease.

• This presentation provides a quick glance at using Hangouts on Air to 1) view the class session online and 2) create your own live video web conference.

Note: These instructions are valid as of January 2014. As features and functionality are ever-changing, there might be slight variances in the steps presented here.

Setting up Google accounts

What you will do:• Create google accounts and join the class community in Google

What you will need• A gmail account• A google+ account

Steps:1. If you do not already have these accounts go to https://accounts.google.com/SignUp and

create them. Tip: Please set these up ahead of time. Do not wait until day of broadcast.

2. Send your gmail address to your facilitator. He/she will invite you to the class community.3. When you receive the invitation to the class community, accept the invitation.4. When you receive the invitation to the class hangout, accept YES.5. Optional: Explore Google Community, Google Hangouts, Google Events.

Note: a Google account is not required to view a Hangout – you can access the stream via a YouTube link. However, you would not be able to participate in the chat window. For purposes of this class and to participate in the class community, the Google account is required.

Joining the live hangout – Step 1

What you will do:• Join a synchronous web class (Meet the Virtual Math Expert – Week 3)

delivered over Google Live Hangouts On Air

Steps:On the day and time of the broadcast, go to your Google+ area (accessed by clicking on the “+gmailname” at the top right corner in your gmail account). Tip: Prepare to join 5-10 minutes in advance.

Navigate to the event post and click on the class event.

There are several ways to access the event:• google+ home feed• community class page• events feed• email invitation link

(Oddly enough, it will not appear on the Hangouts page!)

HOME FEEDClick to your Google+ page and search for the event post in the feed.

COMMUNITIESClick to your Communities area, select the class community page, and then search for the event post in the feed.

EVENTSClick to your Events area, search for the event post in the feed, and click on the event name or time to get to the hangout page of the event.

Once on the hangout page, click on the video icon to start.

On this page, you will also be able to see who else is viewing, the details of the event, and a comment area.

You can either view the broadcast directly on the page or sometimes it will pop up into a new screen.

If the Q&A session is enabled, you can send in questions throughout the broadcast by clicking on the “Add new question” button on the bottom right.

Overview

In this presentation, we will provide an orientation to creating a Google broadcast by walking through some general steps. Resources will be provided for more in-depth information on extended features and navigating the on-air controls.

What you will do:• Create a Google Hangout live broadcast

What you will need• Google+ profile or page• YouTube channel• Invite list (circles, communities, emails)

Initial set up

• Create a Google+ profile account if you have not done so already.

Make sure you verify your YouTube channel through SMS (To get unlimited time. Otherwise you are limited to only 15 minutes for your broadcast).https://support.google.com/youtube/answer/171664

Schedule a Hangout – Step 1

• Visit your Google+ page and select Hangouts in the dropdown menu options (or go to plus.google.com/hangouts). • Then click on the blue “Schedule a Hangout on Air”

button.

Schedule a Hangout – Step 2

• Name the broadcast. • Add a description.• Schedule the broadcast

date and time.• Select the audience.

Either enter individual emails, select a circle, select a community, or open to the public.

• Click share.

Note: The broadcast will not start yet. This step is merely setting up the hangout and inviting your guests to the program.

Schedule a Hangout – Step 3

Once your event page has been created, you can add a video or image as a custom trailer for your Hangout On Air. • Click on the Trailer button.• Select and upload from the

vailable options that appear at top (search YouTube, enter url, upload, or from preloaded images).

• Click on “add trailer” button to complete.

Before the broadcast, click on the Q&A button if you want to enable the Q&A feature

Go live!

• Once you click Start broadcast, you're officially "On Air" and the public will be able to watch your live broadcast.

• You will have the opportunity to invite the guests/participants who may also appear and speak on the broadcast.

On air

• If you plan to have more than one speaker appearing in the broadcast, you should identify who the moderator is who can carry the conversation forward and manage the Q&A session with the speaker.

• You can also have students participating, but note that you will need to add your participants to a circle and invite them at the time of the Hangout.

• The max number of people who can join the Hangout is 10. As your number of participants inches towards 10, you will need to moderate the discussion more to ensure everyone has a chance to speak and people aren’t talking over one another.

Ending the broadcast

• When you are ready to end the broadcast, give your final remarks and click on the “Stop Broadcasting” button.

• The recording will be available on your google+ Home page.

• You'll also be able to edit the recording when the Hangout On Air is over which will automatically update your post (and the video URL) to show the edited version. If interested, visit your YouTube Video Manager to edit your video.

Considerations

• Send reminders about the broadcast including on the day of the on air session.

• While you don’t have to invest in high-end equipment, try to use a headset and have enough light facing you from behind the webcam source.

• Be aware of what’s visible in the background and make sure it’s projected professionally.

• Your on-air session can be viewed on the google+ page, directly in YouTube, or you can even embed it in your own website. There are pros and cons to each. (For more information, see: How to Create Google+ Hangouts On Air: A Complete Walkthrough)
