Expectations includes over 70 predefinedcriteria based on the San Jose Model.Criteria sets include General,Communications Training Officer (CTO),and Field Training Officer (FTO).Administrators can modify the criteria tomeet their agency-specific requirements.In addition, all program functions arepassword protected.

Expectations simplifies many of the tasksrequired for conducting evaluations. Trends areeasily identified with the extensive color-codedcharting feature. Expectations also providesadministrators with valuable information on theevaluators’ rating standards.

The software allows for a system administrator to Add/Modify/Delete aTrainer/Supervisor or Employee. The administrator is also provided datamanagement functions necessary to maintain the Expectations database. Thedata management functions consist of performing backups, restoring data,enforcing comments for specified ratings, and Add/Modify/Delete criteria.

Expectations provides three levels of securityaccess within the system. Administrators havelevel 3 access, which provides full capabilitieswithin the program. Trainers and supervisorsand can be given level 1 or 2 accessrespectively, which limits what they can seeand who they can evaluate. The administratorwould set up the hierarchy of who can writeevaluations on certain employees and accessthis information for review.

Supervisors are guided through the evaluationprocess with all criteria and guidelines shownon the screen. Comments are easily added toillustrate the rating given the employee ineach category. The criteria for each position isprovided in writing to the employee when heor she enters the position. The employeeknows not only what will be evaluated, butalso what degree of performance he or shemust attain.

The standard guidelines of an evaluation consistof the seven-point scale that are defined inthree levels (1, 4, 7) with 1 denoting the worstpossible behavior, 4 denoting acceptablebehavior, and 7 denoting the highest level ofperformance. The four other points on thescale (2,3,5, and 6) allow the evaluator somelatitude in grading.

The view/print criteria set screen allows supervisors to select the desired criteria set from a list of all availablecriteria sets. Information for a selected criterion is displayed in the text boxes located in the View frame.Users can navigate sequentially through the criteria contained in the set.

Once the write evaluation option isselected a tab displays a list ofTrainees/Employees and criteria setsassociated with that employee forwhich the current user can write anevaluation. An asterisk denotes theone or more incomplete evaluationsexist for the trainee. To write anevaluation, select a Trainee/Employeeand the criteria set. Clicking on thewrite evaluation button opens theevaluation writer screen. From thisscreen the evaluator fills in pertinentinformation on the trainee such aswhat shift they are on and what phaseof training they are in. A date rangeand any specific comments can also beentered on this screen.

Once the Trainee/Employee Evaluation tab isselected the evaluation screen will appear.The criteria being evaluated will appear atthe top of the screen, followed by the threelevels of behavior with descriptions of whatthat behavior level entails. The evaluator canselect a button 1 through 7 to provide asliding scale assessment for the employee foreach criteria. If that behavior has not beenobserved then a Not Observed or NotResponding button is provided. Also theevaluator can enter specific comments in thebox provided regarding the employeesbehavior as it relates to this specific criteria.When the forward arrow button is selectedthen the next criteria set will be appear onthe screen. At the end of the evaluation theevaluator can check spelling and save theevaluation. Click here to view a demo

Once the evaluation is completedthe user selects the Save/Quitbutton and a window will open withthe following options. Complete,incomplete, discard evaluation,discard changes, or cancel. If theevaluation is not finished then onewould select Incomplete so as tocome back later and finish theevaluation. If however, complete isselected then no further changescan be made to this evaluation.
