Student Locator (Kiosk) Screen
The Student Locator Kiosk lets you know WHO is WHERE and WHEN they are returning to your boarding house.
This is a real time record of boarder location with easy colour code indication. Hover over any boarder image and their location will be shown on screen.
Sign-in Sign-out
The Kiosk screen is used to sign boarders in and out of the boarding house. Many schools using REACH commonly have kiosk touch-screens set up in their boarding house entrance for boarders to sign themselves in and out of the boarding house.
Wesley College in Perth has a bank or three touch screens which boarders use to sign in and out of the boarding house.
Linked to the screens are RFID card scanners which allows boarders to scan their student ID card to identify them in REACH.

7. End of Shift Report
End of Shift Report
You can design your own End of Shift Report in REACH to suit your campus with an unlimited number of report sections . Reports are immediately saved and historic reports are easily accessible with full search functionality. You can search for historic reports by staff name, student name or any specific content with wildcard word search.
Sharing reports is as easy as selecting an existing distribution list or identifying individuals that you would like to receive the report. Your End of Shift Report will then appear with a notification alert to the circula-tion list.
Integrating your End of Shift Report with your student records is automatic. Whenever a student is named in an End of Shift Report REACH pushes a record of that to the students personal records in their welfare and behavior records.

REACH v3 - 5 great new features REACH-3 provides many excellent developments that significantly improve the speed and user
experience. It also sets the platform for even more great enhancements we have planned to make
REACH the hub for all of your boarding school administration. Here is a profile of just five of the
great new enhancements that are implementing in REACH-3.
1. Multitasking made simple
Each new workspace tab that you open will not interfere with any of your other open workspace
tabs and any records updated in one workspace will update intoall other workspace tabs. When
you’re working on something and quickly need to check on or do something else you can now
do this effortlessly in REACH.
2. Background Cacheing
Sometimes the things you cannot see can deliver some of the
greatest benefits ….. SPEED ! One most significant and tangible
benefits of REACH-3 is “speed”. Transactions are processed in an
instant. REACH continuously caches and updates data with the
database in the background so you can move on to your next task
and not wait for REACH to catch up with you. R3 is just like a duck on
water. The body looks calm but the feet below the water are
paddling frantically. When combined with your multitasking tabs R3 is a system that can work as
fast as you can imagine, on as many tasks as you can personally handle.
The workday of boarding staff is characterised by juggling multiple tasks throughout the day so
REACH-3 is built to help you manage multiple tasks at once. Multitasking in REACH is unlimited,
you can work on as many items as you want simultaneously simply by opening a new workspace
tab on your dashboard screen.
3. Student Sidebar The new student sidebar manager will change the way you manage student records. When you
click on a student name anywhere in REACH the Student Sidebar screen will open from the right
have side. The workspace is actually seven screens in one, giving you access to student records
in REACH and an ability to easily move between all of the student management sections without
interfering with your main workspace.
The Student Sidebar allows you
to view the complete boarder
details including their leave
history, roll-call history, pastoral
notes and location tracking
history. It also allows you to
write notes to the student record
and to easily move between
different students. The Student
Sidebar screen operates as a
completely independent work-
space to your main workspace in
REACH.
Having wifi problems at your school ? Perhaps you are taking a student
group to a remote location. Never mind, REACH-3 has got you covered
giving you the ability to complete transactions off-line. You can do what you
need to do when you cannot connect and your system will sync your changes
and records to the main database when you are able to reconnect and
upload to your REACH portal again.
4. Off-Line functionality
When you are looking at leave events in
your R3 Running Leave Log a simple
click on any leave event will bring up a
complete profile of that transaction for
users to view and action from. It’s fast,
it’s thorough and it gives you a full
status of the leave event and all of the
people involved in the process for each
event.

Automating your boarding school activities with a software product can deliver excellent benefits in efficiency, control and record keeping for you and your staff. Removing paperwork alone can save
you many work hours each month in paper sorting and filing.
What are the important questions for you to answer when considering Boarding School Software for your school? What focal points help you to identify the product that can provide the greatest benefit
for your school?
Here are ten questions you should ask any supplier to help you get the most capable and
flexible system.
What is data security like ?
This is your first question because it’s the most important. Securely handling and storing the private data of students and parents at your
school should be a mandatory requirement for any system.
As a starting point you require a system that stores and handles data to
meet the Federal and State Personal Data Privacy laws of your region.
In addition, you should also be mindful of data residency, that’s where your data is stored. Your school should determine if you are willing to
have private data of students, parents and staff stored overseas where data storage
providers may not be subject to your country’s privacy regulations?
REACH is able to guarantee that our data is stored domestically. We can
prevent the personal information of your students, staff, parents and hosts residing in loca-
tions outside of your own country.
Where will your system be hosted ?
For some schools there may also be internal school policies that
regulate and limit the storage of student’s personal data to
on-campus, school managed servers only.
REACH offers schools the option of Cloud hosting or self-hosted
environments. If your IT Department or school has on-campus data
storage requirements then a Cloud based system will not be suitable
for your school.
you need to ask when you consider
implementing Boarding School Software.
2
Can the system be used on multiple devices and platforms?
The world is mobile and so are your staff, students and parents.
The ideal system will match with your mobility requirements. Gone are the days where your software needs you to be sitting at a desk
to operate it.
REACH provides users with multi device operation (PC, tablet,
smartphone) and multi-platform functionality (iOS, Android,
Windows, Blackberry, etc).
Be mindful that your largest user population will be your parent community and they use a wide
range of device platforms. Without their engagement then any system will be compromised. So
look for systems that provide broad coverage across all operating platforms so you can accom-
modate the broadest possible population of users.
Can the system provide single sign-on with your
school systems?
Do your users need yet another username and password to remember?
REACH is able to integrate with your existing school protocols and provide
a single-sign-on capability. This means your staff, parents and boarders can
use their existing school login/password details. This simplifies the
management of your system for both users and administrators.
The most common help request for practically all software with large user populations is for
username and passwords. Keeping them aligned with your school sign-on details will ensure
that parent and boarder user help requests are reduced to a minimum.
Can the system integrate with your existing
school database ?
Running separate databases for your Boarding School Software and
your main school database can be inefficient and problematic. Which database do you keep accurate ? Which database do you operate as
the primary “source of truth” for your school ?
REACH has open API connections. This allows it to link directly to any main school database systems for direct access to data feeds of important information for your
students, parents and staff. This way only one contact database needs to be maintained, making
it easier and more efficient to ensure the accuracy and efficiency of your record keeping.
3
Can the system help you to manage all of your activities?
If you are going to invest in a tool to provide you with efficiency and
control benefits it makes sense that it covers as many aspects of your
daily operations as possible.
REACH provides 10 powerful modules that help you consolidate your boarding activities into one single system. Running separate systems for
different boarding functions can fracture your record keeping procedures
and create additional work for you to maintain data and reports from
multiple recording systems.
Can the system provide you with quality reports ?
Reducing your paperwork and gaining operational efficiency is only one of the benefits of automation. The other great benefit of
automating your business processes is data capture. The pay-off from data capture is an ability to recover data rapidly to produce quality
reports.
REACH provides a flexible reporting module which allows you to tap into the vast collection of data that is generated from your daily
transactions. It enables you to produce a wide range of reports which
can provide you with tremendous insight into your boarding house
and play a vital role in your management and continuous improvement programs.
Does the system allow you to work on more than
one task at a time ?
Let’s face it, your work day is about juggling multiple tasks at any
point in time so it is sensible that any new system can do the same.
REACH allows you to work on multiple tasks simultaneously rather
than have to work on only one task at a time. Multi-tasking is where
REACH can multiply your efficiency gains and significantly improve
the capability of your boarding school system.
4
Does the system allow you to work off-line ?
What happens in times when you cannot connect ? Even when you are on
-campus there will be times when your school’s systems are unavailable, wifi access is limited or unavailable. Or perhaps you are
taking a student group on an excursion to a remote location.
REACH gives you the ability to complete transactions off-line. You can do
what you need on REACH when you cannot connect and your device will
automatically sync with the database when you are able to reconnect again.
Can you customize the system to suit your campus ?
Every campus is different so it is important for you to be able to
customize and configure the settings and workflows to suit your
campus.
REACH provides you with the flexibility to configure your system to fit
in with your campus. You can set your own protocols and processes to suit your campus workflows. This makes implementation easier and en-
sures that there is minimal disruption for your staff, student and parent
communities.
REACH is the ultimate management tool that can seamlessly integrate with your existing school systems. It provides a secure, efficient and accurate transactional record keeping system with rapid
and flexible data recovery for reporting purposes.
Implementing REACH Boarding School Software can provide significant benefits for the
management of risk and improving efficiency in your boarding school.

Industry innovation award for REACH. Australian Boarding Schools Association national innovation award 2014.
Every two years the Australian Boarding Schools Asso-
ciation (ABSA) recognises a person or school who has
stepped out from the pack to achieve something excit-
ing in their school that provides the boarders and/or
the staff with an excellent standard of service.
At the ABSA National Conference in Novem-
ber 2014 Michael Holland (Head of Boarding
at Brisbane Boys College) and REACH received
the ABSA Industry Innovation Award for the
development of REACH School Boarding Soft-
ware.
What began as a conversation on at a training
session for rugby in 2012, when Michael Hol-
land was Head of Boarding at Guildford
Grammar School in Perth, has resulted in a
comprehensive Boarding School Management System
that helps boarding schools across the world to man-
age risk, gain efficiency and improve communications.
With Michael’s assistance as REACH’s founding pilot
school our development team identified and tested
REACH from the ground up with a constant user focus.
Within 12 months of launch more than 50 schools in
Australia, New Zealand, Asia, USA, Canada, UK and
Africa benefit from using REACH School Boarding Soft-
ware to manage their daily boarding activities.
Innovation and development for REACH is ongoing and we continue to engage with schools who
to identify and implement innovative new features that set a benchmark for how boarding
schools managing risk and manage their duty of care in boarding.

REACH ensures your school runs like a well oiled machine.
End of Shift Reporting REACHing new levels of efficiency and integration in your daily reports.
Writing end of shift or day reports in REACH Boarding
School System is a simple process with the integrated
End of Shift Reporting module.
Staff can easily capture, share and recall important
information about activities occurring on campus or in
the boarding house.
Circulating, and filing reports is an automatic process,
as is the saving of individual boarder records where
students are named in End of Shift reports in REACH.
Design your own report
The REACH report creator enables you to design your
own reports. You can create as many sections to a
REACH End of Shift Report as you require. Adding or removing sections is as simple as a click of
a button and sections can be named whatever you wish.
Each section can also have a descriptive placeholder which displays in the
content area on empty reports.
This allows boarding staff to set instructions or guidelines for the content
that they want reported in each section, prompting staff for relevant
input as they are writing the report. The placeholder descriptions can
also be used as a useful reminder to highlight specific areas of focus at
times when there may be a specific attention being placed on some behavior or activity in a
boarding house.
The power of integration
Collating and capturing information for any report or form is just the starting point of its
usefulness. The real power of End of Shift reporting in REACH is the simple sharing of information
and the integration of relevant material into other record keeping and reporting modules.
Easy report distribution
Sharing End of Shift reports in
REACH is as easy as the report
writing itself. Reports can be
distributed automatically to any
individual staff member or to groups of staff members simply by assigning
them to the circulation list. When submitted, all recipients will receive a
notification alert in their REACH inbox with a direct link to the report.
Automatically update your student welfare records
REACH’s end of shift reporting provides integration with individual student records. Whenever a
student is named in an end of shift report a unique record is generated and stored in the
student’s welfare records to note
that they have been named in an
End of Shift report. You can also
set a category of behaviour for
that record so it is recorded to
student records as a positive,
negative or neutral reference.
Easily recall and recover information
Recovering information or finding historic reports is
rapid and simple.
REACH enables searching for historic reports by date
range or by any specific inclusions such as staff
involved or students named. You an even search by
for any word that has been used in historic reports.

Managing Cut-Off times and Availability
Windows for boarder leave requests.
Do you set cut-off times or availability
windows for student leave requests in your
boarding school? You can easily set
availability windows or cut-off times for all
of your leave types in REACH Boarding
School Software. In addition you can also
set your leave cut off times to be hard or
soft cut-offs.
A Soft Cut-off time will allow a student or parent to still submit their leave request after a nomi-
nated cut-off time. However, when submitting the leave request, REACH will notify the parent or
boarder requesting leave that the request is being being submitted outside of the approved win-
dow or leave cut-off time and that it may be rejected. REACH also allows you do deliver a custom
alert message to the leave requester when a leave request with a soft cut-off time is being sub-
mitted.
A Hard Cut-Off will not permit a leave request to be submitted once the cut-off time has passed.
It is a clear and final closing of the leave request window for a leave type. When a leave request
is submitted your custom notification message is delivered to the leave requester confirming that
the leave cannot be submitted and that they should contact relevant staff if they need further as-
sistance.
Leave Cut-offs and availability windows for
your leave types are just one of the many
features in the REACH Leave Management
module. REACH allows you to configure
your entire leave process to suit your
campus. The system is very flexible and even
the most complicated structures and
protocols can be accommodated to help
your school seamlessly implement your
boarding school policies and procedures.

REACH INFINITY
Manage User Access Control like never before
with unlimited flexibility and endless possibilities.
We have redesigned the REACH User Access Security System from the ground up to cre-
ate a more robust and flexible system that provides administrators with complete control
across the entire user base.
REACH now has an unsurpassed and completely new security protocol called REACH
INFINITY.
Get flexible Access Control across your entire user base
Every User, every Screen and every Action can be controlled by system administrators.
This means you can configure REACH exclusively to suit any individual user or any group
of users as required.
Your flexibility is unlimited and the possibilities are endless.
The core security infrastructure of REACH INFINITY is based on three pillars of manage-
ment which determine the Access, Behaviour and Control functions that are made availa-
ble to every individual user of REACH.
www.reachboarding.com
Configuring REACH INFINITY can be as simple or as customized as the you want it to be.
Lets take a look at five sample user configurations to demonstrate the power of infinity.
1. Default Role: Select any of the preconfigured
roles provided in REACH and assign users to
those roles
2. Administrator Defined Role: Create your
own pre-configured roles in REACH and
assign users to those roles
3. Modified Role: Take any existing
pre-configured role and you can add or remove
viewing or action access to any of the individual components of REACH to any us-
er’s security access profile
4. Custom Role: Customise from the ground up any user’s security access profile.
Select from more than 250 individual permission options to exclusively manage
any user’s access, behavior and control ability in REACH
5. New Role: If you have a new requirement or restriction you want to introduce that
does not already exist in REACH simply create a new permission (eg: restrict the
viewing of medical information or dorm comments) and then simply assign the
permission to any role, individual user or group of users.
You have infinite possibilities with REACH INFINITY.
www.reachboarding.com
Administrators now have the ability to
manage more than 300 individual access
permission options for any individual user
in REACH.
When it is not necessary to manage
user access in such detail
administrators can simply select from a
range of predefined access roles.
The power of REACH INFINITY is in the
ability to change any single access
permission for any single user to set their
access permission to any part of REACH.
Multi-tasking ensures maximum efficiency
There’s a lot to do in boarding. You have a lot of
students to care for, a lot of things happening at any
moment in a day.
Juggling multiple tasks at any time is what boarding staff do. You have to in order to work efficiently and meet the
heavy workload.
It’s an odd contradiction if what should be your greatest
efficiency tool, your boarding school software, restricts
you to working on only one task at a time. That’s why at REACH we developed the ability for us-
ers to multi-task.
With REACH you can open as many different workspaces as you want. Your open workspaces
will sit at the top of your REACH dashboard and each workspace will update to maintain their
real-time presence as you make changes in other workspaces on REACH.
You can switch seamlessly between any of your workspace tabs
and work on multiple activities simultaneously.
You may have a dorm roll-call in one tab, a student profile being updated in another, checking a
student medical report in another tab, your sign out kiosk in another, your daily campus
movements in another …. there is no restriction to any workspaces that can be open.
Eliminating your paperwork overload is just the beginning of the efficiency benefits your school
can gain from REACH. Multi-tasking your daily workload provides a multiplier effect for the
efficiency benefits that you can expect when using REACH at your boarding school.

Setting up a student sign-in / sign-out kiosk.
It is possible to set user kiosks in your boarding house for
boarders to sign themselves in and out of the
boarding house using touch screens or tablet
computers.
These screens can be locked down to link to a
permanent display of the REACH Kiosk Dashboard which
allows boarders to rapidly identify and assign
themselves into or out of the boarding house.
What you need to create your own boarder sign-in / sign-out facility
1. Determine your traffic flow – how many boarders do
you have ? Determine how many devices will be required to
prevent significant delays and frustration in your high traffic
times? Best results will be achieved during peak periods if
you provide one device for every 30-40 boarders. Common practice is to lock a single device to a year or house group.
2. Determine your device – the type of device you use will
impact your wiring and space requirements. It will also de-
termine if third party hardware connections are possible.
3. Determine any connections—REACH can be connected to various RFID scanners to
integrate with student identity cards. If you intend to use student identity cards as a tool with
REACH then the device scanners will need to be linked to the touch-screen device using
USB. Be aware that Apple i-Pads cannot accept USB connections. Some Android tablet
computers will provide for USB conection.
Setting up your student SISO kiosk is not complicated but it does require some planning and
understanding about how you woulod like the devices to operate.
You can watch an interview with Brad Evans, Head of Boarding at Guildford Grammar School
and see boarders signing in and out of their boarding house using wall mounted tablet devices
at this web address. http://reachboarding.com/kioskvideo
In this video you will also see that Guildford Grammar
also use a large TV screen to display the Kiosk
Dashboard in their main boarding house foyer. This
allows staff to have a visual display of all boarders and
their location on campus in real time.
Using room numbers and boarder watch lists
Sort or Rank your roll call list by Room Number
Sorting or ranking a roll call list by room
number is now very simple in REACH with room
numbers becoming a standard data field for every
boarder profile.
Every boarder can be assigned to a room number
in REACH. Then, when staff are taking a roll call
you can easily sort the filtered list of students by
the Room Number column will ensure that your
roll call list runs in sequence with your boarding
house room numbers.
It’s a simple but very useful addition to the
REACH rollcall feature.
Creating Watch Lists or priority lists for boarders
Keeping an eye on a high priority list of boarders is also very simple in REACH.
It is common for schools to have
a watch list of boarders. They may be
students who need special attention or
students who’s behaviour has staff
concerned enough that they want to
keep a particularly close eye on them.
REACH users can easily create an unlim-
ited number of watch or priority lists as
student groups in REACH. You then
have the freedom to add or remove stu-
dents from these lists at any time.
www.reachboarding.com
Once a watchlist is created then you can use the filtering process in all REACH operating screens
to isolate your list for any activities in REACH (ie: boarder lists, reports, sign in/out kiosk, roll calls,
etc). It’s another way that REACH helps schools to manage their boarders.
