TOP BAR Shows which swim meet is currently open in the Meet Manager program. Always double-check you’re in the right meet!
FILE To create or open an existing database; to back-up a database; to import and export entries, rosters, events, results, time standards, and records.
SET UP To specify details about a particular meet, such as date, type of meet, scoring criteria, entry limits, formats for results and reports, set to expect pads at both ends for split times, seed all timed final events fast-slow or slow-fast
EVENTS To establish event numbers, stroke, distance, age group, gender, scoring, timed final or prelim/final, event fee, # of lanes using, seed some events fast-slow or slow-fast
ATHLETES To add/delete swimmers in the meet, change swimmer information (age, gender, team), change events entered, seed times or heat/lanes entered in events
RELAYS Add relays to a meet or change relay information: A,B, C, relay, swimmers competing on relay, relay entry/seed time, relay swimmer order
TEAMS To manually enter new teams into a meet or to change information about teams already entered
SEEDING To seed events, scratch swimmers from an event, confirm # of entries and heats per event
RUN Run a meet by importing times from a timing console, view/calculate imported times, indicate disqualifications, score an event, adjust swimmers in lanes
REPORTS Create reports on team entry lists, psych sheet, meet heat sheet, session timeline, lane timer sheets, results and scores
LABELS Create relay cards, award labels, mailing labels

OPTIONS
Allows for global changes to scoring, fees, # of lanes used in prelims/finals/timed finals, seed preferences, pads at both ends for splits
ATHLETE/RELAY PREFERENCES From the Set-Up Menu
The Athlete Preferences section determines which fields are enabled in the Athlete Add Menu. Relay Preferences pertains to what is allowed when adding relays and relay swimmer names. The Competitor Numbers section determines whether competitor numbers are to be used or not (usually not).
Athlete Preferences: Enter Ages if events are based on ages (6 & Under events, 11-12 events, etc.)
Enter Birth Dates to have MM automatically compute ages
Enter School Year usually applies only to high school and college meets
Enter “Citizen of” is optional
Enter Athlete Status choices are Normal, Exhibition, Foreigner, Disabled or Rookie
Relay Preferences: Allow “A” Relays Only prevents entering more than one relay per team, so that “B” or “C” relays are prevented
from entering
Allow anyone from any team on a relay means any person from any team can be on any relay. Usually used for All-Star or Zone meets
Allow athletes on 2+ relays in same event allows the same swimmer to be on the B-relay in prelims and the A-relay in finals
All-Star Meets: Relay Names linked to LSC is used in the Relay Names menu from the Run and the Relays menu and means the eligible athlete name list is based on LSC rather than the team affiliation.
Competitor Numbers Competitor Numbers are optional in MM. The program will automatically assign this number as swimmers are added to the meet. It will automatically re-number all swimmers starting with any number and will then re-number alphabetically by team and alphabetically by name within each team. If the box “Enter competitor numbers” is not checked, the competitor number text box in the Athlete Menu will be enabled.
EVENTS MENU

ADD EVENT Creates a sub-menu allowing for events to be set up; event numbers can range from 1-999, avoid use alpha-numeric event descriptions except for swim-offs (#9S-swim off in Event #9)
EDIT EVENT Allows for changes to events previously selected parameters
DELETE EVENT Delete the highlighted event
COMBINE EVENT Opens submenu for setting combined events for scoring purposes, such as distance or relay events
SESSIONS Allows user to define name of sessions and when/where they’ll take place (Sat.AM/North Pool), and enter defined events in those sessions
COMMENTS Insert sponsors to the highlighted event
RE-NUMBER Re-number the events by increasing or decreasing each event number by any amounted starting with defined event number
CLEAR INDICATORS Clears special indicators added to all athletes in the event
RECORDS Add, change, delete, export and import records (LSC, Zone, Jr. National, National, Olympic, etc.)
STANDARDS Add, change, delete, export and import qualifying time standards (LSC, Zone, Jr. Nat., Nat., Olympic Trials, etc.)
VIEW Toggle filters on/off and toggle between last entered and event order
PRINT Opens submenu for event report
EXPORT TO HTML Creates report for internet website use

PRELIMS OR TIMED FINALS

EVENT # Assign an event number and define whether the event is for individuals or relays
GENDER Define if the event is for children (younger than 18) or adults, or a combination of genders
AGE GROUP Define the age group eligible to enter the event
DISTANCE Define the distance of the event
STROKE Describe the stroke prescribed for the event
ROUNDS For the described event, will it be swum only during timed finals or prelim/finals
PRELIMS/TIMED FINALS
Define how many lanes will be used, how the lanes will be assigned (circle seeding allows for 2 per lane), whether the event is being swum fast-slow seeding or slow-fast, how many heats will be scored (mainly for timed finals--prelims heats are rarely scored)

EVENT TYPE Define if the entered event is standard, a time trial event, swim-off, etc. Define if there will be pads at both ends of the course for split times.

SCORE Define whether the event will be scored or not
ENTRY FEE Define how much the entry fee is for the selected event
HEAT ORDER Define whether the event will be swum fast-to-slow or slow-to-fast
TEAMS MENU

A, B, C… Quick search for team names beginning with that letter
COLUMN HEADINGS Click on heading to sort list alphabetically by that column, or drag to hide unwanted columns
ADD* Creates sub-menu to add a team to a meet -- *Always add a team before entering athletes or relays
EDIT Creates sub-menu to make changes to the highlighted team’s information
DELETE Delete the highlighted team from the meet and deletes all swimmers on the team from the meet
COACHES Sub-menu to specify team coaches – helpful when issuing specific number of deck passes
VIEW Toggles between last entered team and sorted list
FIND Pop-up menu to find a particular team
PRINT Opens sub-menu to create reports, coaches, phone lists for teams in the meet
SUB-MENU: TEAM ABBR
Category to add team abbreviation, usually 2-5 alphanumeric codes always upper-case
SUB-MENU: FULL/SHORT TEAM NAME
Categories to add full team name or a shortened version of team name. Examples of use can be Sarasota YMCA Sharks can be shortened to Sarasota Y or Sharks.
SUB-MENU: ALT TEAM ABBR/NAME
Categories to add alternate team names or abbreviation. Examples of use can be intra-squad meets between the Blue (BL) team vs. the Red (RD) team.
PHONE Utilize this category, especially for head coach cell phone contact (under Home) when using texting or mobile phone contact to confirm information or updates during a meet
ATHLETES MENU
The top screen lists all swimmers in the meet. The bottom screen lists eligible events for the highlighted swimmer. The highlighted events are those in which the swimmer highlighted in the top screen is entered.

SORTING Rearrange the list by name, age, birth date, gender, etc. Click on heading to sort by it
A, B, C… Click on letter to jump to that part of the list
ADD Creates submenu to enter swimmers into the meet
EDIT Opens submenu to edit highlight swimmer’s name, club, age, events, entered times, etc.
DELETE Delete highlighted swimmer to remove from meet
CONTACT Swimmer’s contact information is NOT provided. Contact the team head coach
COMP # Changes all competitor numbers to be alphabetic by team
SCRATCH ALL Scratches the highlighted swimmer from all events
VIEW Toggles filters on or off
FILTER – GENDER Shorten list by gender; different than “Sort By” which rearranges the list by gender, age, etc.
FILTER – AGE RANGE Enter age range to shorten list to a particular age group and/or team
FILTER – ENTRIES Toggle to display all eligible events for highlighted swimmer, all events in the meet or events in which highlighted swimmer is entered
FILTER Toggle to display or conceal relays, eligible swim-up events, or results of highlighted swimmer
FIND Use to search for a particular swimmer
PRINT Use to print athlete report

ENTRY BOX Displays boxes to check when entering swimmer. Event will be highlighted when box is checked
EVENT STATUS Displays whether the event has been seeded, done or scored
ENTRY TIME Displays the submitted time in long course meters (L) or short course yards (Y)
HEAT/LANE ASSIGNMENT
Once an even is seeded, the swimmer’s heat/lane assignment will displayed here
ENTRY FEATURES: -SCR -ALT -EXH -BONUS -SPECIAL
SCR-Allow swimmer to be scratched from an event by checking box ALT-Allows swimmer to be designated as an alternate by checking box EXH-Allows swimmer to compete in event as an exhibition swim BONUS-Allows swimmer to compete in event as a bonus swim SPECIAL-
EVENT AGE Handy feature allows swimmer to be given an older age when entered in senior events and scoring as a senior, rather than age group matching age of swimmer
CONVERTED TIME Displays a converted time from a non-conforming entry time
ATHLETES MENU

LAST NAME Enter swimmer’s full legal last name
FIRST NAME Enter swimmer’s full legal first name
MIDDLE INITIAL Enter swimmer’s middle initial. If there isn’t one a “z” will appear or an asterisk “*”
PREFERRED NAME Enter swimmer’s preferred nickname or shortened first name
BIRTH DATE Enter swimmer’s birth date in two digits each – mo/day/year. Once the birthday is entered, MM will automatically build a USAS Registration ID and a pop-up will appear asking for the ID to be checked for accuracy
REGISTRATION ID# Enter swimmer’s registration ID, if known
TEAM Select from drop-down box the swimmer’s team affiliation. If the swimmer’s team hasn’t been entered yet, go to the Team menu and enter the team. If the swimmer doesn’t have a team affiliation, select “UNAT-Unattached”
GENDER/RETAIN GENDER Select swimmer’s gender and select retain gender, when entering groups of athletes of the same gender
EVENTS Once a swimmer’s gender is selected, the events page will populate with events the swimmer is eligible to enter based on gender and age. Select the eligible event and then enter a time or NT for no time.
RELAY MENU

ADD Pop up to select team for relay entry – can also double click team from bottom right corner
DELETE Pop up allows user to delete team highlighted in top right section
SWIM-UPS Allows for selection of eligible swimmers to swim up an age group if allowed in meet rules
COPY NAMES Copies all names listed on relay card from prelims to finals; helpful when preparing relay cards during high school meets
VIEW Allows user to filter on or off when sorting relay events
RELAY EVENTS Lists relay events entered in meet from the Events menu. Highlighted relay event is the one currently open on the screen
RELAY TEAM ENTRIES
Lists every team entered in the highlighted Relay Event. To enter a relay in the highlighted event: •Double click the team name from the bottom right corner ®A pop up prompts you for the designator – “A” relay, “B,” “C,” and so on ®The team is listed in the Relay Team Entries list ®Fill in entry time, NT or heat and lane assignment •To scratch a team from an event, click on the box for SCR •To mark teams as an alternate, click on the box for ALT •To mark a team as exhibition, click on the box for EXH •To mark a team as a bonus event, click on the box in the BONUS column •Type in special indicators in SPCL column to prevent seeding team in the event •Converted times are shown if time entered was from a different course than current meet
DOUBLE CLICK NAME TO ADD RELAY
Adds team to relay event; same as clicking on ADD on top toolbar
ELIGIBLE ATHLETES Shows relay-eligible swimmers entered in meet from highlighted team. Highlighted names have already been used on a relay. Double-click on name to place it first relay position or drag name to desired relay position.
