Duplicate Records: Harvesting from multiple databases creates duplicate records. Differences in metadata, presentation of scientific notation, variant page numbers, etc., creates issues for matching/removal of duplicate records. Our current machine matching criteria is based on journal title, publication year, first author, start page and volume. We are investigating alternate methods for better matching.
Tools developed for customer use: An end-user interface, myPubs@LANL, has been developed. This allows laboratory researchers to enter their employee identification number into an interface. The corresponding repoids are used to pull bibliographic and citation data from the Library’s OPPIE* database.
*OPPIE is the Research Library’s interface searching our repository of vendor data (ISI, Inspec, BIOSIS, Ei, etc.).
Purpose: The IPT system was developed in late 2006 to identify all publications attributable to LANL authors. The system enables us to meet management’s requirement to provide “peer reviewed” publication counts to the Department of Energy (DOE). The need to identify the individual LANL affiliated authors was an initial requirement. Authors are identified by a unique employee number, disambiguating common names. This information, augmented with data supplied by HR, allows us to query and generate specialized reports on various demographic criteria.
Author Matching: Author information is placed into a MySQL table. The names are compared with employee information, provided by HR, through a series of 6 successive matching routines (see central panel). Non-LANL authors may be mistakenly matched due to common surnames and initials. Other causes of mismatches or failure to match include name changes, staff writing under nicknames/middle names, recent changes in employment i.e., now at Los Alamos.

We harvest summary data from bibliographic records in the Library’s (aDORe) repository of vendor data (based on institution match) on a monthly basis. All records have a unique repository identifier (repoid).
• Library staff uses fulltext of article as authority for verifying LANL authors
• Non-LANL authors inadvertently matched are “Unmatched”
• Routine reports run on a regular schedule
• Other specialized reports compiled upon request
• Delete records without LANL authors
• Eyeball all titles for duplicates missed by other de-duplication efforts

Human Review Process: Library staff review the “machine” author matches against the fulltext. Non-LANL authors, incorrectly matched, are unmatched. LANL authors missed by the preliminary machine matches are manually matched by staff. The type of match is noted for our own metrics.
