GENERAL REMARKSDirect Costs refer to all additional costs other than the venue rental such as cleaning , security, electrical standby, lifts standby, pitch protection and other costs that may arise from the clients needs.
A Non-Refundable Commitment Fee of 20% of the venue rental is payable in advance to confirm the booking. In the event of the booking being cancelled other than by an “Act of God” less than sixty calender days prior to the event, the Commitment Fee is to be retained by the City.Provincial Government and National Government: Rate- 50% of hiring fee plus direct costs to be ascertained by the City per event .
A Non-Commercial rate of 50% of venue rental for “Fringe Facilities” (i.e. Harden Surface, Podium, and Pitch and Cloakroom) will be applicable to all Non-Commercial Activities for Community Organizations (NPOs, Schools, Churches, and Amateur Sporting Bodies). (Proof from the applicant is required in terms of the above classification).Use of Pitch will be subject to Pitch Protection.
Damage Deposit of 20 % rental fee payable in advance.Additional 10% Administration Fee will be charged to clients for the services (if required) of approved and authorized City Service Providers utilized for any event.

The tariffs in this schedule refer to Venue hire costs only. It excludes Venue specific requirements that is determined per Event footprint.
When full Conference facilities are booked the tariff includes the breakaway and meeting rooms. Catering requirements to be sourced from approved and preffered City suppliers.
The tariff for full Conference/Banqueting allows 20 parking bays for setup/support/service staff. Any additional parking is as per set tariff rate.
The Conference and media areas as stated above will be hired out inclusive of basic infrastructure (tables, chairs, etc)
The tariffs indicated above for Conferencing, Banqueting, Media and Suites includes basic fit out (furniture & equipment) and access to kitchens.
Availability of Breakaway/Meeting Rooms is dependant and subject to the Events & Conferencing Calendar and may require relocation to a different Venue.
Additional or specialised equipment and furniture (including, Audio Visual) to be sourced from the approved and preffered City’s suppliers.
Catering requirements to be sourced from the approved and preffered City suppliers.
A Commitment Fee of 20% of the venue rental is required to secure the venue booking. In the event of the booking being cancelled 15 calendar days or less before the Event the Commitment Fee will be retained by the City.
The Commitment Fee will not be withheld if the event is to be cancelled as a result of “Force Majeure” (an Act of God).
Setup and Breakdown cost for the Media Room and Conference Room is 25% of Unit Rental.
When parking is required without requesting the hiring of the stadium as a venue. 8.0 - 24 hours tariff will be applicable; R87.72 (excluding VAT) per bay.
The run through rate is a flat rate which allows for running events to pass through stadium event sites (including forecourts, concourse, podium, hardened surface and parking areas)

A Commitment Fee of 20% of the venue rental is required to secure the venue booking. In the event of the booking being cancelled 15 calendar
days or less before the event, the Commitment Fee will be retained by the City.
The Commitment Fee will not be withheld if the event is to be cancelled as a result of "Force Majeure" (an Act of God).

REGULATIONS
1. CANCELLATION OF BOOKING/REFUND OF HIRE CHARGE
If a cancellation request is received less than 14 (fourteen) days before occupation, no refund of any money will be made.
CONCESSIONS
1. Ward Councillors: Two free bookings for council matters are allowed per councillor per month, from Monday to Thursdays, per facility in their ward
2. Rebates on Film permits: If for Cape Town Marketing or student film, 50 or 100% rebate may be applied in consultation with Cape Town Film Permit Office.
GENERAL
1. Tariffs charged for athletic events are for facility use only and excludes the payment of additional services by other departments viz. Traffic Services, security Services, Refuse Removal, Law enforcement, Disaster Management, Etc.
2. Tariffs charged for concerts, Religions events and other non-related athletic event are for facility rental plus all additional direct cost such as cleaning, security, standby services and city services (traffic, law enforcement, disaster risk management etc.)
3. In response to the large number of organisations that will request usage of Green Point Athletics Stadium, it necessary to establish a reservation priority list to ensure that the City‘s facilities are made available to best meet the community’s needs. The below is the priority list.

Description Event organiser pays Stadium Rental Tariff, plus Stadium Direct Costs plus an additional negotiated fee to the City to secure the rights for hospitality, liquor and concessions.
Event organiser pays a negotiated rental based on the proportionate number of seats required. The City of Event organiser pays direct costs. In the event of the City paying direct costs, the City will claim the direct costs from the Event organiser (plus 10% administration fee). The Event Organiser and the City negotiate a share of the income from ticket sales, hospitality, liquor and concessions.
Event Organiser pays Stadium Rental and Direct Costs as per approved Tariff Structure. The ticket income accrues to the Event Organiser. The City retains the hospitality, liquor and concession Income.
The City carries all costs and all revenue accrues to the City.
Note The City receives a guaranteed fixed income from the Event Organiser. There is no obligation whatsoever on the City to generate income.
The City is not at risk for the Direct Cost for the stadium and shares in the potential revenue from ticket sales, hospitality, liquor and concessions. The City may agree to contribute to marketing the event.
