    SAP Time Management Exercises

    Note: The following procedures for time management required a lot of practice for us to get familiar with

    the steps. So please use the employees in your own company to practice more.

    View an employees absence quota:

    a) SAP Easy Access Menu Human Resources Time Management Administration Time Data Maintain (double click). Enter personnel number 90001## (## refers to your two-digit lab work number)

    b) Select Absence quotas (highlight it and click the green check icon), then clickOverview on the

    application tool bar.

    c) View the absence quotas. It should be 30 (or 29) days.

    If the above steps are completed, skip the following step d) and e) and proceed to Exercise 8.

    However, if you see the system message No data stored for Absence Quotas in the selected period on the

    status bar (in lower left corner), you need to create the quotas for the employee by doing the following:

    d) Click on Create on the application tool bar, and read the absence quotas It should be 30 or 29. Make

    sure the time period is from 01/01/2010 to 12/31/2010(It appears at the lower left-hand corner).

    e) Save it.

    Now you can proceed to do Exercise 8.

    Hint: The above steps could be conducted to any employee. Use the personnel numbers of your newly

    hired employees to practice the above process.

    Exercise 8: Time Entry Exercise

    Objectives:

    After completing this exercise, you will be able to:

    To view time menus

    To find time infot5 ,pes and utilize some of them

    To maintain time data for multiple persons

    Employees may not work their assigned work schedule for various reasons such as absencesdue to illness, vacations, attendance at a training session, work overtime or substitute for

    another employee.

    Task:You wish to record absences and view the quotas for George Vega.

    1. George Vega (90001##) has requested vacation from the 1st of next month until the 12th of next

    month. Record this absence and view his quota. While on vacation, George had to be hospitalized

    as of the 4th of next month until the 10th of the month. Record this absence and view the quota

    record again.

    2. Your own ## company (the company you built in Assignment # 1) had to work overtime from 5

    PM to 7 PM the 16th of this month. Record that time via Fast Entry.

    Solution 8: Time Entry

    Task: You wish to record absences and view the quotas for George Vega (If you have done thefollowing for George Vega, use any one of your newly hired employee for practice).

    1. George Vega (90001##) has requested vacation from the 1st of next month until the 12th of next

    month. Record this absence and view his quota. While on vacation, George had to be hospitalized asof the 4th of next month until the 10th of the month. Record this absence and view the quota record

    again.

    a) SAP Easy Access Menu H u m a n Resources Time Management Administration

    Time Data Maintain Enter George Vega's personnel number (90001##).

    b) Select Absence (.highlight it first, andthen clickEntericon at the left-hand upper corner).

    c) Enter the dates in the Period section from the 1st of next month to the 12th of next month. Select

    the subtype of 0100Leave w. quota d., Select Create.

    d) View the data and Save. Select the WorkingTime Quotas tab, selectAbsence Quotas and clickOverview to view the days deducted. Record the days deducted here ____________.

    e) Return to the Working Time Mgmt trans data tab and select Absence.

    f) Enter the 4th of next month to the 10th of next month. Enter the subtype 0148 SSS Sick Leave and

    choose Create.

    g) Select Save. Acknowledge the Collision of Time Infotypes pop-up box by selecting Accept

    entry (green check) and also acknowledge the warning that the record will be delimited by

    selectingEnter. The new record is now saved.

    h)Return to the Working Time quotas tab and view the Absence Quota again. Record the daydeducted here ______________. Has it been adjusted? Why has it been changed?

    2. Your company had to work overtime from 5 PM to 7 PM on the 16 th of this month. Record that

    time via Fast Entry.

    a) SAP Easy Access Menu Human Resources Time Management Administration Time Data Fast Entry

    b) Select Overtime and enter the 16th of this month in the Period section.

    c) Choose the Preselect using a reportradio button and Create with proposal from

    the icon bar (orEdit Create with proposal).

    d) Select the Org. structure button at the top of the screen and use a structure search to find your# #company

    e) Enterand then select Execute.

    f) View the individuals in the organizational unit and then select Create with proposal (orEdit Create with proposal) Enter a start time of 17:00 end time of 19:00.

    g) Select Copy default values. Save. You have now created the overtime records foreveryone in your ## company.

    Exercise 9: Time Manager's Workplace

    Exercise ObjectivesAfter completing this exercise, you will be able to view and record employee time data in Time

    Manager's Workplace

    Business ExampleYour organization utilizes time administrators to enter and review employee times. To handle their

    workload efficiently, these administrators utilize Time Manager's Workplace.

    Task: Time Recording

    You will be using the Time Manager's Workplace to record time data for George Vega (If you

    have done the following for George Vega, use any one of your newly hired employee for

    practice). .

    l. Open the Time Manager's Workplace and enter the following time data for George Vega. Use the

    Employee List icon and choose Temporarily Insert Employee choice and enter George Vega's personnelnumber 90001## and enter the following data:

    Enter Overtime worked on the Wednesday of last week (16:30 to I9:30).

    Doctor's appointment for a working day in the middle of next month (time of appointment:10:00 - 12:00).

    One day of sick leave on the working day after the doctor's appointment.

    b) You should have a Profi le attached to your User Parameters if not you will need to enter the

    Profile Z HR050_Time _Admin with Definition Set SET_XX and Subset 002. Then select the Executebutton (if required).

    c) If George Vega is not in your employee list add George Vega temporarily to the list of

    employees chosen

    d) Select theEmployee listbutton and choosing Temporarily insert employee from the drop-down

    menu.

    e) Enter George Vega's personnel number90001## in the pop-up box and select the Confirm/Enterbutton.

    f) Record overtime for George Vega

    - Select George Vega in the Employee List area of the screen.

    - Select the week number for last week.

    - Highlight Wednesday of that week and select the Create detailsbutton below the Time Data tab.

    - EnterM for overtime in the ID field of the Details area of the screen, then click the Entericon (the

    green check icon at left-hand upper corner). Enter2 hours with a start and end time of16:00 to18 : 00

    - Select theEnterbutton to confirm entries.

    - Select the Savebutton.

    Note: If the system refuses to save your data, try to read the message in the pop-up box. Try again, if it is

    still refused, please just skip Step f) and proceed to Step g)

    g) Record a doctor's appointment for George Vega

    - Select a working day in the middle of next month in the Calendar area of the screen.

    - Select the Create details button below the Time Data tab.

    - Enter ARZT(for doctor's appointment) in the ID field of the Details area of the screen, then click

    theEntericon (the green check icon at left-hand upper corner).

    - Enter2 hours Overwrite the start and end times on the Absence Times area of the screen with 10:00

    and 12:00, respectively.

    h) Select the Enterbutton to confirm the entries.

    i) Select the Save button.

    j) Record absence for George Vega -

    - Select the next working day in the middle of next month after the doctor's appointment in

    the Calendar area of the screen.

    - Select the detailsbutton on the Time Data tab.

    - Enter AB (for Absence) in the ID field of the first empty line on the Time Data tab for

    the selected date, then click theEntericon (the green check icon at left-hand upper corner).

    - Enter 7.5 hours absent.

    - Select the line with the absence data and select the Enfe7'button to confirm the entriesand display the detail.

    - Enter the type of absence 0148 (SSS Sick Leave) Select the Savebutton.- Use the Backbutton to return to the SAP Easy Access screen.

    Cross-Application Time Sheet

    l. To utilize the Cross-Application Time Sheet to record times, go to: SAP Easy Access Menu Human Resources Time Management Time Sheet CATS Classic Record Working Times Enter

    2. Select the HR Confirmation Network Profile and choose the Pencil icon (Enter times).

    3. For yourGeorge Vega (90001##), enter hours worked in several of the days in the currentweek. The system puts in that these are attendance days (0800) unless you assign a different activity

    type.

    4. Select the Release view button. You cannot make changes at this point. Select the line or linesyou entered and select the Release icon (open lock). Go to EditRelease.

    5. Exit and Save if prompted.

    6. Now as the Approver: Go to: SAP EasyAccess Menu Human Resources Time Management Time Sheet Approve Working Times and Travel Expenses. Enterthe Personnel number of your Helena Camino (50991#~) and Execute (green check with clock

    icon).

    7. Choose the Personnel number of yourGeorge Vega (90001##). You are now in the GeneralHierarchy Display where you may approve or disapprove the entries of Helena. Highlight the lineyou wish to approve or disapprove by selecting the left button (hold the Shift key to highlight more

    than one line).

    8. Choose the stamp with the green ball and check to approve or the stamp with the red ball and X to

    reject. Note the stop lights have changed. Save. The information may now be transferred.

    1. To run Time Evaluation for an employee, certain infotypes must be maintained. In Master Data,

    the Planned Working Time infotype (IT0007) must indicate that the employee is to be includedin Time Evaluation and whether planned times are used or actual times from a plant data collection

    (PDC) system are utilized. SAP Easy Access Menu Human Resources PersonnelManagementAdministration HR Master Data Maintain

    2. ForGeorge Vega (90001##), create a new Planned Working Time infotype to change his TimeEvaluation Status to 9-Evaluation of planned working times as of the first of this month. Save andacknowledge the warnings. If you were using actual times from PDC, a Time Recording Info

    infotype (OOSO) would have to be created.

    3. Return to the Easy Access Menu and start Time Evaluation SAP Easy Access Menu

    4. Enter the Personnel Number ofGeorge Vega (90001##) and change the Evaluation schema toTM04 - Time Evaluation without clock times.

    5. Select the Program options button. In the box, select Display log and Test run (no

    update) and with the Choose (right arrow) move these to the right (Selected) box. Continue

    6. Change the Evaluation to date to the last day of this month.

    7. Execute. In the log display, open one of the days and note the steps such as: Error Check,Determine Overtime, Select Time Wage Types, Compensate Overtime, Manage Time Accounts.

    Exercise 10: Time Evaluation

    After completing this exercise, you will be able to: To process Time Evaluation for an employee

    Your organization utilizes Time Evaluation to valuate time and correct time errors prior to the

    payroll processing.

    Time Evaluation

    You will be running Time Evaluation for George Vega to analyze the time data that was entered

    during the time recording exercise.

    To run time evaluation, you will need to update George's Time Management Status (on

    Planned Working Time - infotype 0007) with the appropriate value for salaried employees.

    After you run time evaluation, you will review the time evaluation log for any error messages.

    l. You will update George Vega's time management status on Planned Working Time

    infotype (0007)) to the appropriate values for salaried employees included in time

    evaluation.

    2.You will run time evaluation for George Vega and then examine the log for any errors.

    Solution 10: Time Evaluation

    Task: Time EvaluationYou will be running Time Evaluation for George Vega to analyze the time datathat was entered during the time recording exercise.

    To run time evaluation, you will need to update George's Time ManagementStatus (on Planned Working Time - infotype 0007) with the appropriate valuefor salaried employees.

    After you run time evaluation, you will review the time evaluation log for anyerror messages.

    l. You will update George Vega's time management status onPlanned Working Time infotype (0007))to the appropriate valuesfor salaried employees included in time evaluation.

    a) Navigate to the Maintain Time Data screen from the SAP Standard Menu:Human Resources Time Management Administration Time Data Maintain

    b) Select the Time Management Data tab.c) Choose the Planned Working Time infotyped) Select the Change button.e) Change the entry in the Time Management status field to: 9-Time evaluation of

    planned times.

    f) Select the Save button.g) Use the Backbutton to return to the SAP Easy Access screen.

    2. You will run time evaluation for George Vega and then examine the log for any errors .

    a) Navigate to the Time Evaluation program from the SAP Standard Menu:

    Human Resources Time Management Administration Time

    Evaluation Time Evaluation

    b) Select Current month as the Period.

    c) Enter personnel number 90001## (George Vega) in the Personnel no. field.d) Enter Evaluation schema TM04

    e) Enter Time statement variant SAP&TEDT

    f) Select the Program Options button.

    g) Select the Test run (no update) and Display log options and select the Choose

    button.

    h) Select the Continue/Enter button.

    i) In Evaluation up to, enter the last day of the current month.

    j) Choose the Execute button.k) Examine the Time Evaluation log to confirm that George is included in the Successful

    Personnel Numbers folder and does not have any error messages listed under Messages.

    1) Select the Backbutton to return to the Easy Access screen.
