Zoom Video ConferencingThe simple how-to guide

Security Issues
Note to users: In the past there have been security issues with Zoom. As of April 4, 2020 these have been resolved and in a user friendly way.
The key measures are;
• Zoom has chosen to enable passwords on all of your meetings
• Zoom has turned on Waiting Rooms by default as additional security enhancements to protect your privacy
The new security measures will be explained and identified with-in the slide program.
Accessing a Zoom MeetingUsing the Zoom Application to attend meetings from your computer.
This presentation will show you how to:
● Download and run the Zoom application on your computer, phone, or tablet.
● Join a Zoom meeting with an invitation.● Set up preferences for your Zoom application (i.e. enabling
microphone and video)● How to schedule and host a meeting using Zoom
Zoom Meeting will allow JWV members to communicate via an easy online venue.
What is Zoom?
• Zoom is video conferencing application
• It utilizes the camera on your:
• Desktop computer
• Laptop computer
• Smartphone & Tablet
• If your smart device has the Apple App Store or Google Play Store, you can download Zoom.
• Best part about Zoom…the basic package is free!
• Zoom is great for having meetings and scheduled group video chats.
• On the same session, you can have people dial in from a phone and on video.
• Meetings can also be recorded and shared via a link, just in case someone misses the meeting.
Creating an AccountThere are 3 ways to create a Zoom account:
1. Create an account using your personal or business email.
1. With your Gmail account, a screen will appear to prompt you to login, and it will bring you back to Zoom.
1. With your Facebook account, a screen will appear to prompt you to login, and it will bring you back to Zoom.
If your post or department has its own email address for the commander, please use that email address. Share the login information with a future incoming commander.
You will be prompted for the account type you choose to provide contact information and create a password.

Computer Meeting Invite…Now What?
Click the meeting link that is highlighted in blue in the middle of the screen.
**If you have not used Zoom before, users will be prompted to download the software to load the Zoom application.
Give Zoom permission to:• access microphone• access camera or video
Entering the Meeting
• On your computer, enter in ”Meeting ID” and click “Join”
● On your phone or tablet, click “Join”
You’re in!
Tools for Meetings
Joining:
The bottom of your screen has buttons that you may control.
Mic/Video Invite/People/ Share/ Chat/ RecordLeave Mtg.
Preferences for Meetings
Set Preferences for:
● Topic● When/Time● Duration● Time Zone (usually set by host)● Meeting ID● Meeting Password (required)● Video - set to ON for participants
to talk to each other
Hosting A Zoom Meeting
• Log in to your Zoom account.
• The Zoom home screen looks like this. There is a “meeting” tab on the left side of your screen.
• To schedule a meeting, click the “Schedule a New Meeting” button.
Getting the Meeting Started
• When it is time to start the meeting, the host will login and the screen on the right will appear.
• To get the meeting started, click “Start”.
• If you need further assistance, click “Get Training”

In Summary…. ZOOM Meetings
ALL Users:
• Download on your phone/tablet/computer the ZOOM Application: https://zoom.us
• Follow the prompts to create your personal login information. You will be asked for your email account and to create a password.
You will need this application to access any ZOOM meeting.
Joining a ZOOM meeting….
You will receive an invitation in your email with a highlighted link:Join Zoom Meeting

• Click the link contained in the email.
• The ZOOM application will automatically open the meeting platform.
• Click “join” and you will enter the online meeting platform.
Hosting a meeting...
Open the ZOOM application from https://zoom.us
At the top of your home screen, click: Host a Meeting
1. Click on MY MEETINGS2. Indicate your preferences for your meeting in the boxes3. Copy or email the invitation to all your participants. 4. Start the meeting. 5. Admit participants from “Waiting Room”
WAITING ROOMS
The “Waiting Room” feature is automatically turned on by default.
The Waiting Room is just like it sounds: It’s a virtual staging area that prevents people from joining a meeting until the host is ready.
How do I admit participants into my meeting?
It’s simple…
• As the host, once you’ve joined, you’ll begin to see the number of participants in your waiting room within the Manage Participantsicon.
• Select Manage Participants to view the full list of participants, then you’ll have the option to admit individually by selecting the blue Admit button or all at once with the Admit All option on the top right-hand side of your screen.
