PUPIL WELFARE AND GENERAL CONCERNS

Staff are always keen to share pupils’ interests, and to promote their learning

and welfare. All pupils are welcome to approach any member of staff about any

topic at any time of mutual convenience. The Headmaster has his Private Time,

from 0820 to 0840 each morning, when pupils may see him without appointment

and he is happy to hear from parents about any topic of mutual interest.

When parents have concerns they should always contact their child’s Tutor in

the first instance. The Tutor will, if appropriate, involve other members of staff

such as the Head of House, the Head of Year, a Senior Teacher or the Second

Master, and finally the Headmaster. Should these referrals not deal fully with

the concern, parents may contact the Chairman of Governors via the Clerk to the

Governors, Mr Don Kent, who is also the Bursar.

A pastoral team, consisting of the chaplain and of qualified counsellors and

physicians, may also be approached in cases of personal difficulty. The

Reverend Andrew Burtt, the School Chaplain may be contacted in school at any

time. The School Doctor, Dr Marcus Saunders, may be contacted via the Medical

Centre who may be found during school hours in the Medical Centre (tel 023

9236 4243) or via email [email protected]. The school provides a counselling

service from qualified counsellors and they can be contacted on

[email protected]. The school also trains a select number of pupils as

Peer Mentors who can be contacted via the email address

[email protected]

Parents and friends of the school are welcome to attend any of the co-curricular

activities for the term contained in this calendar. Sporting fixtures are shown in

italics, and in inclement weather spectators should check first with the Hilsea

answer phone service: 023 9236 4267. Enquiries about other activities should be

directed to the school: 023 9236 0036.

GOVERNORS

The Governing Body consists of up to 20 Governors: they elect their own

Chairman and Vice-Chairman. The constitution of the Governing Body largely

reflects the intentions of the Founder: the Dean of Portsmouth is an Ex-officio

and a further two Governors are nominated by Christ Church, Oxford. The

Second Sea Lord nominates one further representative Governor. All

correspondence is handled by the Clerk to the Governors, Mr D J Kent, who is

THE SCHOOL RULES

At all times pupils are expected to display good manners, common sense, honesty and

consideration for others.

Compliance with school rules and any amendments made from time to time is a condition of

pupils’ continued membership of the school. Pupils are expected to adhere to school rules whilst

under school discipline, i.e. throughout the day, on their way to and from school, at all times

whilst wearing school uniform and during any school-based activity. The school seeks to educate

in the broadest sense, giving moral as well as academic and co-curricular foundations. Pupils

should be aware that actions committed out of school discipline have the capacity to harm the

reputation of the school, and are therefore to be regarded as an offence against school discipline.

The School Community

1. Pupils travelling between home and school should behave sensibly and with courtesy

to each other, fellow passengers and to bus drivers, rail staff and other transport staff.

Pupils should show awareness for other pedestrians and extend the courtesy of giving

way when walking in groups.

2. Bullying is not acceptable. Pupils are expected to adhere to the school’s Anti-Bullying

policy.

3. Pupils are expected to behave with dignity: there should be no behaviour likely to

cause embarrassment or offence, such as public displays of affection or bad language.

4. Pupils may not possess or use any of the following whilst under school discipline.

Substances which the school may consider inappropriate include: fireworks, matches,

lighters, laser pens, illegal substances, any offensive weapon or object capable of

bringing the school into disrepute.

5. Pupils are not permitted to bring alcohol onto the school premises, nor are they

permitted to frequent public houses, off-licences or to drink or purchase alcohol whilst

off the premises and in school uniform.

6. The school is a non-smoking establishment. Pupils are not permitted to bring cigarettes,

electronic cigarettes or tobacco in any other form, onto the school premises. Any pupil

discovered smoking whilst in school uniform, whether on or off the premises, will put

at risk their right to remain a pupil at the school. The no smoking rule applies equally

to all trips and outings, either at home or abroad, and in or out of school uniform.

7. Pupils are expected to conform to the school’s dress code and wear full uniform

smartly at all times, unless exemption has been granted by a member of staff in

connection with a particular activity. Pupils should consult the Uniform

requirements on the school website for details including rules relating to make-up

and jewellery.

8. All pupils must attend school on all school days unless prevented by illness or other

unavoidable causes. Should any pupil need to be absent for any reason, their parents

should write in advance to the Headmaster requesting permission. Parents should

notify the Tutor in advance of absences resulting from medical or dental

appointments. It is expected that pupils will sign out at the School Office, notify their

teachers of any planned absence and to catch up on any work that they miss. Absence

for which permission has not been sought in advance must be explained by a parental

letter within 48 hours of the pupil’s return to school. Attendance at Registration,

Assemblies, Tutorial Periods, all timetabled lessons and other timetabled

commitments is mandatory.

9. Pupils are expected to be punctual. Pupils should not be on the school site until 07:50.

In the Senior School, pupils are permitted to wait in the main school quad until 08:30.

The school buildings are open to pupils from 08:30. At the end of the school day pupils

are expected to be off site by 16:10 unless they are involved in a school activity or have

signed into the Homework Club. Homework Club is supervised in the main

school library from 16:00-18:00. Pupils are expected to leave promptly following their

after school activity.

10. Any pupil arriving on the premises after 08:35 or 13:40 will be considered late and

repeated lateness will be reported to the Head of House. Late pupils must sign in

with the Prefects at the Main Arch or, if the Prefects are no longer present, at the

School Office before going in to lessons.

11. Sixth Form pupils may leave the school premises no earlier than the lunch break and

may go home after 12:50 provided they have registered in the Exeat Book and have no

afternoon lessons or other commitments. No Sixth Form pupil may visit any private

house in the lunch break, with the exception of their own, and then only with written

parental permission notified to the Headmaster.

12. Below the Sixth Form, pupils must remain on the school premises at all times during

the school day unless a specific exception has been requested by parents. Pupils who

feel ill must report to the Medical Centre who will contact parents.

13. Pupils selected to represent the school at Games, or in any other capacity such as

musical or dramatic, are expected to honour their commitments. When a pupil

wishes to be excused from such a commitment, permission in advance should be

obtained from the member of staff in charge by a parent. In cases where there is a

clash between school commitments, pupils must inform both members of staff

involved at the earliest opportunity so that a solution can be found.

14. Pupils are required to seek the Headmaster’s permission before accepting any paid

employment in the evening or weekend. This is because of the detrimental effect that

such employment may have on pupils’ work or ability to complete homework

etc. Permission for jobs on weekday evenings will only be given as an

exception. Employment taken between Friday evening and Sunday evening should

not involve more than eight hours work.

15. Infringement of the school’s e-safety Policy or Acceptable Use Policy will constitute a

serious breach of school discipline. The school reserves the right in such cases to

refuse use of school IT equipment both in and outside formal lesson time. In some

instances breaches of this policy may also result in a range of other sanctions,

including permanent exclusion.

16. The Headmaster may exclude any pupil from school or may require the permanent

removal of any pupil for a serious breach of School Rules, or for exercising harmful

influence in any way, or for consistently or repeatedly failing to respond with

adequate effort and application to the teaching provided at the school, including

where this failure is to the detriment of other members of the school, or for the

accumulation of several Headmaster’s Detentions, or for any other good or necessary

reason.

The School Environment

17. Pupils share responsibility for the care, tidiness and good decorative order of all

school buildings. No litter may be dropped on the floor. Pupils should treat all

property and furniture with care and respect.

18. Pupils should not be on the school site until 07:50. In the Senior School, pupils are

permitted to wait in the main school quad until 08:30. The Middle School Common

Room is open at 08:00 and House spaces are open to pupils from 08:15. Classrooms

and school buildings are available to pupils from 08:30. Pupils are expected to wait

quietly outside classrooms before lessons begin, unless otherwise instructed. At the

end of the school day pupils are expected to be off site by 16:10 unless they are

involved in a school activity or have signed into the Homework Club. Homework

Club is supervised in the main school library from 16:00 -18:00. The Fitness suite in

the Sports Hall is only available for pupils when supervised by a member of staff.

Pupils are expected to leave the school site promptly following their after school

activity.

19. Pupils may not eat in classrooms and food must not be stored in lockers

overnight. Food should only be consumed in the Dining Hall, Middle School

Common Room or Sixth Form Centre. The House spaces may be used at lunchtimes

as communicated by the Head of House.

20. Chewing gum is not allowed in school.

21. Ball games must be confined to the designated area in the Quadrangles and only soft

balls, incapable of causing damage are permitted.

Health and Safety

22. For safety reasons the following areas are out of bounds to pupils unless specific

permission has been granted

The David Russell Theatre and the Gatehouse

Language and Science laboratories and the Technology Department

Sports Hall and Gymnasium

The staff car park

Any area where building or maintenance work is taking place

23. Pupils should always walk and not run inside the school buildings. Pupils should

walk on the right on all staircases. Pupils should not carry bags between lessons.

Due care must be shown when carrying kit bags

24. Pupils must observe all instructions given by staff concerning safety procedures in

lessons or in connection with any organised activity. This includes the wearing of lab

coats and other protective clothing

25. In the event of a Fire Alarm, Fire Drill procedures must be strictly observed. Pupils

are expected to line up in silence

26. Pupils cycling, walking or driving to school are expected to conform to the Highway

Code

27. Cyclists are expected to be visible to other road users and wear helmets. Cycles must

not be ridden within the school grounds and must be securely padlocked in the

bicycle sheds

28. Pupils wishing to drive to school must complete the appropriate registration form

which must be signed both by parents and by the Head of Sixth Form. Any pupil

wishing to travel in a car driven by another pupil, must obtain parental permission. All

drivers must meet with the school’s expectations on driving and parking responsibly.

29. Pupils travelling on public transport must conform to safety procedures issued by

those providing the transport. They must maintain the high standards of behaviour,

consideration and respect at all times

30. Pupils injured in any way or who become ill whilst at school are to report firstly to a

member of staff in charge of their class or activity and then to the Medical Centre

Property

31. Pupils are responsible for their own property and for items issued by the school: the

school can accept no liability for accidental damage, theft or accidental loss. All

pupils are expected to respect the property of others. It is strongly advised tht only

items that are required at school are brought in. Valuable items must be locked up

and all items must be named

32. Mobile telephones must be switched off and not used in any way during lessons or

any other school based activities unless with the permission of the member of staff.

Pupils in Years 7 & 8 are expected to hand in their phones by 08:40. Pupils are

allowed to use mobile telephones during break and at lunch time but not in the dining

hall, changing rooms, the library, or, in accordance with staff instructions

33. In no circumstances should money or other valuable items be left in sports changing

rooms: all such items should be locked in a Games locker at the beginning of the

lesson, fixture or practice for safe keeping. Pupils are advised to use a lock on their

bag to help ensure belongings

34. Bags must not be carried around the school. They should be stored in the pupils’

locker. Pupils may carry a laptop, or tablet computer in a slim line protective bag

containing only the laptop

Academic Honesty

35. Pupils are only expected to submit their own work for marking and assessment unless

they are otherwise directed by their teacher. Collusion (either by allowing work or

ideas to be copied or by copying someone else’s ideas or work) and plagiarism (the

submission of written or spoken work which fails to credit someone else’s work) may

result in a sanction. Collusion or plagiarism in work potentially submissible to an

examination board is a very serious matter, and hence our interest in developing a

culture of academic honesty in pupils’ work throughout the school. Using a limited

amount of other people’s published research is permissible as long as it is

appropriately referenced. Advice is available from the library and in pupil planners.

Pupil Charter: Using Digital Devices and Social Networks

PGS believes that digital devices should be supportive to learning and teaching. PGS also

believes that social networking should be fun, safe and used responsibly. The following

guidelines were produced by pupils for pupils.

Protecting yourself, your device and your online reputation

Don’t become a digital addict. Try to balance real life with time spent online and using

your digital device.

A digital device is another way of completing work and learning in class. It is not the

only way.

A good tip is to switch off the device or remove it, when you do not need it. This way

you can fully concentrate on the task you are doing.

Always lock your personal device when you are not using it. This includes locking the

device itself using a secure and private password, as well as storing your device in the

school lockers provided.

Ensure you fully charge your device each evening in preparation for the next school

day.

Middle School pupils should always hand their mobile phones into the Middle School

Common Room at the start of school day. Phones can be collected at the end of the

school day or at the discretion of the Head and Deputy Head of the Middle School.

Think before you update a status, post comments or tweet – your online profile and

reputation is your responsibility and may be used by future employers, schools and

universities. Once something is online, it may be there forever.

Keep personal information private (e.g. your passwords, mobile number, location)

Keep an eye on your ‘friends’ list and twitter contacts. Consider carefully the people

you follow or add as friends and don’t be afraid to edit these lists

Never arrange to meet up in person with someone you meet online.

Use privacy settings so that only your friends can see your profile and pictures. It is

also important to regularly review the settings on your accounts so that these remain

private.

If you experience cyber-bullying or if someone you do not know is trying to contact

you, speak to an adult, a teacher, your tutor or one of the peer mentors in the first

instance – they will help you.

Be confident in requesting that comments or images which cause you distress are

edited or removed.

Protecting others – be aware of your actions

Respect everyone in the school and do not interfere with their equipment.

Treat others as you would like to be treated. Anything that can be seen as offensive or

cyberbullying, will be treated very seriously by the school.

LOST PROPERTY

Any item handed to the Marshal’s staff is kept at the Marshal’s Office until the end of

the day when the item is moved to the Lost Property Office situated behind Cambridge

House. At the end of the school day the Caretaker collects any items left in the

playground area and takes them to Lost Property.

Lost property is recorded, sorted and stored alphabetically if named. Unnamed items

are kept separately. A green lost property slip is sent to the relevant Tutor to notify the

owner of all named items. In addition, an email is sent directly to the pupil. A weekly

report is also sent out to all staff identifying the uncollected items. Mr Patrick Brooke

opens the Lost Property Office daily for morning break at (10:30-10:45) and at lunchtime

(13:00-13:45). Outside these times requests for lost property are dealt with by reporting

to the Marshal’s Office where one of his staff opens the Lost Property Office to retrieve

items.

Every six weeks, property which is not collected is highlighted and owners, where

known, are sent a pink slip and an email to remind them to collect their item(s). Each

half term, if items are not retrieved they are recycled for use by other pupils or donated

to charity. Expensive items such as blazers or valuable items are kept for one year. It is

expected that all items are clearly labelled to assist in their return.

The school uniform shop is located within E Block. The opening hours are:

14:30-17:30 Daily plus 08:00-09:00 Wednesday
