Overview XL4ADW is a Microsoft Excel office business application (OBA) that enables you to connect to an authorized ARGUS Enterprise (AE) database and extract, manipulate, and import data back into AE. It appears as an Excel Add-in and is automatically installed with ARGUS Enterprise.

This tool is designed to help AE users leverage and modify the data that resides in AE models. The user can update a wide range of property, tenant, and market information for multiple properties on a mass scale.

Due to the complexity of calculations in AE, this tool does not cover every single data item. The goal is to provide as many data items as is feasible.

To get started, launch Microsoft Excel, the ARGUS Excel Add-in is found in the last tab on the right:

Minimum System Requirements The minimum requirement to run XL4ADW is Microsoft Excel 2007. The worksheets must be saved in 2007 format or later in order to work with this add-in. The reason for this requirement is that some of our worksheets have more than 256 columns.

Potential Uses There are 3 potential uses for XL4ADW:

1. Extracting Calculated Results from AE 2. Importing Modeling Assumptions to AE 3. Modifying Existing Modeling Assumptions in AE

Extracting Calculated Results from AE

You can extract calculated results data from AE into worksheets for use in internal systems or reporting.

After Connecting to AE, see Create Results Sheets for the steps to create the sheets.

Importing Modeling Assumptions to AE

You can create a new scenario in AE and then populate the model with the assumptions data in a mass import.

See Create Input Sheets for the steps to create input sheets.

Modifying Existing Modeling Assumptions in AE

You can pull the existing Assumption Inputs into pre-formatted worksheets where you can make changes to the data and push that data back into AE.

See Create Input Sheets for the steps.

Note: Results sheets cannot be imported back into AE.

The last step in the import data process is the AE Data Exception Validation step. This is a process on its own.

AE Data Exception Validation

If the data being imported into AE does not correspond to the business and systems rules for the property assets in AE, the records will be skipped in the import process. They will error out in the job. You can analyze and/or fix these import errors before pushing the data back into AE.

Configuration AE must be able to associate the data across all of the worksheets with the corresponding property or tenant. Since AE users vary on their use of external IDs, several methods may be used.

In AE, go to File > Control Panel > XL4ADW Settings

External ID Option

System Managed - Use Name Field

• This setting will use the current name field as the external ID. • Existing external IDs that you set will be changed the next time the property is saved. • Additional Option – Checkbox: Populate Lease ID if Empty

o On save, any missing lease ID field will be populated with the integer lease ID. o Disable the checkbox if you are going to manage the system ID.

System Managed – Use Lease and Account IDs if available (default value)

• If Lease/Account IDs are not entered, then the system will use the Name field • Property asset – the External ID • Lease – the Lease ID • Operating Expense – the Account ID • Capital Expense – the Account ID • Other Revenue – the Account ID • Parking Revenue – the Account ID • Storage Revenue – the Account ID • Account Data Item – the Account ID • All other data views - Name

User will Manage External IDs

• The External ID field will become available when this option has been selected.

Import Error Option

• Fails on Error Rows (default) • Fails on Any Error

Number of Days to retain import data

• Defines the length of time that import data will remain in the database before it is automatically cleared out.

• Defines scheduled time for clearing import data.

• Specifies the time of day that the automatic cleanup tasks will run on the database.

User Notes

• Changes to External ID Options should be made very carefully, with an understanding of the impact of changes to this setting.

• If you make a change to ‘Use Name Field’, the existing lease and account IDs will be replaced.

Connecting to AE 1. Use the Connect to AE button and Choose

Connection to ARGUS Enterprise using an existing connection or create a new one.

2. In the Manage Connections window, click Connect to connect using the existing Default connection.

3. You can edit the current connection settings through Edit Settings.

4. Click on New Connection to create a new connection using the ARGUS Enterprise Server or directly through a SQL Server connection.

5. You will need the server location and database name from your company network administrator. Refer to the ARGUS Installation documentation for instructions on how to connect to the server.

6. Click the Test Connection button when connecting through the SQL Server Connection.

Create Results Sheets

1. Click on the Connect to AE button to connect to ARGUS Enterprise.

2. Click on Create Results

Sheets button to launch the Create Results Sheets Wizard.

3. Select Add New to create

new load presets or select Last Used to load the most recent set of sheets available. Click Next.

4. Select the Sheets and

Columns for the results data that you want to extract from AE. Each of the three sheets will be a separate worksheet in the Excel workbook. Expand the arrows to select the available columns to display for each sheet if desired.

• KPI Results - This sheet is used to pull back key performance indicator (KPI) data. You can select a

number of non-time series columns for inclusion in the sheet as well as specify the time series data that is retrieved from the AE database.

• Property Asset Results - Financial results for property assets. • Property Other Items - Time series data not available in Property Asset Results. • Tenant Other Items - Time series data not available in Tenant Results. • Tenant Results - Financial results for tenant assets.

5. The Save as preset option can be selected to create a custom preset template.

6. Select Share with other users to allow your preset to be available to other users in your company.

Click Select All and Next.

7. Select Generate Empty Worksheets to generate the AE formatted worksheets without data. Blank sheets can be populated with data at any time using the Get Results Data ribbon button to launch the Fill Result Sheet wizard.

8. Select Fill Sheets with AE Data to generate AE worksheets with the results data. This step essentially

creates the empty worksheets and then automatically launches the Fill Result Sheet wizard to fill in the sheets.

9. Click Finish to launch the

Fill Result Sheet wizard.

Get Results Data

1. Select the sheet to fill results data in. Only one sheet can be selected at a time. To fill the other sheets, at the end of this process, click on Get Results Data from the ribbon buttons to launch this wizard again and select the next sheet to fill.

Click Next to continue.

2. The Load Properties Preset tab allows you to load a previously saved set of properties or click on Next to create a new set of load properties.

3. The Select Properties tab allows you to select the portfolio, scenario and properties to extract data from. You can also include the Classifications (Fund, Region, Asset Manager, Property Manager) to display with the properties.

The Save Property Set allows you to save a custom property preset. Check Is Shared to allow presets to be available to other users in the company.

Select the properties in the grid and click Next to continue.

4. This next tab allows you to select from previously saved data sets to extract, or choose Add New to select the data. Click Next to continue.

Note: Access to these portfolios, scenarios and properties is controlled by the individual user access settings in AE.

5. Select the time series data to populate the spreadsheet. Click on the arrow to expand the available data items. You can select and drag single or multiple data items to the right or use the Add and Remove buttons.

Click Next to continue.

6. Set the Start Date and number of years of

analysis data to download. Select the Reporting Interval.

7. Check Save as preset to save this time and

intervals preset. Provide a custom name and Share with other users to make this preset available to other users in the company.

Click Next to continue.

8. Select the Data Configuration for Actuals, Budgets and Forecast data.

9. The end dates for the Actual and Budget Values in the Scenario Settings are displayed according to the settings in AE for that scenario. They are read only here in the wizard and so are not editable.

10. Select either Use Scenario Settings or Use Property Settings under Select Currency and Measure as the basis for currency and measure in the calculated results.

11. Click Finish to complete this process and populate the worksheets.

Create Input Sheets 1. Click on the Connect to AE ribbon button to

connect to ARGUS Enterprise.

2. Click on Create Input Sheets to launch the Create Sheets Wizard.

3. Select Add New to create a new set of input sheets and columns. If you have previously created input sheets and columns within this connection, you will see Last Used as well. You can select this to load the last saved input presets. Click Next.

4. Select the input sheets and columns to be created in Excel. Each sheet will be a separate worksheet in the Excel workbook. Click on the arrow to expand each heading to show the list of available columns.

5. If desired, select the Save as preset option, and enter a custom name for this template. Select the Share with other users option to allow your preset to be available to other users in your company.

6. To produce a complete set of worksheets, click Select All and Next to continue.

7. The Generate Empty Worksheets option will generate blank worksheets in Excel. The data can then be filled using the Get Input Data ribbon button at any time.

8. The Fill sheets with AE Data option will generate the blank worksheets and automatically launch the Get Input Data From AE wizard to walk through the fill data process.

9. For the purposes of inputting your own assumptions data to import to AE, select Generate Empty Worksheets and click the Finish button.

10. The input sheets are created in the workbook with no input data from AE. You can now input your own modeling assumptions data onto these sheets and do a mass load into AE using the Send Data to AE ribbon button. See Send Data to AE to load the data to ARGUS Enterprise.

11. For the purposes of extracting the input data from AE, modifying it and sending it back into AE, select Fill sheets with AE Data and Finish to launch the Get Input Data from AE wizard. Continue with the next step of Get Input Data.

Get Input Data 1. This wizard will walk through the process

of getting the input data from AE to fill the input sheets. Select the worksheets that you want to fill the input data from AE with. Click Select All and Next to continue.

2. Select Add New to create new load

presets. If available, you can select Last Used to load the last used load preset or a previously saved preset. Click Next to continue.

3. Select the Portfolio, Scenario and

Properties to retrieve data from. You can also include the Classifications (Fund, Region, Asset Manager, Property Manager) to display with the properties. 4. Now that you have the excel sheets populated, you can modify and/or add data in the sheets. To send the modified data back into AE, see the next section on Send Data to AE.

Send Data to AE 1. Click on Send Data to AE ribbon button to launch

the Import Data Into AE wizard. This process allows you to push the information from previously downloaded worksheets into a selected AE scenario.

2. Select the sheets containing the data that you want to import to AE. This list shows all the sheets that are currently open in the active workbook. Click Select All to choose all the sheets.

3. The red validation errors are the errors that will be run against each field to make sure those validations are applied.

4. The yellow warnings are the warning validations that will be applied. These can be deselected to skip over these validations.

5. The informational validation can be selected to ignore the skipped rows and columns or deselected to include them in the validation run.

6. Click Validate Sheets to review potential problems in the Apply Validation Results window.

7. The counts for the number of fails in the validation rules appear on the right window. It also appears on the left window next to the sheets where the errors are found.

8. A pane on the left of the Excel workbook will appear with the validation errors. You will have to click Cancel on the wizard to close it and work on the validation errors in the Excel workbook.

9. In the validation pane of the Excel workbook, click on the arrow to expand the sheet to see the errors. The

violation messages will appear. Double-clicking on the error will highlight the sheet and cell in the workbook where that field is being violated.

10. Validate will run the Validate Data In Selected Worksheets wizard to validate the sheets again.

11. This tab shows the validation results and messages for the property assets. The Action column tells you how the record was handled. Click Finish to complete the import process.

Note: This import will use the failure rules you created in the Import Error Option section of the XL4ADW Settings Configuration in AE. The options were:

Fails on Error Rows Only (default) Fails on Any Error

The default setting will allow all data for a particular property to be imported except for specific rows that have issues. Some users might prefer to have the entire property to fail if there are any errors present.

12. You can click on Job Details

while the import process is happening to view additional information regarding the import. Click Close to close the dialog. This ends our process of importing data to AE. Continue onto the next section for the handling of data import exceptions.

AE Data Exception Validation 1. At the end of the import data to ARGUS Enterprise process, some records may not have been able to be

imported due to data exceptions with the property assets in AE. These errors can be viewed and fixed and then re-sent to AE. (The Queue pane can also be viewed by clicking on the View Task Pane ribbon button.)

2. Click on Analyze above to bring up the Job Analysis Grid window.

3. To see the errors and their messages, you can export and save the records to a workbook.

4. Select one of the three ways to export the data, then click on Export to Excel.

Export All Data for Properties with Errors – Exports the sheets with errors

Export Error Rows Only – Exports only the error rows

5. Fix the errors on the worksheets. The error messages are under column ETLError.

Under the first column Action, click on the cell to see the dropdown of the possible actions that can be taken on each record. You can SKIP the record upon importing to AE, INSERT a new record to be added to AE, DELETE the record from AE, REPLACE the record upon importing to AE, or leave the cell blank to import the record to AE.

Note: After fixing the errors for each error row, change the Action cell from SKIP to blank. Delete the two columns ETLProcessed and ETLError.

6. Now click on Send Data to AE in the ribbon button to resend the data back into AE again.

View Task Pane The View Task Pane icon in the ribbon will insert/hide the Queue/Validation/Scheduled Cleanup Jobs Pane to the left in Excel.

1. Click on the Queue tab. This tab can be selected

when you close the import data dialog during the Import Data Into AE process.

2. The tab lists the jobs that have been submitted, the job statuses as well as the submitted dates. It lists the queued jobs and their statuses.

3. You can Pause the Queue or Start the Queue, Cancel running jobs, see Job Queue Details, Analyze the job results and Clear the ETL import table data for the job.

4. Click on the Scheduled Cleanup Jobs tab. 5. This tab lists the scheduled cleanup jobs based on

Date and Time. There is one cleanup task displayed per import

6. You can Reschedule or Analyze cleanup jobs

You may want to Clear Tables periodically to purge the database of tables that are no longer needed.

Create Reference Sheet

The Reference Sheet represents the drop-down options available throughout the set of worksheets. The sheet is automatically generated when a set of worksheets is downloaded from AE. As updates are made to AE, the sheets may need to be refreshed if the user keeps using the same sheets to import data.

Click the Create Reference Sheet to update the reference sheet. If the reference sheet is missing, a new sheet will be created.

Note: The reference sheet is a protected sheet. The only way to make changes in the reference sheet is to update it with the button.

Time Series Columns There are certain time series data columns in the worksheets which may appear concatenated, making it difficult to view their contents.

The Time Series Columns buttons in the ribbon allow you the view these columns in an easier way.

Analyze Data Position the cursor on a time series cell and click on the Analyze Data icon in the ribbon.

The Simple Amount Period Editor appears to show the data in columns. You can now make required changes or correct errors.

Expand Series

Position the cursor on a time series cell and click on the Expand Series button to bring up the Time Series Column Expansion dialogue. You have the option of selecting the Start Date and End Count for the number of periods of expansion data.

Click OK to expand the sheet to display the time series in multiple columns. Changes can be made to the column data.

Shrink Series

After expanding the time series, you can shrink the series back into one single column. Click on Shrink Series in the ribbon to return the sheet to the non-expanded state. Be sure to place the cursor on the time series cell.

You will be prompted with the following: Click Yes, No or Cancel to proceed.

Discard Changes

After making changes to the data in the expanded columns form, you can click on the Discard Changes ribbon icon to discard the changes made and shrink the series back to its non-expanded state.

• HOSTINFO: Populates the saved connection for the data service (if present) in the second column, and the URL in the third column will indicate the data source for information purposes only.

Input Worksheet Data Information In order for updates to models to be imported back into AE, a set of rules has been established as to how the data is represented in Excel in such a way that AE can interpret the data and apply sensible updates to the models. Because the Excel Add-in does not have full access to the business logic rules that the Property Editor in AE has and due to the free format input that is possible in Excel, it is not possible to validate modifications to the data in Excel until it is pushed back into AE as part of the import process. Further, it is not possible to recreate the rich interface of the Property Editor inside of Excel. Consequently, it is possible to make entries in Excel that will be invalid when applied to models in AE. This is especially true when it comes to managing selections of modeling options within Excel. The entries in these option lists often present a filtered list based on other selection options within the Property Editor, and these restrictions cannot be policed within Excel.

The remainder of the document provides a definition of the rules (and exceptions to the rules) on how the data is represented within Excel and a list of those data elements within the AE Property Editor that are not currently supported by the Excel Add-in.

Column Types

This section deals with how data is represented in Excel and how Excel Add-in recognizes how to treat data when populating the sheets.

Row Identification

In general, each Sheet row will be identified by a number of required ID columns called External IDs.

• Property_External ID – this is the unique Identifier of the Property Asset across scenarios within an AE system.

• External ID – this is the external ID of the specific row within a specific property asset model where there is a one-to-many relationship between the row data and the containing Property Asset Model.

A row in an input assumption sheet is always associated with a Property Asset Model via the Property_External ID column. This column must be present in order for data import/export to function correctly. In addition, there is typically an External ID column to uniquely identify each row within the same Property Asset Model.

In some cases, there are further required external ID rows. For further details, refer to the section on a specific sheet.

The ID columns are formatted as TEXT rather than GENERAL as this will preserve purely numerical identifiers that may have leading zeros: e.g. 00012345.

Columns that Reference other data (_ExternalID)

Columns that reference other data structures are post-fixed with _ExternalID.

For example, a row that represents a Lease in the Leases sheet makes a reference to a LeaseProfile. The column is named LeaseProfile_ExternalID.

These columns are formatted as TEXT rather than GENERAL, as this will preserve purely numerical identifiers that may have leading zeros: e.g., 00012345.

Column groups that reference other data (_ExtID)

Private or Reference data is data that is either defined locally to an entity (private) or references another shared entity. A frequent example of this is inflation rates that can either be defined specifically for a given piece of data

on a row (e.g., Operating Expense Amount1Inflation_AEM) or as a reference to the Inflation Rates data (e.g., Operating Expense Amount1Inflation_ExtID) that contains the External ID of the referenced inflation data.

In this case, the sheets will typically represent this type of relationship through two or more columns.

A reference column: e.g., Amount1Inflation_ExtID One or more private data columns: e.g., Amount1Inflation_AEM.

When importing data to AE, if a Reference is defined in the first column, then the private data columns are ignored when processed on import. If the reference column cell is blank, then the private data columns are processed.

The _ExtID columns are formatted as TEXT rather than GENERAL, as this will preserve purely numerical identifiers that may have leading zeros: e.g., 00012345

Modeling options (_ID, _YN, _YND, _SV, _SVD)

Modeling options are drop down lists that provide the user with a list of options/rules on how to model specific input assumptions to produce specific calculated results. In the Input sheets, this type of column is represented as text, and a fixed drop down list is provided for the user to select various options. The same level of business logic that exists in AE cannot be replicated in Excel, so caution must be exercised by the user when entering data to avoid errors on import to AE.

The following post fixes allow the Add-in to determine that a list of options is to be provided to the user for a particular column. The values of the dropdown list are provided from the AE Reference Sheet.

• _ID - the naming convention of such a column is typically <Name of enumeration>_ID e.g. ExpenseBasis_ID to represent the choice of how an expense is to be calculated in AE.

• _YN – identifies a specific Yes/No case typically used in Report Setting sheets.

• _YND – identifies a specific Yes/No/Default case typically used in Report Setting sheets.

• _SV – identifies a special case for the Show Variance selections in the Report Settings sheets

• _SVD – identifies a special case for the Show Variance/Default selections in the Report Settings sheets

Customizable Modeling options (_ID)

In rare cases, drop-down lists are not a fixed set, but are customizable. These are modeled as two related columns in Excel. The drop-down list will have a Custom option and an additional string column. The Custom column is ignored on import unless the Custom option is selected. Currently, the Lease Sheet contains this type of implementation for the Lease Status and Lease Types.

Time Series Data (_ATL, _APM, _APY, _AEM, _AEY, _APCL, _APUL)

Time series data occurs frequently throughout a property model for data that varies over time. Depending on the purpose of the time varying data, the representation of the data varies slightly in AE and this must be accommodated in the Excel Add-in also. A number of column name post fixes are used to approximate the behavior of the Excel Add-in to that of the AE Property Editor.

The data must be representable in a single cell. The format of the data representation is described in subsequent sections. In order to edit this data in a more user friendly manner, the Excel Add-in provides two options:

• Expand Series/Shrink Series buttons – this expands the data into a cell per data point for a specific range of dates.

This time series data is represented as per the _APCL list. The difference in behavior is that adjacent entries with the same amount are not consolidated in the same way as they are for a _APCL column.

Parent Child Relationships (Parent_ExternalID)

Revenue and expense related sheets allow hierarchical relationships to exist between rows within a specific Property Asset Model. This is represented in Excel by the Parent_ExternalID column where the child references the Parent row.

Note: Due to the complexity of the parent-child business logic in AE, there are only a few limited functions supported by the Excel Add-in.

Boolean Columns

Boolean columns are represented by a dropdown list selection of TRUE/FALSE.

Percent Data

Because some time series data represents percentages or amounts dependent on the modeling options selected, it was decided to simplify the spreadsheet representation of such data by always representing the data fractionally (1.0 = 100%) throughout all sheets for consistency.

Period Columns

Period columns represent the data as {#Years}Y{#Months}M{#Weeks}W{#Days}D. Example 5Y0M0W0D.

AnalysisBegin, AnalysisEndPlusOne Columns

It is worth noting that the AnalysisBegin and AnalysisEndPlusOne columns appear on most input assumption sheets in order to enable time series columns to be manipulated within the Analyze data windows correctly. However, these columns are not linked in any way to the Property Assets sheet (which may not even have been populated), so no manipulation of these dates within Excel will be propagated to other sheets.

Inflation Index Data

This data is represented as a list of Year-Month/Amount/Units; structure that represent index data for the identified date.
