1 Introduction

1.1 Validity

The following delivery regulations are mandatory for all J. Schmalz GmbH suppliers at the Glatten location. Exceptions to or deviations from this rule must be agreed upon in writing on a case-by-case basis. The ‘Spe-cial arrangement for returnable containers’ and ‘Special arrangement for boxes’ sections are only valid if they have been expressly agreed upon in advance with the relevant supplier.

1.2 Consequences of a breach of the delivery regulations

A breach of the delivery regulations is considered to be a quality defect. This quality defect is incorporated into the supplier evaluation. J. Schmalz GmbH reserves the right to refuse the goods or to accept them only conditionally in the case of defects. The supplier is given the opportunity to rectify the defects. Accepting the goods in no way constitutes a relinquishment of J. Schmalz's warranty rights. The supplier relinquishes the right to object to a delayed warranty claim. The supplier may be billed for costs arising from defects.

1.3 Delivery times

Incoming goods are accepted at J. Schmalz GmbH from Monday to Friday from 7:00 to 16:00. No deliveries will be accepted outside of these times.

1.4 Delivery address

The delivery address, including the specification of the unloading point, which is provided in the order upon purchase, must be observed and indicated on all documents. A grouping of orders with different delivery addresses is not permitted. In other words, each shipping unit must only contain goods for that particular delivery gate.

Unloading points are goods receiving hall C09 gate 16 and hall C04 gate 4.

1.5 Document language

All documents, labels and the delivery notes needed to identify the shipment must be in German or English.

If legal regulations (e.g. customs regulations) require a different language, a German or English translation must be included.

2 Packaging

J. Schmalz GmbH takes environmental protection very seriously. Packaging material should be used as sparingly as possible, while taking into account the necessary load securing. Packaging material should be reusable or recyclable.

The outer and inner packaging must be chosen to ensure that the goods are fundamentally protected from damage and from falling out. Using the appropriate packaging material or load carriers will prevent packages from buckling or bursting open.

If the items need to be protected against being cut, then the goods must be covered with a cardboard box so that no damage is caused when the package is opened.

The goods must also have adequate cushioning. Approved cushioning materials are paper, inflatable air cushions, bubble wrap, corrugated fiberboard and kraft paper. Other cushioning materials are not permitted.

When using wooden packaging or wooden load carriers (crates, pallets, squared timber, etc.), the IPPC standards (ISPM No. 15) are to be observed. The timber must be clearly labeled.

Wooden packaging and load carriers made of wood originating from tropical forests / rain forests are not permitted. Exemptions may be granted only after careful consideration. A condition for this is proof of an ecologically sustainable impact.

2.1 Overview of packaging levels

1. Material/product packaging; e.g. bags, boxes, crates or barrels.

2. Package; multiple individual material/product packaging units. A material/product packaging unit can itself be a package.

3. Shipping unit; a package can itself be a shipping unit.

2.2 Dimensions, weight and handling

The weight (gross) of individual packages must not exceed 20 kg. If the weight of a single item (1 unit) caus-es the overall weight to be higher, an exception will be made.

Pallet delivery is only possible on exchangeable Euro pallets (L x W 1200 x 800 mm), disposable pallets (L x W 1200 x 800 mm) in accordance with the IPPC standard, or lattice boxes (L x W x H 1200 x 800 x max. 970 mm). The maximum height of the pallet is 1100 mm.

It is important to note that pallets and lattice boxes may not have overhangs. If lattice boxes are used, only one item type may be delivered per lattice box.

A max. weight of 400 kg applies to all load carriers.

Smooth handling requires that the pallets are placed so that their narrow side (800 mm) is accessible for pallet trucks. This means that no cross beams may be attached to the narrow side. The load carriers must be able to be transported by pallet trucks and ANT forklift trucks.

For items which cannot be delivered with these dimensions or this weight, special packaging will be required. This will be agreed by special arrangement with the relevant supplier.

2.3 Sealing and securing of the load

The sealing material must be suitable for the shipment. Sealing also helps to secure the load. For packages, this will be self-adhesive packaging tape (preferably made of reinforced paper) and, if required, straps. When delivering using pallets, the goods must be secured against slipping and tipping over. Pallets can be secured with the help of packaging bands, stretch film or shrink wrap. When using straps, make sure that they do not cut into the packages. If necessary, edge protectors must be affixed.

If the goods are secured for transportation with stretch film, ensure that the pallet feet remain free when you apply the film.

2.3 Fragility categories

J. Schmalz GmbH assigns each item a fragility class. Items must be packaged according to their fragility class. The fragility classes are outlined in the appendix. If no fragility class is stated on the order, then fragili-ty class 0 applies.

2.4 Hazardous goods

Hazardous goods and substances must be labeled and packaged according to the current legal regulations for the particular location, and they must be delivered in a transport vehicle with appropriate safeguards.

Corresponding safety data sheets must accompany at least the first delivery or any deliveries where the composition has changed.

3 Documents

3.1 Delivery note

The delivery note must be attached to the shipping unit, preferably on the side. Under no circumstances may the delivery note be attached to the bottom of the shipping unit. You must ensure that the delivery note can be removed easily and without damage. The use of delivery note pockets is preferred.

There must be a separate delivery note for each delivery location.

The delivery note should be created according to DIN 4991 or VDA 4912 and must contain the following information:

3.2 Consignment note

Each supplier must submit a consignment note for each delivery location to the carrier. This must include the following information beyond what is in the delivery note:

Type and number of individual load carriers / packaging units (Euro pallets, disposable pal-lets, cardboard boxes, etc.)

Total gross weight

Shipping conditions

Name of freight carrier

Special features of specific packages, e.g. an offset center of gravity or prohibitions against stacking

If Euro Pool load carriers are used, the type and quantity must be listed

A consignment note is not required for self-deliveries.

3.3 Customs documents for non-EU countries

For import processing, in addition to the delivery note and consignment note,

Commercial invoice or customs invoice in case of a delivery not subject to charges

Original preferential certificates (only if goods come from a country that reached an agree-ment with the EU), for example ATR, EUR.1, Certificate of Origin (UZ) Form A, etc.

Five copies of the commercial/customs invoice must be issued:

4 Labeling and sorting

4.1 Labeling packages

A goods tag must be attached to each package in accordance with VDA recommendation 4902.

The following data fields must be included:

If the packages are stacked, labels must not be obscured.

If a shipment consists of different items, all of which are contained in multiple packages, the packages must arrive sorted according to the part numbers.

If a shipment consists of multiple shipping units, these must also be marked.

4.2 Special conditions for mixed deliveries

If multiple item types from an order are packaged in a single package, you observe the following:

The different item types must be collected in sub-packaging units that can be handled indi-vidually

The package must only contain item types for a single delivery address

Sub-packaging units must be labeled according to section 4.3

5 Special arrangement for reusable containers

5.1 Background to the special arrangement

In addition to the general delivery instructions, additional specific agreements are made with selected suppli-ers. This special provision concerns deliveries made using Schmalz’s reusable containers. J. Schmalz GmbH makes all the packaging (reusable containers, liners and reusable lids) available to the supplier. The packaging materials are the property of J. Schmalz GmbH. They may only be used for the purpose intended by J. Schmalz GmbH. Writing on the packaging material or attaching stickers is prohibited. Packaging mate-rials may not become soiled or damaged In the case of loss or damage, the supplier must cover the re-placement value of the packaging materials provided. The supplier is obliged to request the packaging mate-rials with sufficient advance notice from the relevant J. Schmalz GmbH purchasing manager. If this fails to happen and an agreed delivery cannot take place, J. Schmalz GmbH reserves the right to invoice the suppli-er for any incurred additional costs.

The general delivery regulations also apply.

5.2 Packaging used

The following returnable containers are available at J. Schmalz GmbH:

For deliveries, the following reusable lids, black inlays (to be used as intermediate layers), and blue label pockets are also used:

Reusable lids are used for sealing the reusable containers. Only the top layer of reusable containers on a pallet needs to be sealed with lids. On the J. Schmalz GmbH reusable lids, yellow document pockets are already attached. The delivery documents should be put

in these document pockets. In addition, for each blue reusable container that is delivered, a blue label pocket must be fixed externally onto the reusable container.

5.3 Instructions for filling the reusable containers

The reusable containers are filled either according to the specifications of J. Schmalz GmbH, or the supplier independently determines the arrangement and positioning of the items. The latter arises mainly in the case of items that are handled as bulk or are not fragile.

The “Packaging unit specifications” document provided by J. Schmalz GmbH for the positioning and ar-rangement of items states the following:

A packaging unit (PU) corresponds to the amount to be delivered in one reusable container. A filled reusable container may not weigh more than 20 kg. The delivery must be unmixed, which means only one item type per reusable container. The reusable containers should be filled up to the lower edge of the handle. This represents a fill height of 135 mm.

5.4 Identification of the reusable container

Reusable containers must be identified as specified in section 4.3.

One of the labels is placed inside the container. The second label is put in a blue label pocket.

The blue pocket and the label are attached to the outside of the reusable container (short side) (there are places for you to attach them here).

5.5 Load unit and load carrier

The reusable containers are delivered on a pallet (4 reusable containers per layer); there should be a maxi-mum of 4 layers on one pallet. The loaded pallet must be bound around the edges with stretch film, in order to ensure that the returnable container is transported securely.

6 Special arrangement for boxes

6.1 Background to the special arrangement

In addition to the general delivery instructions, additional specific agreements are made with selected suppli-ers. This special provision concerns deliveries made using Schmalz’s cardboard boxes.

The general delivery regulations also apply.

6.2 Used boxes

J. Schmalz GmbH has defined a standard box, which has been adapted to fit the existing storage conditions exactly. The box is made from 2.30 EB corrugated board. This box can be purchased either from J. Schmalz GmbH’s box suppliers or from any other manufacturers (the relevant illustrations will be made available upon request).

If intermediate layers are needed for the deliveries in the above-mentioned standard boxes, cardboard blanks are also to be used. These intermediate layers of cardboard can also be purchased either directly from the J. Schmalz GmbH supplier or from any other cardboard manufacturer (illustrations available on request).

6.3 Advice on the filling of boxes

Boxes are filled either according to the specifications of J. Schmalz GmbH, or the supplier independently determines the arrangement and positioning of the articles. The latter arises mainly in the case of items that are handled as bulk or are not fragile.

The “Packaging unit specifications” document provided by J. Schmalz GmbH for the positioning and ar-rangement of items states the following:

A packaging unit (PU) corresponds to the amount to be delivered in one box. A filled box may not weigh more than 18 kg. The delivery should be unmixed whenever possible, which means only one item type per box. However, in order to keep shipment volumes from becoming unneces-sarily large, you may pack multiple types of bulk goods in a single box.

6.4 Identification of boxes

The reusable containers must be identified as specified in section 4.3.

There are different requirements for attaching the labels, depending on the contents of the cardboard box.

The labels on the sides of the box do not need to be in any particular order. However, you must be able to read them even when multiple boxes are stacked on a pallet.

6.5 Labeling goods in the box

If multiple item types are delivered in a single cardboard box, you must clearly separate the different item types from one another by packing them in bags, smaller boxes, etc. The labels mentioned above must also be attached to each of these sub-packaging units.

6.6 Load unit and load carrier

The cardboard boxes are delivered on a pallet (4 boxes per layer); there should be a maximum of 4 layers on one pallet. The individual boxes in the delivery are not separately sealed; the boxes on the pallet are either wrapped with stretch film or go into a larger outer box, which is secured to the pallet.
