Process Monitor is used to access the output of a report or a

query. It shows error messages or conditions which may have

prohibited a report or a query from running successfully.

There are a few key points about reports to call out:

you can find reports, instead they are dispersed throughout SHARE 9.2 based on module.

The process to run a report is similar across modules.

Reports are available based on your access.

Report Manager is a place to find reports you have previously run. You can only retrieve reports from Report Manager.

SHARE 9.2 provides you with two key Reporting Tools to access reports and queries.

Note: In SHARE 9.2, you can retrieve reports by accessing the Report Manager section.

Query ViewerPulls information from a database. In a query, you indicate the needed data and set criteria to limit the search results.

Report ManagerShows you the different reports you have run and their output.

Click > NavBar > Navigator > Reporting Tools > Query > Query Viewer

Click > NavBar > Navigator > Reporting Tools > Report Manager

There are two types of reports you can run: new reports and existing reports. The following flowchart shows you how to run the two types of reports in SHARE 9.2:

One of the key steps to run a report is to set up a Run Control ID.

Each report receives a unique Run Control ID. The Run Control ID is case sensitive and CANNOT contain any spaces. It CAN contain underscores and dashes

You are prompted to create a Run Control ID when you want to run a report for the first time

Note: You can only view a report in Report Manager if the report status is Posted.

The following steps show you how to run a report in SHARE 9.2:

1. Select your desired report : In this example, we are using the NMS Vacant Bdgtd Posn by Agncy Report under Workforce Administration

Click > Workforce Administration > Workforce Reports > NMS Vacant Bdgtd Posn by Agncy

TIP: You might want to create multiple Run Control IDs for a similar report or process to be run under different circumstances (for example, different times of the year).

The following steps show you how to run a new version of a report in SHARE 9.2:

TIP: In this example (NMS Vacant Bdgtd Posn by Agncy Report), you only enter the Business Unit. However, other reports might require different or additional required criteria.

You can type in all or part of an existing Run Control ID, or leave this field blank to list all of your previously created IDs.

Once you add or select an existing Run Control ID and click Run, the Process Scheduler Request page appears. This is how you can schedule a report.

Server Name: This is an optional field and defaults to the State of New Mexico server Recurrence: Select the recurring time intervals to run the report Run Date: Enter the date to schedule the report (defaults to the current date) Run Time: Enter the time to run the report (defaults to the current time) Type: The report type defaults to Web, but you can choose other delivery types from the dropdown list

such as Email, File, and Printer Format: The report format defaults to PDF, but you can choose other output formats from the

dropdown list such as PDF, XML, and more

TIP: Schedule a report to run after work hours if you do not need the output immediately.

You can access the reports you run in SHARE 9.2 from the Navigator as follows:

Use Report Manager under the Reporting Tools feature in Navigator to retrieve reports.Click > NavBar > Navigator > Reporting Tools > Report Manager

The List tab displays the reports you have run.

Use the drop down menus to view a list of previously run reports by date range.

Click the Refresh button to refresh the list.

Click on the desired report to display the Report Detail page.

In the Report Detail page, click the PDF file to view the report output.

Note: The report output displays on a different browser tab.

TIP: If you want your report in a different format, you need to rerun it using the same Run Control ID and specify the desired format.

The Explorer tab displays the General reports folder. The General folder shows a list of all the reports you have run.

When you click a report’s name from the Explorer tab, the Report Detail page displays.

Use the various options to navigate the Explorer tabFirst : Takes you to the first pagePrevious: Takes you to the previous pageNext: Takes you to the next pageLast: Takes you to the last pageLeft: Takes you to the leftRight: Takes you to the right

In the Report Detail page, click the PDF link to view the report output.

The Administration tab displays new reports that have been scheduled or are in the process of being posted to your report list.

Report List: Lists all the reports you can access.

View Reports For: Filters reports based on the criteria entered.

Details: Allows you to view or print the report.

Save: Allows you to save the report.

Status: You can only view a report if the status is Posted.

The Details link in the Administration tab also opens the Report Detail page.

Click > PDF File to view your report as PDF file

Click > OK to return to Report Manager

Use Process Monitor to view the status of run reports and queries. Process Monitor will tell you when the process is completed and the report or query is ready to view.
