Moving a Prospect from Sherpa into ALIS

Start at the Prospect Profile page in Sherpa Search for the desired prospect in Sherpa, and open the Prospect Profile page. Within the Prospect Profile page, you will add a sales note and schedule an assessment. This workflow will “activate” this prospect within ALIS.

1. Go to the Prospect’s Profile Page. Add a sales note.

2. Record the sales activity.

3. Schedule an assessment.

4. Select “SEND TO ALIS”. This checkbox is the trigger that will send the prospect profile to ALIS. Select “FINISHED. SAVE NOTE.”

5. Upon saving the sales note, refresh your webpage and you will see a new ALIS Assessment Status window, located under the prospect scorecard. You will receive communication from ALIS through this window.

Prospect Information in ALIS

Applicant Stage 1. When a Prospect is sent from Sherpa to ALIS for an assessment, the clinical person can

access that Prospect from the Residents -> All Residents Tab.

2. From the All Residents page the clinician can click on the “View” button to see Prospects transferred from Sherpa.

3. After clicking the “View” button your Applicants will be listed below on the screen. Note here that the terminology “Prospect” changes to “Applicant” simply to indicate that the Prospect is more serious and is in a later stage of the sales process than other true prospects.

4. Select your Applicant from the list on the screen and click on their hyperlinked name. That will

take you the ALIS Applicant Workflow.

View Sherpa Information in ALIS Through the Sherpa-ALIS integration, you will have access to a superior level of communication that can translate to improved service and experience for your prospects and applicants. The ALIS platform now provides direct access to the Prospect’s information in Sherpa, including: the Case Study, Sales Journal, Influencer (Primary Contact), and other recorded information.

NOTE: Once the ALIS applicant is converted to a resident, all matching data fields for this resident will populate from Sherpa to ALIS. For a full list of these fields see Appendix A.

For any Sherpa contact type that does not exactly match to an ALIS contact type, that contact will still populate in ALIS. It will be located as “Other Relative”.

Through the “View Case Studies” popup modal, we display the Biography section of the Prospect from Sherpa. This includes the Life Story, Legacy/Themes/Values, Typical Day, Health and Financial and Adult Children/Influencers. In the “View Sales Journal” popup modal, we display the Sales Journal section from Sherpa. Also displayed in the Applicant workflow is the Status, Stage, Unit and Financial Move-in fields from Sherpa. These are located above the View Case Studies/Sales Journal Button.

The Sherpa information will always be available to you in the ALIS Resident profile once they have moved in from the Applicant Stage.

NOTE: In ALIS a “Product Type” is required under the basic Applicant information. This information will only flow from Sherpa if the Product Type is an exact match in both systems. If your product types are not showing up, reach out to your Sherpa (for Sales platform) or ALIS (for Clinical platform) representative and they will make sure everything is set up correctly.

Checking for Prospect Updates in Sherpa

View the Partner Updates page To check for updates on prospects that have been sent from Sherpa to Alis, view the “Partner Updates” page.

1. Hover over the “Prospects” menu bar link, select “Partner Updates” from the dropdown

menu.

2. View the list of prospects and their “Assessment Status”. For more information, select the

Prospect’s name and view the Prospect Profile page.

Moving a Prospect into your Community in Sherpa

Start at the Prospect Profile page in Sherpa Once the assessment has been completed and your prospect is approved to move-in, here’s the workflow to move a prospect into your Occupancy Board in Sherpa.

1. Go to the Patient’s Profile Page. Add a sales note.

2. Record the sales activity and select “Sale” as the outcome.

3. Upon selecting “Sale”, fill out the requested information for you move-in. Then save the note to

record the move-in.

4. Go to the Occupancy Board to see the move-in counted in the census. If the move-in date is in the future, the system will automatically convert the prospect to a “resident” when that move-in date arrives.

Moving a Resident out of your Community in Sherpa

Move a Resident out of your Occupancy Board

1. Go to the Occupancy Board. Select the unit number that the resident is leaving from. This will take to you the Unit Profile.

2. At the Unit Profile, you may move out the resident by selecting “Schedule Move Out”, or transfer the resident to a new unit by selecting “Schedule Transfer”.

Transfer a Resident or Prospect Once the resident has moved out, you may transfer the Prospect Profile to another community in the your company portfolio to continue follow up with this Prospect.

1. Go to the Prospect Profile page and select transfer.

2. Select the sister community to transfer the prospect to, then click “Transfer”.
