2.2 Competition format

The maximum number for the Qualifying Round is: - two per category and Federation for Aerobic Step and Aerobic Dance

2.3 Qualifications

Due to the small number of inscription the number of participants in the finals will be lower than foreseen by the technical regulation (see Appendix B).

The starting order of the competition is made according to the draw of lots carried out in Budapest, on the 17th of August 2013, by the official representatives of the UEG (Appendix A).

If a National Federation reduces the number of participating gymnasts after the definitive inscriptions, the UEG/AER TC has the right to adjust the starting order in order to ensure the best possible running of the competition.

In case of a tie at any position at the end of the qualification see FIG TR. Sec. 6 – 3.3

2.4 Finals

The final will take place on Friday, November 8th, as follows: - Junior and Seniors Finals Aerobic Step and Aerobic Dance, from 18h00 to 19h00

2.5 Drawing of lots and starting order

The drawing of lots for the starting order of the qualifications took place in Budapest, 17th of August 2013. Please note that the order indicated on the nominative entry form will determine the place of the competitor(s) and the number of the draw (starting list). No changes will be allowed. (Appendix A)

The order in the qualifications will be:

1st part Aerobic Step Junoirs and Seniors

2nd part Aerobic Dance Junoirs and Seniors The starting order of the final is made according to the draw of lots carried out in Budapest, on the 17th of August 2013, by the official representatives of the UEG (Appendix B).

The number of qualifiers in all categories for the finals are indicated in Appendix B.

In case of a tie at any position at the end of the qualification see FIG TR. Sec. 6 – 3.3 The order of all categories for competitions in the finals will be:

The list of the finalists will be handed over to the head of delegation after each qualification.

2.6 Access to the competition area

The competition area is accessible to members of the various juries, competing gymnasts and their accredited coaches, to local group leaders, to the auxiliary personnel of the Jury, to the President of the UEG Medical Commission, to the official doctor, to the team doctors, medical staff and to persons concerned with the apparatus. A team medical person is permitted to accompany the gymnasts and coaches during all Competitions.

Interpreters may not enter the competition area without the permission of the President of the UEG AER TC.

The competition area is strictly forbidden to all other persons.

The use of any kind of electronic devices (video, mobile phones, etc.) is strictly forbidden in the competition area. Please note that, according to the decision of the Executive Committee of the European Union of Gymnastics from the 27th and 28th of January 2012, if a mobile phone or any other electronic communication device is used in the field of play during the entire competition of the European Championships, the person concerned (gymnast, coach) will be immediately expelled. The gymnast will not be ranked and will not be authorized to participate in the remaining competitions. If this rule is violated by a coach, all his gymnasts will also be expelled.

2.7 Award ceremonies

The ceremonies in the competition venue will take place as follows:

2.8 Floor supplier

The competition podium and training hall have FIG official floors from Gymnova (Reference 6630B).

2.9 Steps

Organizers provide the Steps for the teams. The teams can also bring their own Steps.

2.10 Scoring and distribution of results

At the end of the competition all delegation will be provided with a complete set of results including the judges’ individual scores for all competitions.

2.11 List of difficulty elements (only for Aerobic Dance)

At the accreditation, the Heads of delegation have to hand in the list of difficulty elements (appendix C) for Aerobic Dance (Seniors and Juniors).

2.12 Competition Attire Publicity

Any advertisement displayed on leotard must be approved at the orientation meeting (according to the UEG rules of publicity).

2.13 Music

In order to simplify the management of the music and to limit the technical problems of wiring for sound during the competitions, the Organizing Committee wishes to reduce the variety of the various musical supports (CD, USB stick) and to use only the numerical support.

Each music will be classified and indexed in a file on the computers of wiring for sound by respecting the flow schedule in order to be able to use them quickly and effectively.

All the music used during the 8th Aerobics Gymnastics European Championships and Aerobic Step and Dance Test Event must be submitted online until 19th October 2013 (details to be provided by the OC).

The Organizing Committee wishes to receive the gymnasts’ music in MP3 format.

Each music will have to contain following information: – The name of the nation (official abbreviation of the country); – The first and last name of the competitor/s; – The disciplin Aerobic Step or Aerobic Dance – The length of the music; – The Junior or Senior (Example: ROU_Junior_Aer Step_1min30s_mp3)

The Head of delegation or the coach has to sign two forms in the name of the competitor in order to: - approve the technical criteria for playing the CDs by the organiser; - guarantee and as a discharge indicating that the pieces of music chosen are not forbidden to be played,

including during a sports event. At the Accreditation the Heads of delegation have to give the Music Release (App. D) During the training sessions, the competitors have to use their personal CD (3rd copy).

2.14 Doping control

Any doping is prohibited. A doping control can be requested at any time, in accordance with the FIG/UEG regulations. Doping controls will be carried out in accordance with the WADA regulations.

3.4 The judges’ instruction and draw of lots

All judges have to participate in the briefing sessions as described in the Competition Schedule. Short judges briefings will take place before each competition.

According to the FIG/TR, the presence of the judges to the judges’ instruction is mandatory. The judges’ instruction will be held in English.

The judges’ oath will be carried out at the end of the judges’ instruction, by one of the host federation judge.

Part 4 The organization of the event -----------------------------------------------------------------------------------------------------------------------------------

4.1 Competition Venue

4.2 Delegations

Seats will be reserved for each participating delegation.

4.3 Accreditation

Accreditation permits the identification of all participants and indicates the access to certain zones. Access to all zones will be controlled. Accreditation must be visibly worn throughout the whole event. During the accreditation the Heads of Delegation have to verify the identity of the members of their delegation as well as all requirements regarding accommodation, meals and registrations. They have to make the necessary payments (including insurance), hand over the CDs for the exercises of their athletes, the CD with the national anthem and their national flag. The Organising Committee suggests to all Federation to bring CDs. Accreditation will be carried out upon arrival at the competition venue. The accreditation is personal, non-transferable and necessary for access to the training and competition halls, as well as for official transports. The FIG and UEG Directives and Technical Regulations will be strictly applied, especially with regard to the number of persons accredited per nation. Accreditations are provided for each delegation which has fulfilled their financial obligations. Together with the nominative registration and to accelerate the process of the accreditation, each delegation is kindly asked to fill in the online Form for each member of the delegation (Head of delegation, Team leader, Judges, Coaches, Medical staff,…) at the following address: http://accred.webfpg.com/euroaerfig For each member of the delegation the photo (Identity Colour photo in format JPEG – 45mm x 35mm) must be integrated into the Form. For gymnasts and judges a copy of valid passport (format JPG) is to be added. The online system will be open from 05/10/2013 (08:00 am GMT time) and will be closed on 14/10/2013 (12:00 GMT time). Delegations who did not respect this directive will have to wait at the accreditation center.

If the form has not been filled in correctly or if the photo has to be taken on site because none has been sent within the deadline or sent in an unofficial format, there will be a charge of Euro 15 for each photo taken at the accreditation desk. The accreditation sent without pictures will not be handled with priority.

Upon accreditation the Head of Delegation or his representative will have to provide to the organizing committee the following:

o The passport of gymnasts and judges; o The licenses of the gymnasts; o The medical insurance for the members of the delegation; o Prove that they fulfilled their financial obligation to the O.C. o The CD’s will be returned to the Heads of Delegation after the gymnasts’ last competition.

It is recommended that spare CD be brought for safety reasons. o The form “Confirmation of the national flag and anthem” together with the national flag of

their country (dimension of 100/200 cm) and a CD with the national anthem (clearly marked with the name of the country and the mention “national anthem”)

For the accreditation process, only the Head of Delegation (or his representative) is requested to present him/her self at the accreditation centre.

4.4 Orientation Meeting

This orientation meeting for all delegations will take place on Tuesday, 5th November 2013, 11h00 – 12h00 in the Dance Room (Salle de Danse) at the competition venue. The Heads of Delegation, Coaches and Judges have to participate in this briefing session, during which the UEG AER TC and the OC will give information about the running of the test event. An updated work plan will be distributed to the Heads of delegation during the orientation meeting. This orientation meeting will be held in English only. Unjustified failure to attend will result in a sanction against the federation of Euro 1.000.

4.5 Training information

The training will start on Tuesday, 5th November 2013 and will take place in the training halls and competition hall. A detailed timetable for the warm-up will be handed to the Heads of delegation upon arrival. The access to the competition hall, the training and the warm-up halls will only be granted to those delegations wearing the accreditation card and only during the times reserved for their nation.

4.6 Opening ceremony

The Official Opening Ceremony will be held on Friday 8th of November for Juniors and Seniors in the Competition hall at 17h45. The ceremony will consist of Flags Presentation by nation with the competitors by nation performing 2 x 8 counts with aerobics music. The rehearsal will be held on 6th November - Competition Hall – Podium at 14h30 to 15h30. All Head of Delegation & Coaches must be present during the Rehearsal of the Opening Ceremony. All competitors must wear their national tracksuit.

4.7 Delegation boxes

Delegation Mail Boxes will be set up in the competition hall. All information regarding competition, warm-up, trainings, and notification of meetings, transport, official functions, as well as UEG and OC correspondences will be distributed via the delegation mailboxes.

A special “Mail Box” authority card will be issued to each Head of Delegation. This card must be shown by the Head of Delegation (or his representative) when collecting all information and results from their Delegation Mail Box. The delegation member designated to collect the information from the Delegation Mail Box will be required to sign for information collected.

4.8 Medical Services

The OC will provide the necessary medical services.

4.9 Farewell Party

The closing evening will be organised on Sunday night November 10th with time and venue to be confirmed upon arrival. Accreditation will be asked for access.

4.11 Transportation

The OC will organise transport for the delegations from the hotels to the competition venue. The transport schedules between competition hall and the official hotels will be available upon arrival of the delegations at the accreditation office.

Transport service from Lille Lesquin Airport and from Lille Flandres and Lille Europe Train stations will be provided by the Organising Committee to delegations which booked their accommodation through the Organising Committee and return their travel information form by September 30th, 2013 at the latest.

In addition, and according to the OC Directives, a shuttle can be organized, only upon request, from Brussels National Airport or Brussels Charleroi Airport. Please refer to the Directives.

Only accredited persons are entitled to use the transportation system.

Federations who did not book their accommodation through the Organizing Committee will not be entitled to use the transportation system and will be responsible for being on time at all events.

4.12 Insurance

The FIG and UEG Technical Regulations stipulate that all participating federations have to assume all costs in relation to the medical insurance of all delegation members (illness and accidents). The Organising Committee has the right to verify the validity of the insurance upon arrival of the delegations (policy insurance, original or copy). Entering to the European Championships without valid medical insurance of all delegation members will be rejected. However, those delegations which cannot present valid medical insurance, will have the possibility to conclude a medical insurance service provided by the OC at the following cost: - 5€ per person/day for illness and medical fees - 6€ per person/day for illness and medical fees and repatriation

4.13 Visa

Please check whether you need a visa to enter France. The Organising Committee will assist you applying for a visa with pleasure. To assist with the application process, each country should complete the attached visa request form. This form has to be sent back to the Organising Committee by October 15th, 2013 at the latest.

4.14 Regulations

The Aerobic Step and Aerobic Dance Test event Arques (FRA), 2013, will take place under the following regulations;

The 2011 UEG Statutes;

The 2013 UEG Technical Regulation for Aerobic Gymnastics;

The 2009 UEG regulations for publicity;

The 2011 FIG Statutes and 2013 FIG Technical Regulation;

The current Codes of Points and the followings remarks or documents issued by the FIG/AER TC;

The 2013 FIG General Judges’ Rules and AER specific rules.

The 2013 special Technical Regulations Aerobic Dance and Aerobic Step.
