Objectives

Set up a collaborative platform (Intranet) that will help WLE improve the efficiency and effectiveness of team-level collaboration, while making information and knowledge easily available and accessible to key partners.

Setting the scene - where are WLE documents today?

or simply on staff’s laptop/ email..

Shared drive at IWMI (only accessible by staff at IWMI)

WLE: Current Issues & Needs ● Document sharing (single filing system and joint editing; team workspaces) ● Calendar functions (events, meetings, travel schedules)

● DB/List management (who’s who – partners)

● Searchable repository - of internal documents 

●      Forms - to collect information such as WLE Indicators/ Planned  Publications

● Project Management - deadlines, tasks

1. Content  - ability for the WLE teams (Management Committee, Program Office team, and SRPs teams) to share information from a single point of entry...

2. Communications / Coordination - central location for the WLE teams to view key program events, travel schedules, submit planned publications & carry out E-discussions

3. Document sharing & Collaboration - for developing the 'work in progress'  documents:

Workplans, budgets reports; (version mgmt)

Training and Support Plan

Training: End April 2013 – tentative visit to IWMI to deliver Intranet end-user Training

-  Subsequent virtual trainings (or on-site if needed) will be scheduled with the rest of the WLE team (April/May)

CCAFS Intranet – Lessons Learned

- Support from CCAFS top management was key to improve their collaborative processes:

“Do not send an email with attachment, just share a link”

- Setting up alerts by email has been a key feature (alerts on a list, document, calendar event)

- Best practices on document naming convention guidelines is key E.g.: Avoid long names / use of symbols
