What's New in HD Version 18.1 HD version 18.1 is packed with user-requested features to help you create more accurate estimates and better manage project costs. The Work Breakdown Structure (WBS) feature provides greater flexibility to easily view and present your estimate in different formats specific to the needs of the project stakeholders. The Cost Item Assembly enhancements add to the intelligence of the feature to make it even easier for users to employ defined assemblies in an estimate. Notable in this release are all of the enhancements that were done to make HD Estimate easier to use by improving many of the ways you work within the system. Work Breakdown Structure (WBS) The new Work Breakdown Structure (WBS) feature gives you the ability to create a job in one format, and then view it in a different format. This functionality provides the flexibility to create an estimate in the most efficient way for you, and then using the WBS feature, create other formats such as Construction Specifications Institute (CSI) MasterFormat or UniFormat to present to senior management or project stakeholders who may prefer to review the estimate in a different format. • In the WORK BREAKDOWN STRUCTURE RECORD > SETUP tab, enter a code (must be unique) and description for the WBS format. In the Hierarchy Separator field, define the single-character that you want to use to separate levels in the hierarchy. You can also assign tags and user defined fields to this WBS.

o The system allows you to view up to ten WBS formats of an estimate and display them in the CBS. wbs_record_setup_tab

• In the WORK BREAKDOWN STRUCTURE RECORD > DETAILS tab, build your hierarchy from scratch or copy one from a template. Use the Code field to structure your hierarchy of tasks and the Description field to identify a specific task.

• Start with the default values for Quantity (1.00) and Unit of Measure (Each), and then change them as needed.

• The WORK BREAKDOWN STRUCTURE DETAIL REGISTER opens, which allows you to view and select the WBS item to assign to the cost item in the CBS.

• Go to the COST BREAKDOWN STRUCTURE (CBS) REGISTER > VIEW menu, then select Work Breakdown Structures to open the WORK BREAKDOWN STRUCTURE VIEW REGISTER. In WBS View Register you can: o Select from the list of WBS formats to view your estimate, and then easily change to a different WBS format

to view the estimate. o See the total cost roll up of assigned cost items and subordinate detailed items. o Select from the hierarchy structure and show utilized cost items and associated resources in a separate

panel. o Change quantities of a WBS item. Note that only the unit cost is affected when the quantity is changed.

Estimate Using Model Quantities The integration between HD Estimate and InEight Model Suite provides the capability of pushing model quantities to an estimate structure. Keeping the model and the estimate synced and updating the estimate as required with updated model versions. With this integration, cost and other attributes from the estimate can be visualized with the model.

Cost Item Assemblies

Conditional Inputs Use Conditional Inputs with a Cost Item Assembly to hide specific input variables from users employing the Cost Item Assembly until certain conditions are met. This makes it easier for the user to work with large lists of inputs by asking the user to answer only the questions that are relevant at that time. A Conditional Input uses a formula expression to determine when the input is displayed or hidden. When a user employs a Cost Item Assembly and begins entering information, conditional expressions are evaluated and if any particular expression result becomes True, then its conditional input is shown in the Cost Item Assemblies list of inputs. If the conditional expression result is False, the input remains hidden from the user's view.

• Open the COST ITEM ASSEMBLY REGISTER > COST ITEM ASSEMBLY RECORD, and then select the INPUTS / CALCULATION tab. • The conditional input expression is entered in the Visibility Condition field of the input.

o Conditional input expressions can include variables that reference other input values, or ask simple Yes/No questions. This allows the user to provide answers to inputs, which are then used to determine if the user is asked to provide more answers for additional inputs.

• The variable Default Value is used in the conditional input expression so the input is always hidden when the Cost Item Assembly is initially employed, therefore the Default Visibility checkbox is not selected.

• When the user creates an estimate and employs the Cost Item Assembly in the COST ITEM ASSEMBLY INPUTS view,

the conditional input is hidden. • The user then provides information and enters a dimension or a response to a question. If the value entered

changes the expression result to True, the conditional input shows.

If a user wants to see all of the inputs in a Cost Item Assembly even if their conditions are not currently evaluating to True, the user can click View in COST ITEM ASSEMBLY INPUTS, and then select Show Hidden Inputs to see all of the conditional inputs for the Cost Item Assembly.

Define Default Column Visibility in Table Records Make it easier for users to select data from tables by hiding unnecessary table columns in the TABLE ROW SELECTION REGISTER. Columns in the selection tables that are not needed by the user when a Cost Item Assembly is employed can be hidden. In both COST ITEM ASSEMBLY REGISTER and STANDARD TABLES REGISTER, go to TABLE RECORD > COLUMNS tab and clear the Default Visibility checkbox to hide columns in the table.

Link Multiple Cost Items to Calculation Result Select multiple cost items at the same time in a Cost Item Assembly, and then link all of them to a calculation result. In the COST ITEM ASSEMBLY RECORD > COST ITEMS tab, hold down the Ctrl key while you left-click with the mouse and select each cost item. After the rows are selected, right-click with your mouse and link them to the calculation.

Inputs/Calculation Tab Tags and UDF Fields More user tags and user defined fields are available on the COST ITEM ASSEMBLY > INPUTS / CALCULATION tab making it easier for you to sort and find inputs in large assemblies that are related to a group of variables or with other similarities. A Standard View was also added, so you can define saved views to make use of the additional tags and fields.

Improved Usability

Word Wrap See the entire Cost Item description without having to resize the Description column for a single record. Right-click your mouse in the Description column header, then select Word Wrap from the list items. The Description column and rows adjust to show the full description. In addition, the character limit was increased in both the CBS and PBS Description fields. Word Wrap is available in most registers and can be toggled on and off as needed.

Improved Grouping The way data is displayed in the Group label row has been updated. The Group label row now shows the total number of items in the group and amount totals for better readability and more viewing area.

Improved Docking The way in which you can reposition and place data blocks is improved. Use the mouse to click the data block Title Bar or Tab, and then drag it to move it. You can either float the data block over any part of the form or hover over the indicators to see where it will be positioned when docked. Release the mouse button to position the data block to the floating or docked location.

In-field Calculator Use the In-field calculator to do simple mathematic calculations in any numeric field on records, registers, and tree lists. Insert the cursor in the field where you want to perform a calculation, then press the "=" key followed by a valid arithmetic expression. Press the Tab key or Enter key to display the calculated result. Note the resulting value is stored without the arithmetic expression used to calculate the value.

New Data Map The Data Map has been updated with a new cleaner look that is easier to read. But there is more to the new look, the color bands on the pyramid are proportional and change dynamically as the job values change. It's easy to see at a glance how much profit you have in the job relative to the overall direct and indirect job costs. Use the tabs on top to navigate between up to eight jobs that you can quickly view, compare, and access information.

Preview Update Crew/Assembly and Employments Preview the cost items affected before making changes to employed resource assemblies using the UPDATE CREW/ASSEMBLY EMPLOYMENTS feature in the COST BREAKDOWN STRUCTURE (CBS) REGISTER > TOOLS. The cost items affected are shown in the SELECTION REGISTER, where you can choose which items to update.

Retain Column Width in Grid/Tree Controls In Grid/Tree controls, the column width might be minimized by default when you open the record and values may not be shown in their entire length (i.e., $550.25 shows as $550…). If you increase the column width to see the entire value, make a change in the record, and then save it, when you open the record again the column width is retained showing the entire value.

Custom Column Captions in Records You can change the default column header names to custom captions in records such as, resource, cost item, dependent cost item, budget change detail, job tracking, and timesheet expenses. Right-click in the column header to rename it. If you are working in network mode and you change the caption, it is applied to all jobs for all users.

Register Filter on Excel Links New Register filter views have been added making it easier to find and sort records with Excel links in them.

• To filter the CBS down to records that contain Excel links, go to COST BREAKDOWN STRUCTURE (CBS) REGISTER > VIEW > FILTER COST ITEMS WITH EXCEL LINKS.

• To filter the Resource Rate Register down to records that contain Excel links, go to RESOURCE RATE REGISTER > VIEW > FILTER RESOURCES WITH EXCEL LINKS.

Fields Added to Excel Mapping in CBS These fields in the CBS are available and can be defined and mapped into HD Estimate from Excel using the Import/Update CBS from Excel feature.

• Notes: Directly bring in remarks and comments for the ease of use and client traceability. • Schedule Dates: When the job is set to Manual (Job Properties > Schedule tab), you can include the fields for

Early Start, Early Finish, Late Start, and Late Finish. • Quantity, Quantity (less waste), Waste %: Have more control on the quantity for an employed resource. Bring

data in from one of the three fields and let the system calculate the other fields.

Export Resource Utilization Register to Excel Set up the RESOURCE UTILIZATION REGISTER view to show data arranged the way you want it, and then use Export to Excel to send the data to a spreadsheet.

Quote Management

Create Quotes for Sellers not in Address Book When taking quotes on a job, you can now indicate the Seller on the quote without needing to first create the Seller in the Address Book. This makes it easier to accept quotes from vendors that you do not frequently do business with and clutter up the Address Book with one-time entries. When adding an ad-hoc entry in a Quote Record, all of the Seller information fields can be edited. The Seller information shows <Ad-Hoc Address> in the Quote Record and in reports unless a valid address book entry is used. Note that Commitments cannot be created for quotes that use an ad-hoc address in the Seller information.

Quote Summary Unawarded Quotes Report Find if there is uncovered work and where it is with the Quote Summary Report option to view only unawarded quotes. Go to QUOTES > QUOTE SUMMARY > DETAILS tab, and then select Print only Unawarded Quotes in the report.

Resource Rates

Filter by Resource within Resource Assembly Register You can easily check to make sure that your Resource Assemblies are utilizing the appropriate resources. Filter the RESOURCE ASSEMBLY REGISTER down to the assemblies where a resource is used with a new filter added in RESOURCE ASSEMBLY REGISTER > VIEW. Select Filter by Resource…, choose a Resource Code, and then click OK to apply the filter.

Non-hourly Charge Rate Fields in Resource Utilization Register Fields have been added to the RESOURCE UTILIZATION REGISTER making it easier to see how equipment resources, both rented and owned, are being used in a job for both hourly and non-hourly resources. Go to RESOURCE RATE REGISTER > VIEW > RESOURCE UTILIZATION now shows the non-hourly charge rate fields for Period, Amount Per Period, and Hour Per Period.

Job Snapshots

Compare Snapshots in Job Explorer In HD JOB EXPLORER, you can now compare a snapshot to another snapshot, or a snapshot to a job by selecting them in the tree view. After selecting the snapshots or job, use the criteria and view tools to see the comparisons side by side. The status bar at the bottom of the Comparison View window shows the Job Code, comment, and timestamp to easily identify the snapshot or job you are viewing.

Upgrade Job Snapshot Version When a snapshot is selected in the MANAGE JOB SNAPSHOTS REGISTER that is not at the same version as the Estimate system version, a prompt opens for the user to upgrade the snapshot. The snapshot must be upgraded to be viewed. The snapshot opens automatically after the upgrade is completed, which shows the updated version in the status bar.

Cost Item Allocation

Pay Item Assignment for Allocation Distribution in an Unlocked Job In COST ITEM RECORD > ALLOCATION TAB, the checkbox Allocation distributions inherit target Pay Item Assignment was added. When the checkbox is selected in an unlocked job, the system will use the same allocation distribution for the cost item’s costs anytime the cost item is copied and added to a job, instead of having to configure allocation for each instance. For a locked job, this is the normal system behavior, so the option is always selected and cannot be edited.

Alternate Scenarios

Use Base Bid for Initial Prices of Alternate Pay Items When creating an Alternate Scenario for Pay Items, such as a Base Bid plus Alternate scenario, Base Bid Pay Item prices now get copied to the Alternate Scenario Pay Item prices as an initial price for each scenario. By copying the prices, the estimator only needs to update the prices of Pay Items that are affected by the Alternate Scenario.

Account Codes

Man-hour Fields in Account Code Utilization Register Fields are added in the ACCOUNT CODE UTILIZATION REGISTER to show the total number of Man-Hours that are contributing to an Account. In the Account Codes Utilizing Items pane, a Cost Items Resource Employments are shown. If any of the Resource Employments Account Codes are different and do not contribute to the selected Account Codes Total Man Hours, those Resource Employment values are not included in the Account Total Man Hours, Account Total Man Hours (Maintenance), and Account Total Man Hours (w/Maintenance) fields.

Billing Rates

Dependent Cost Item Add-On Fields Billing Rate amounts can now be calculated by adding an amount per hour to the total number of man-hours in a job by using a CBS Man Hour Add-On Dependent Cost Item. Insert a Dependent Cost Item, and then select the dependent cost item type Based on CBS Man-hours to include the costs per man-hour. In the CBS MAN HOUR ADD-ON RECORD > DESCRIPTION tab, use the Add-on Billing / Man-Hours field to enter an amount per hour that is used to calculate the items Total Billing Amount.

A similar field has been added to the CBS Equipment Hour Add-on for cost item type Based on CBS Equipment-hours that is used to calculate an added cost per hour and billing amount per hour to the total equipment hours.

Access Control

User Roles Register Tags and Fields Tags and user-defined fields have been added to the USER ROLES REGISTER to provide administrators the option of tracking more details about users’ account information and profile. Information in the tags and user defined fields could include, user email address, names, or other identifying contact information to help administrators more easily manage user permissions.

Reports

New Estimate Comparison Report A new report is added that allows you to view the estimate for two jobs at the same time. Run the Estimate Compare Report to review and compare the differences between two jobs side-by-side.

Go to the ESTIMATE COMPARISON REPORT > DETAILS tab, and then select the section or sections to include in the report.

• Total Project Cost Summary - shows the cost breakdown based on the top level cost categories for the entire job.

• Business & Job Overhead Summary (by Cost Segment) - shows the cost breakdown based on the top level cost categories for cost items that have ‘Business Overhead’ or ‘Job Overhead’ cost segment.

• Direct Cost Summary (by Cost Segment) - shows the cost breakdown based on the top level cost categories for cost items that have ‘Direct’ as cost segment.

• Cost Summary - shows the cost breakdown based on the top level cost categories for cost items. • Cost Category Breakdown - shows the cost breakdown based on total unit costs and total costs by cost category

Fuel Cost in Resource Utilization Report Fuel costs are now included in the Resource Utilization Report (RESOURCES > RESOURCE UTILIZATION) and shows you the total fuel costs for each resource, so you can better manage jobs that have large fuel costs.

Billing Rate Scales Added to Resource Price List Report The Resource Price List Report now shows all three scales of the resource billing rates used in the job to generate the billing amounts. Go to BILLING RATE REPORTS > RESOURCE PRICE LIST > DETAILS tab. If you select the Display Weighted Average of Employed Resource Billing Rates checkbox, the report shows a composite billing rate (total of all resource employment billing amounts ÷ total resource employment hours) for each scale. If the checkbox is not selected (default), billing rates are shown as they exist in the RESOURCE RATE REGISTER for each scale in the report.
