What's New for External Suppliers in eMatrix Release 5

What's New Summary

This document compares eMatrix Release 5 to eMatrix Release 4. This document is for those who know how to use eMatrix Release 4 and shows what to expect in Release 5. Sample screens in this document may not match your screens due to different authority and permissions.

eMatrix Release 4 at 3M uses the 10.7 version of ENOVIA from Dassault Systèmes. We are upgrading to ENOVIA V6 R2011x as part of 3M's eMatrix Release 5.

The menus and features launched by the menu functions are mostly unchanged from eMatrix Release 4.

The major changes include a changed home page view, enhanced search capabilities, enhanced control of how data is shown in tables, the renamed and organized Actions menu, and improved CAD document functions. The largest change in Release 5 is how you work in the CAD integration.

3M Help 3M Help is being updated to reflect the changes in eMatrix Release 5 and will be complete by the end of

October. To access 3M Help, while logged into eMatrix, click 3M Help in the global toolbar.

eMatrix Help Home page

Licensing eMatrix includes a new way of managing licenses. The new licensing can affect you if you attempt to do something for which you do not have the license. A message similar to the following displays with the license codes reflecting the task being attempted:

To correct the problem, contact the 3M PLM Helpline (see For Further Information on page 1) and describe the task being attempted. If new licenses need to be added to your account, submit an AREQ (Access REQuest).

Home Page and Global Changes The most obvious change in Release 5 is the new look of the main page. There is a new background graphic, color scheme, and a Search field is added to the toolbar.

In eMatrix, menu items or options that are grouped together are represented as ">>" ( ) (double greater than symbol). The >> indicates the menus or options do not fit on the menu, toolbar, or window.

">>" is not a new feature, but it may be more visible because the Search field is added and takes up space on the global toolbar.

In some cases, you can resize the width of the window to show the menu items grouped under >> ( ). For example, resizing a window can change

Menu and Toolbar Changes

Besides the graphic and color scheme of the home page, the biggest changes are the Action menu is renamed to the Create menu and the Search field is added to the toolbar.

1. The Preferences option is the General Preferences option

2. The Home, Logout, and Search options are removed from the Tools menu.

Long Menus

If a menu is too long, you will see small triangle indicators. These tell you that there are more menu options if you scroll in that direction.

Searching Searching is enhanced with eMatrix Release 5. Visual changes include the Search field added to the global toolbar, added and changed Search fields, and enhanced search results. System changes include changing operators and the addition of the clipboard collection. This section details those changes.

Before You Begin

A side effect of the enhanced search is that previously saved searches do not work in eMatrix Release 5. Searches continue to be able to be saved, are linked to your account, and persist after you logout.

Search Field

The Search field ( ) is added to the toolbar after the Search menu and before the Home button. Click Search to open the search criteria. If you enter text in the Search field and click the Search button, the text entered is pulled into the Full Text Search field in the search criteria.

Reset Button

The Reset button removes information entered in the accompanying text field.

Search Results

The default search results fields are reorganized with an added Vault column. The search results also expand to include a column for each field used in the search. Additionally, you can add columns to the search results by including two asterisks (**) in the field without any other characters.

Supplier Note: If you do not have access to an object, the search results show the type name, number, revision, and "#DENIED" for other fields. Previously, if you were denied access to an object, it would not be included in search results.

Additional Search Fields

The full text search and real time search screens are nearly identical and the most noticeable difference is the page label of "Full Text Search" or "General (Real Time) Search". In some situations, you may see a delay in finding information using the full text search because the refresh has not completed.

Both searches offer many new fields, and some have changed from the Release 4 search screens. Click

the Search button to open the full-text search window, or select General (Real Time) Search… from the Search menu on the global toolbar to view the General (Real Time) Search window.

Added or Changed Search Options

Search capabilities are enhanced in Release 5. The following search options are available:

Search Field Used for

The date range when the object was created

The date range when the object was last modified

Lets you specify the exact state for the objects you want to find

Alternate numbers such as temporary numbers that may have been originally assigned

Division or personal criteria stored in this attribute

Objects with a relationship to the specified location

Objects with a relationship to the specified Product Category

Text documents using the specified operation name

Raw materials using the specified trade name

Raw materials from the specified supplier

Raw materials owned by the specified division

Note: Raw Material Specifications (RMS) searches include divisions previously not included.

Changed Search Options

Search options are changed in Release 5:

You may check one or the other. "Highest Released" will show only the Release revisions in the search results. "Highest Released & un-Released" will also include the most recent draft revision. Unchecking both options will return all revisions.

Vault Presets based on your Default Search Vault preference setting. Change to all vaults or selected vaults by clicking the … button.

Vault Reset Sets the vault setting to ALL_VAULTS when button is clicked because searching without a vault returns zero results

Operators

AND and NOT

Searching for text is changed. The operators <AND> and <NOT> no longer require the less than and greater than signs and you do not need to enter "OR" because it is default search option.

The operators are simply AND and NOT. AND finds objects with the term before as well as after the word AND while NOT finds objects with the one term and not the other. You can continue to search for an exact phrase using "" (quotation marks).

OR Within Search Field

When you click in a search field, you can specify multiple values that should be used for the search. In a free-text field, you click in the field to get a larger field for entry. You can press Enter to start new values on a new line; the resulting string displays in the field on the search screen.

Other fields provide lists of options, and you can filter the options by typing in a small field, and use shift- or control-click to select parts of the list. You must click the green checkmark button to use those items as the search criteria. As a shortcut to select one item, double-click the item to bypass clicking the green checkmark button.

Full Text Search Built In

The full text search is built into eMatrix. To not affect performance, full text search uses a separate search database which is refreshed with live data every hour. The full text search is very powerful and can take a while to search the eMatrix data.

Full text search tips:

To find documents with one of many words, enter the text without quotes. For example, "blue pigment" lists documents matching either "blue" or "pigment".

To find documents with a phrase, enter the text with quotes. For example, ""blue pigment"" (in quotes), lists documents matching "blue pigment".

Saved Searches

Saved searches from previous versions of eMatrix load the criteria, do not run the search, and display a message similar to the following:

Navigation View

The form-based view is the default way to look at a search screen. But Release 5 introduces a new Navigation view for searching. Access the Navigation view by clicking the Navigation View button in the search window's toolbar. The screen changes to show the Navigation View. You can return to the original look by clicking the FormBased View button.

In this view, click a criterion on the left side and in the small panel, enter search values. Criteria display under Attributes. The Search and Reset buttons perform as usual.

Clipboard Collection

A search-related enhancement is the clipboard collection. The clipboard collection works with tables and builds on the collection functions in eMatrix.

A collection is a way to gather and hold a group of objects for later use. A collection is helpful when a list of objects may not be easily found with one search. Your collections are linked to your account and persist after you logout. You cannot share a collection with other users as a collection, but you can use the collection to add objects to a workspace to share.

Starting with a table, you can "collect" objects into the clipboard collection with one click.

To add objects to the clipboard collection, select the objects by selecting the check boxes ( ), click the

Clipboard button, then select Add to Clipboard Collection.

Once you have created a collection, you can view what's in the collection using the Collections button and selecting Clipboard Collections.

You can also view clipboard collections using the menu option to view collections. From the My Desk menu, select Collections. The clipboard collections are included in the list with other collections.

Table Views

Table views in eMatrix are enhanced to allow multiple columns to be sorted and personalized. The views created can be saved.

Multi-Column Sorting

Table views in eMatrix now allow the data to be sorted beyond the first column if pagination is turned off. This is called multiple column sorting. Multiple column sorting means you can sort by one column, followed by another column. For example, you could sort by Name, then revision. If two objects have the same name, the data is then sorted by revision.

The sorting function is available using the Multi Column Sorting button on the Table toolbar.

Click the Multi Column Sorting button to open the sorting options in the Multi Column Sorting Selection dialog box.

You can sort up to three (3) columns. For each column to sort, select the column, then select whether to

sort ascending from A to Z (represented as ) or descending from Z to A (represented as ).

When you click Done , the data is resorted.

In the table view, a column sorted in ascending order from A to Z order is represented with an arrow pointing up ( ) and a column sorting in descending order from Z to A order is represented with an arrow pointing down ( ).

You can change the sort order by reopening the Multi Column Sorting Selection dialog box or in some cases, by clicking the column heading.

Customizable Table View

You can customize how the data displays and add attributes useful to you. This is called customizing a "table view". For example, you can add Vault or Originator and sort on those attributes.

The customizing table view functions are available using the View button on the Table toolbar.

In addition to changing how the data is currently displayed, you can save the view for use later.

To create a view, click the arrow portion of the View button, then click Create New Table View.

The Customize Table View dialog box provides you a place to name your view, select which columns to display in your view, size the columns in your view, and includes the options for multi-column sorting (for more information, see Multi-Column Sorting on page 13).

When you have defined the view, click Done . The saved view is available on the View menu. Once you have created a view, you can apply it to your data.

Once a view is created, click the View button to toggle through and apply each saved view. Selecting System Table… from the View menu (triangle to the right of the View button) returns to the default view.

Create BOM Items

The RoHS Compliant field is renamed to the EU ROHS Compliant field because this field is about the European Union law. Other regions may have legislation forthcoming and other fields will address those region's laws.

The single-level BOM view is now obsolete. The screen that was called the Engineering Bill of Material is now called the BOM PowerView.

You can specify the number of levels displayed when you click the + symbol to expand a BOM. The Expand drop-down list is next to the Launch button on the Bill of Materials toolbar in the BOM PowerView.

Engineering Change

Requested Change

The Affected Items category screen is added and replaces the individual screens for revising, releasing, or obsolescing parts and documents on ECOs, ECRs, Deviations, and CMRs.

The Requested Change is a column on the Affected Items tab which shows the type of change that will occur for all related objects. The options are:

For Release – to take a new object with no prior revision and promote it to the Release state.

For Revise – to take a new revision of an existing object and promote it to the Release state.

For Obsolescence – to take an existing object and change it to the All – Obsolete policy.

Beta to Production – to take an object using a BETA policy and switch it to a Release state.

None – no action would be taken with the object.

The Requested Change attribute causes a change in the system in how data is stored, and this is handled by using one of two policies for any Engineering Change object (ECO, ECR, Deviation, or CMR). Older Engineering Change objects that were created before Release 5 will use a "Legacy" policy, while Engineering Change objects create in Release 5 will use a "Standard" policy. One place you see this is in the Policy field on a PowerView.

Requested Change with Create ECO

When you create an ECO from an ECR using a Legacy policy, new revisions of the objects on the ECR are created immediately and attached to the ECO.

When creating an ECO from an ECR using a Standard policy, only the current released revisions of the objects being revised are attached to the ECO. The new revisions are created during the Implement state in the ECO's lifecycle. Please note that if you have other eMatrix users doing implementation work with the new revisions on the ECO, you will need to assign yourself a task as the first order of an Implementation route, so you can assign ownership of the new revisions to your implementers.

Raw Materials System This section introduces changes in working with raw materials in eMatrix.

Specification Change Orders (SCOs) Eliminated

SCOs are no longer used with raw materials, in order to reduce the complexity of the process.

Pre-Approval and Confirmation Letters Use Owner

Both the Supplier Pre-Approval Letter and the Supplier Confirmation Letter will have a FROM field based on the raw material's owner, not the originator.

Co-Owners

Co-Owners can now delete files in the Content Section and delete records from Acceptance Requirements and Physical Properties tables.

Special Characters

The following special characters are allowed in descriptions, comments, and the Reason for Revision attribute, and cloning a specification with such characters will work: ('@,*?[]#${}\"<>|;!%&^)

Supplier Manufacturer Location

The supplier manufacturer location field now uses a semicolon (';') to separate lines instead of a comma (','). To insert a link break into the field, use a semicolon (';').

Automatically-Created Raw Material Coordinator Tasks

eMatrix creates Raw Material Coordinator tasks for the Internal Approval state automatically. This is based on the divisions listed in the Divisions/Suppliers section. You do not need to use the Route Wizard to create a route; users need to review and edit the approver list, then start the route to notify approvers.

Multiple Suppliers Selectable

When performing a search, you can select multiple suppliers on the General (Real Time) Search window. For more information on entering multiple search criteria for a logical OR, see The Preferences option is the General Preferences option on page 10.

End of Document Statement

The "End of Document" statement at the end of the SpecView is removed because it could cause confusion when files were included in the Content section which followed the statement.

Common Commands Easier to Access

To make eMatrix easier to use, common commands are now available on the toolbar as well as on the Actions menu.

General Search Results Include Additional Columns

The General (Real Time) Search will show additional columns when you search for a type of Raw Material Specification. The division, supplier, and location are all included.

More Division Button Hidden

The More Division button only shows when initially assigning TradeNames, Suppliers, Divisions, and Locations to a specification, now. When editing an existing assignment, the button does not show.

MSDS Information Section

The MSDS Information section now includes email addresses to enable Raw Material (RM) Suppliers to send the MSDS to 3M electronically. A sample MSDS Information section follows:

Approval Comments Attributes

When the approval comments attributes is set to "Yes", the Owner/Co-Owner can add or modify the Content section when the specification is at the Supplier Approval state.

Content Section

The Raw Material (RM) Suppliers can now access the Content Section of the specification at Supplier Approval or Release states.

Raw Material Administrators

When the approval comments attributes is set to "Yes", the Raw Material Administrator (RMA) can add or modify the Content section when the specification is at the Spec Group Review state.
