• New Staff• Restriction of Carry-Forward on Sub-Outs
– Please advise PI’s and fiscal managers to inform sub-out PIs of the intent to restrict carry-forward on amendments prior to sending Subaward/Amendment form to RGC. This will help eliminate an unpleasant reaction at the collaborating institution.

• Effort Reporting– The Jul10-Dec10 Effort Period closed on Monday,
February 14th.– 2,787 Employee Effort Statements were generated
by Oracle. These statements have been distributed out to the Department Effort Coordinators around campus.
– The deadline for statements to be returned is April 18th.

• Oracle Issues with the Jul10-Dec10 Effort Statements – Some individuals were assigned by Oracle to an
incorrect Primary Org to their statement.– This issue affected approximately 14% out of all the
statements generated.– Department Effort Coordinators need to check their
packets to be sure they received all the people the expected. If you are missing people, or have people you didn’t expect, please contact Amber Roberts at [email protected].

• Oracle Issues with the Jul10-Dec10 Effort Statements – For another small population of individuals, Oracle
included the 5 digit Foundation funds account string in addition to the 4 digit Foundation Clearing Fund on the ECS which skews the LD % calculation.
• Hand corrections will need to be done, removing the duplicating line (the 5 digit foundation fund line) and adjusting the percentages so that they are correct.
• Please run the Discoverer report (OGADW Employee Effort Report Distribution by Period) for any employees with ECS that have foundation accounts so that you are able to see the correct distributions. Please attach a print out of the report as backup to the corrections to the ECS.

• Oracle Issues with the Jul10-Dec10 Effort Statements – The SPA Institutional Effort Coordinator and
Information Systems group, as well as ITG are working on isolating what caused these two issues. They will be fixed before the statements for the Jan11-Dec11 effort period are generated.
– Unfortunately, re-running the effort statements is not an option available for this effort period.

ORIO, and IACUC- Primary objectives:
• enhance customer satisfaction with animal use program• help facilitate the work of IACUC, ORIO
- Specific objectives:• foster positive relations• enhance communication• educate scientific staff during lab visits• facilitate animal use to enhance the research enterprise

What is the ROP?• The Research HR team wanted to identify needs and
satisfaction regarding the workplace from the research ranked employees’ perspective.
• We wanted to find a way to fully connect with the research-ranked staff members in a meaningful way.
• We wanted to hear directly from them and be able to have a proactive and comprehensive plan for next fiscal year to 1) deliver what is most needed to our research-ranked staff member community and 2) stop the reactive approach to HR needs and issues for this population in Research and across OHSU.

What has been ROP’d in so far?• November - January, we conducted 16 focus groups (four
being at West Campus) with 91 randomly selected research-ranked employees.
• Based on the information gathered in those focus groups, we developed a comprehensive survey
• The survey was sent out to our 1651 researcher ranked employees across OHSU.
• We received 466 responses to this 30-minute survey – that is a 42% response rate.
• After we received the results from the survey, we analyzed the trends from the focus groups and the overall survey.

ROP Trends and Results• We heard praises from the research ranked staff members
regarding their work and job satisfaction, OHSU employee benefits as well as their PIs, lab manager or other managers that influenced their work.
• We heard that there was opportunity for change or improvement with regards to their work space, overall communication, inclusion and collaboration, availability of training and development, and that they would like their PIs/lab managers to have opportunities for leadership classes to better hone their people management skills.

ROP – Next Steps• We are currently sharing the results with leaders across
the Research enterprise, administration, as well as faculty and the research ranked employees. We are also taking in feedback and suggestions based on the outcomes.
• We hope to have one last update for you once we have determined what programs, offerings, changes, and additions we will add in FY 12 and 13 which should be very soon!
