What’s new with MAGELLAN?

• Monthly Activity Reports – GONE*• Quarterly MARS Reports – GONE• All cadet enrollments handled online• All adult enrollments begin online• Enrollment fees are online• Most training sign‐ups handled online• Updated unit metrics on demand• Recruiting referrals tracked online

Enrolling a New Recruit

• You must conduct an interview with the applicant and at least one parent!  [NSCC Regulations 0620.1, Admin Manual 0103.1]

– Make sure you fully explain the program’s requirements– Explain how our insurance program works – provide a copy of Info Letter 12‐12

– Your best chance to screen for kids who really shouldn’t be in our program for the following:

• “Mommy made me come”• Clearly immature (and little chance of getting better!)• Unwilling to commit to attendance, grooming, or physical fitnessrequirements [NSCC Regs 0631, 0633, 0634]

• Unsatisfactory academic or criminal background [NSCC Regs 0613 & 0614]

Enrolling a New Recruit

• Forms you get from the applicant/family:– NSCADM 001 p. 1/2 (Cadet Application)– NSCADM 001 p. 3/4 (Report of Medical History)– NSCADM 001 p. 5/6 (Report of Medical History)– Immunization Record– NSCADM 001 Page 7‐8 (Med History –Supplemental) (if needed)

– NSCADM001 Page 9‐10 (ADA Disability Request) (if needed)

NSCADM001 (Page 3/4)

• Medical History (ADM 001 p. 3/4) must be updated:– When a significant change happens

[Med Policies & Procedures Manual §2(C)(1)]

– Annually (either at re‐enrollment, or on a certain date) [Med Policies & Procedures Manual §2(B)(1)]

– Within 30 days of the beginning of each training [Med Policies & Procedures Manual §3(B)(1)(b)(1)]

• In a pinch, parent may indicate “No Changes”and re‐sign (and date) the form at the bottom.– New form required each year... do not abuse!

NSCADM001 (Page 5/6)

• Report of Medical Exam (ADM 001 p. 5/6) required upon enrollment

• Should be updated after injuries/illnesses/surgery– Concussions!!!

• Do not need to update each year if no major health changes– But, most cadets get a physical each year – why not update??

• An equivalent (“sports physical”) form can be substituted as long as it contains a “cleared for full participation in athletics”line and is signed by a provider.– Put the ADM 001 p. 5/6 on top and indicate “See Attached”

Establishing the Service Jacket

• Forms you need to create at enrollment:– NSCADM 008 (Administrative Remarks)– NSCADM 009 (Record of Cadet Advancement)– NSCADM 010 (Record of Awards)

• These, plus the NSCADM001, form the basis for a new cadet service jacket

Service Records - General Guidelines

• LESS IS MORE.  Do not waste your time (and contribute to deforestation) by adding needless extra paper into a cadet’s service record– Minimize use of Administrative Remarks– Pen & ink Record of Advancement & Awards

• Keep an advancement spreadsheet updated throughout the year… update your records before inspection and when the cadet leaves for RT/AT

Adult Service Jacket [Admin Manual 0206.1]

• Keep copies of all old medical history forms (ADM001 p. 3/4) and exams (AMD001 p. 5/6) in reverse chronological order at the bottom of the right side.– Include a copy of the cadet’s health insurance card.

• Remember to stamp U.S. NAVAL SEA CADET CORPS on any DOD/USN jackets or forms (e.g., old CNET correspondence course certificates) [Admin Manual 0106.1]

– New NSCC‐specific Service Jackets are available!

• During summer training season, coordinate with Training Officer before each drill, so you know which cadets need their records prepared and issued

Filing Enrollments with NHQ

• Collect the money from the parents– Make sure all paperwork is complete before cashing the check

– Recommend cashing the check to make sure it clears before entering into Magellan

• $60 per cadet goes to HQ• MAGELLAN procedures

Quitting/Graduation/Termination

• Cadets can withdraw at any time  [NSCC Regulations 1020.2]• Cadets can stay until 30 SEP after turning 18, but only with a 

waiver from NHQ and a partial‐year ID  [NSCC Regs 0611.1 & 1020.1, Admin Manual 0102.2]

• Unit CO’s can terminate for following causes:– Failure to maintain satisfactory grades in school  [NSCC Regulations 0632.2]– Failure to maintain 75% drill attendance  [NSCC Regulations 0633.1 & 1020.4]

• Lack of motivation  [NSCC Regulations 1020.4]– Misconduct  [NSCC Regulations 0630.1, 0630.2, & 1020.3]– Felony or misdemeanor conviction  [NSCC Regulations 0630.1]– Promiscuity  [NSCC Regulations 0630.3]– Sexual harassment or hazing  [NSCC Regulations 0630.4]– Alcohol/drug policy  [NSCC Regulations 0833.1]– Refusal to comply with uniform regs [NSCC Regulations 0631]

– Failure to meet Corps physical fitness standards  [NSCC Regulations 0634.1]

Separation

• Record of Advancement (NSCADM 009) is what certifies separated cadets for enlistment at advanced pay grades

• Must be signed in box 8 by the Commanding Officer upon separation with a recommendation...

• Upon separation:– Forward a copy of the NSCADM009 to NHQ– Provide the original to the cadet along with their service jacket– Retain a copy of the NSCADM009 until the cadet’s 24th birthday
