ABSENCE DATA COLLECTION OVERVIEW
To facilitate a smooth transition to Workday, data stewards have been asked for provide Carryover Balances and Accrual Exceptions to be loaded into Workday. The following information should be provided in DSP:
Absence Data Collection is required for 2 separate employee populations:
1. Workday Phase II Companies
2. USBL California and Doerle
Carryover Balances Accrual ExceptionsDefinition The remaining balance as of 12/31/2019
that an associate will carryover into 2020 if allowed by local policy. We will be asking for carryover amounts for vacation, sick, and floating holidays.
If an associate accrues on a different schedule than the normal schedule defined in the policy (typically as a result of negotiation at new hire), then we need to capture the annual amount the associate should accrue, and then the dates when the exception accrual began and will end.

ADMINISTRATION
California and Doerle exempt associates will begin requesting time off in Workday on Jan. 1, 2020. To ensure their records
are accurate in Workday, California and Doerle exempt associates should enter their time off (sick, vacation and floating
holiday) requests and absences timely, according to the table below:
USBL CALIFORNIA AND DOERLE
Until Dec. 31, 2019 Enter absence requests/usage for time taken or requested through the end of 2019 in your legacy system or through your normal local process.
Beginning Jan. 1, 2020 • Enter any time off taken but not recorded in legacy systems prior to year-end in Workday.
• Enter any absence or time off requests for Jan. 1 onwards in Workday.• Stop using legacy systems, processes for exempt time off requests and
reporting.
Late January Time off accruals (for exceptions) and carryover balances from 2019 will be visible to California and Doerle exempt associates in Workday.
Example 2An exempt associate takes vacation from Dec. 25 through Jan. 3. A time-off request should be made in the legacy system for Dec. 25-31, and an additional time-off request should be submitted in Workday for Jan. 1-3 any time after Jan. 1
Example 1An exempt associate plans on taking vacation from Jan. 10 through Jan. 15. The associate submit the time-off request in Workday any time after Jan. 1.
