Slide 32 Role of the Lodge Theres more to it than just patches Ahoalan-Nachpikin Lodge LLD 2014 Slide 33 Purpose of the Lodge To recognize those campers -- Scouts and Scouters -- who best exemplify the Scout Oath and Law in their daily lives, and by such recognition cause other campers to conduct themselves in such manner as to warrant recognition. To develop and maintain camping traditions and spirit. To promote Scout camping, which reaches its greatest effectiveness as a part of the unit's camping program, both year-round and in the summer camp, as directed by the camping committee of the council. To crystallize the Scout habit of helpfulness into a life purpose of leadership in cheerful service to others Slide 34 Mission of the Lodge The mission of the Ahoalan-Nachpikin Lodge is to achieve the purpose of the Order of the Arrow as an integral part of the Boy Scouts of America in the Chickasaw Council through positive youth leadership under the guidance of selected capable adults. Understanding my Position, Understanding my Role Ahoalan-Nachpikin Lodge LLD 2014 Slide 38 How the Lodge worksor doesnt It is essential that everyone understands and fulfills the duties of his or her role in the Lodge True for both officers, Chapter Chiefs, committee chairmen, and advisers It is also important for each person to understand the role of the other officers of the Lodge Understand what you need to do, understand why it is important, make a plan to do it, do it! Slide 39 Officer Positions There are five officers of the Lodge 1. Lodge Chief, Adam Carr 2. Vice Chief of Administration, Cole Ettingoff 3. Vice Chief of Finance, Will Borah 4. Vice Chief of Activities, John Johnson 5. Vice Chief of Inductions, Hunter Ferris Slide 40 Lodge Chief, Adam Carr 1. Oversee and be ultimately responsible for all Lodge operations and events. 2. Serve on the Lodge Key Three, along with the Lodge Adviser and the Staff Adviser. 3. Oversee and supervise all vice chiefs and committees. 4. Represent the Lodge on the Council Executive Board. 5. Represent the Lodge on the Section level, including being present at or having a representative at Section Council of Chiefs Meetings. Slide 41 Lodge Chief, Adam Carr 6. Coordinate, along with the Special Events Committee, efforts of the lodge to send members to national-level programs and training events, including but not limited to: NOAC, ArrowCorps5-type programs, and Trail Crew programs. 7. Oversee, with the assistance of the Chapter Committee Chief, all chapters, ensuring that each has the proper resources to effectively carry out its tasks. 8. Act as a medium for communication between adults and advisers and the youth of the Lodge. 9. Preside over regularly-scheduled Lodge Executive Committee Meetings (6 or more per year). 10. Set and prepare an agenda for each Lodge Executive Committee meeting. Slide 42 Vice Chief Administration, Cole Ettingoff 1. Coordinate all event registrations at Lodge events; this includes preparation before, coordination during, and following-up after an event. 2. Publish the annual Planbook by March and publish The Dancing Bear, the lodge newsletter, on a regular basis. 3. Coordinate and update the Lodgemaster database program and maintain all lodge records. 4. Maintain paper-based and computer-based records. 5. Responsible for producing and working with the Council Office to print all necessary paperwork and forms. Slide 43 Vice Chief Administration, Cole Ettingoff 6. Coordinate Doubleknot registration and keep all online portals fully up to date, including the website, Facebook, etc. 7. Work with the Vice Chief of Finance to coordinate and organize payment of dues and other financial record- keeping aspects. 8. Take minutes at Lodge Executive Committee meetings and distribute copies before meeting for review. 9. Print and distribute agendas for Lodge Executive Committee meetings. 10. Produce and ensure the distribution of Ordeal Information materials at Callouts and at Camporees. Slide 44 Vice Chief Finance, Will Borah 1. Oversee all finances of the Lodge. 2. Collect dues from members wishing to remain active members; assist with Re-charter. 3. Coordinate any potential fundraising efforts of the Lodge. 4. Prepare a Lodge budget and ensure that it is followed. 5. Approve or deny lodge purchase requests. 6. Develop a check requisition form and handle check requisitions as approved by the LEC. Slide 45 Vice Chief of Finance, Will Borah 7. Collect money and provide receipts for transactions at registration at Lodge events. 8. Oversee and coordinate all operations of the Trading Post, including merchandising. 9. Keep an up-to-date inventory of all lodge merchandise in the Trading Post. 10. Keep an up-to-date inventory of all lodge-owned items. 11. Oversee the coordination of the Lodge Annual Awards Banquet. 12. Oversee the Lodge Historical Project, a collection of pictures, patches, and memorabilia from the Lodge. Slide 46 Vice Chief Activities, John Johnson 1. Responsible for forming schedules for all events. 2. Coordinate and plan all aspects of program for all lodge activities. 3. Plan and effectively carry out all lodge training initiatives; assist with Lodge Leadership Development initiatives. 4. Coordinate and plan all service projects of the Lodge; this includes working with advisers, chairmen, and camp rangers to coordinate various projects. 5. Plan and assist in the execution of special events/service projects, e.g. ServiceCorps initiatives. Slide 47 Vice Chief of Activities, John Johnson 6. Train all Elangomats and coordinate Elangomat activities at Ordeals; oversee all Elangomats. 7. Provide detailed service project guidelines to participants. 8. Coordinate tools for projects; this includes acquiring, distributing, and collecting tools. 9. Coordinate menus for all lodge events with the Cook Crew. 10. Coordinate Vespers service at all Lodge events. Slide 48 Vice Chief of Inductions, Hunter Ferris 1. Oversees all aspects of the Induction Process 2. Assists Chapter Chiefs with Unit Elections training. 3. Oversees all training of the Lodge. Does not oversee the training of new officers. 4. Oversees aspects of the Ordeal Weekend that are not the actual Ordeal. I.E., Activities before the Pre-Ordeal Ceremony and after the Ordeal. 5. Coordinates all service of the Lodge. Coordinates Commissioners Corps and Commissioners at Ordeals. Oversee and coordinate regular chapter meetings at an advertised time and place. Have activities planned and information about upcoming Lodge events. 2. Work with the District Executive to coordinate unit elections for every troop wanting an election in every district of your chapter. 3. Conduct or coordinate a team to conduct unit elections in every troop wanting one. 4. Be aware of upcoming OA, council, and district programs. Slide 51 Chapter Chiefs 5. Hold at least 6 chapter meetings per year; one per month is a good goal. 6. Lead chapter at Lodge events and competitions. 7. Facilitate an active local OA program (troops in a district or area). 8. Hold one special, chapter-only event during the year. 9. Work with the Lodge Chief when he needs volunteers! Slide 52 Lodge Committees Lodge Committees and Officers to whom they report. Slide 53 Lodge Chief Committees Vigil Committee Reports to: Lodge Chief Organizes and coordinates all efforts of the Vigil Committee, including overseeing the nomination and selection process of Vigil candidates. With adviser, oversees and coordinates all aspects of the Vigil call-out and ceremony. Conclave Chief (host year) Reports to: Lodge Chief Responsible for planning, coordinating and executing Conclave during Lodge host years. Responsible for coordinating and forming ad hoc committees to perform and accomplish necessary tasks in preparation for Conclave. Slide 54 Administration Committees First Aid and Safety Responsible for having first aid supplies and running a First Aid Station at all Lodge events Responsible for overseeing the collection of health forms at Ordeals Responsible for knowing about any special medical issues or needs Slide 55 Administration Committees, Cont. LodgeMaster Committee Reports to: Vice Chief of Administration Responsible for all electronic record keeping of the Lodge. Responsible for helping run registration at events and provide reports to be given to officers when asked to do so. Responsible for giving quarterly updates on Brotherhood Conversion Percentage, New Ordeal Membership, and current Lodge Membership. Updates will be made on Chairmans own time, and are expected to be presented at LECs. Slide 56 Administration Committees, Cont. Historical Committee Reports to: Vice Chief of Administration Responsible for being knowledgeable about current Lodge History, including brief overviews of Koi Hatachi and Chickasah. Responsible for keeping record through the use of media of events that will be used on the website and other online and printed publications. Responsible for working with the Banquet & Honors Chairman and Vice Chief of Administration to provide media or reports when requested. Slide 57 Activities Committees Dance and Drum Committee Reports to: Vice Chief of Activities Coordinates the incorporation of American Indian elements such as drumming into Lodge ceremonies. Responsible for Lodge drums and American Indian elements. Responsible for promoting American Indian dancing of all types and encouraging members to build regalia, become involved in dancing, and competing in powwows, at Conclave, and at NOAC. Slide 58 Activities Committees, Cont. Conclave Delegation Committee Reports to: Vice Chief of Activities Develops a theme for Conclave; coordinates thematic elements and develops merchandise for event. Promotes and coordinates transportation and attendance efforts of the Lodge to that years Conclave. Slide 59 Activities Committees, Cont. Mobile Camp Committee Reports to: Vice Chief of Activities Responsible for extra cheerful Kia Kima Scout Reservation outreach through the use of extra service provided by the Order. Responsible for running the Mobile Camp program for the council. This includes running basic scout skill demonstrations similar to those demonstrated in Trailblazers at Kia Kima. Responsible for keeping track of the Commissioner Corps, and recognizing those eligible for the award at Banquet. Slide 60 Finance Committees Merchandise/Trading Post Committee Reports to: Vice Chief of Finance Responsible for all merchandising operations of the lodge, including designing and ordering new merchandise as needed/wanted and keeping track of all lodge merchandise. Responsible for running the Lodge Trading Post at all events and coordinating the sale of Lodge merchandise at Summer Camp. Banquet and Honors Committee Reports to: Vice Chief of Finance Responsible for planning the banquet, securing a location for the banquet, and organizing provisions for the annual banquet. Responsible for promoting the event and putting on a well- orchestrated event. Responsible for securing recognitions from the preceding year. Slide 61 Inductions Committees Ordeal Committee Reports to: Vice Chief of Inductions Responsible for coordinating all aspects of the Ordeal, including working with the Ceremonies teams, the Vice Chief of Activities for scheduling, and the Vice Chief of Unit Elections/Camping Promotions for general planning. Responsible for working with the Service Committee to coordinate service projects for the Ordeals. Brotherhood Committee Reports to: Vice Chief of Inductions Responsible for coordinating Brotherhood conversion efforts, including contacting Ordeal members on a regular basis. Responsible for ensuring ample opportunity for Brotherhood conversion is available at Lodge events and at Summer Camp. Conducting Brotherhood class and walk Slide 62 Inductions Committees, Cont. Ceremonies Committee Reports to: Vice Chief of Inductions Responsible for all ceremonies of the lodge: Pre-Ordeal, Ordeal, and Brotherhood. (Vigil ceremony is responsibility of Vigil Committee) Responsible for facilitating all ceremonies at events and at Summer Camp. Responsible for keeping track of regalia and all lodge ceremonies-related gear. Responsible for training ceremonies teams and ensuring that team members are sharp and on-time for all ceremonies. Slide 63 Expected or Wanted of Everyone 1. Attend all Lodge events throughout the year, including all of the LEC meetings. 2. Participate in one OA Summer Program (High adventure). 3. WORK ON KIA KIMA SCOUT RESERVATION SUMMER CAMP STAFF. (REQUIRED) 4. Undying appreciation of and adherence to the Scout Oath, Scout Law, and to the Obligation of the Order of the Arrow. 5. Appreciation of the ideals of Scouting. Slide 64 Slide 65 Section and National Slide 66 Section We are in Section SR-6 (Southern Region-6) Made up of nine lodges from all of Tennessee, Kentucky and part of Mississippi Ahoalan-Nachpikin, Chicksa, Ittawamba, Kawida, Wa-Hi-Nasa, Pellissippi, Sequoyah, Talidandaganu, Nguttitehen Every year one lodge hosts Section Conclave. This year Chicksa is hosting at Camp Yocana. The next time we host is in 2016 At the end of Conclave we elect new Section officers Section Chief: Matt Brown (new Chief will be elected at CoC) Section Vice Chief: Aaron Shepherd Section Secretary: Jerry McKensie Slide 67 Section (cont.) There are also Section Committee Chairmen that are appointed by the Section Chief (Publications, QUEST, Ceremonies, etc) that are responsible for different areas at Conclave and throughout the year Council of Chiefs is like our LEC meetings, except on a Section Level Voting members: Every lodge chief, the three section officers, and the immediate past Section Chief (if he is still under 21) There are two CoC a year to plan Conclave. Lodge Chief, Conclave Chairman, and one or two Vice Chiefs attend Slide 68 National Every December the Section Chiefs go to the December Planning Meeting in Dallas to plan the year. There they elect 6 National Officers: National Chief, National Vice Chief, and the 4 Region Chiefs. National Chief: Nick Dannemiller National Vice Chief: Taylor Bobrow Southern Region Chief: Wesley Seaman Oversee different functions of the Order at a National level Can only serve one term as a National Officer. The Keys to Delegation Ahoalan-Nachpikin Lodge LLD 2014 Slide 87 What is Delegation? Merriam-Webster will define delegation as such: 1: the act of empowering; to act for another 2: a group of persons chosen to represent others Slide 88 What does this mean? You cant do everything by yourself, and we, as a lodge, do not expect you do everything. Thus, you will need help. It is imperative that you do your jobs to the best of your abilities, because if one of you cannot participate in a program, and set no delegate, there is no one to pick up the slack. Leaving us to do your job while also juggling our own. Slide 89 What does this mean? Quite simply, it means two (2) things. First, you need have a committee. You are not a committee of one. You are a committee chairman In this committee, you must assign certain people specific jobs. These specialized members are at your disposal, doing whatever you may need them to do. They are there to do the jobs you may not be able to perform during an event. Such as doing registration, making sure the clan commissioners are busy, or conducting ceremonies. Slide 90 What does this mean? Secondly, delegation infers that you will have a replacement at an event. If you are unable to attend, you must (and it is more imperative that you do this) set someone to do your job. If you are Vice Chief of Admin., and cannot attend an event, and no one knows how to run registration besides you, this event is not going to go well. YOU MUST HAVE A REPLACEMENT!!! Slide 91 How to Delegate within a Committee Firstly, and most importantly, you must have a committee filled with people that are able to perform the jobs that you need done. These people are specialized for a reason, they are not people you wouldnt trust. The best people for a committee are the ones who are seasoned in the Order of the Arrow, but is not limited to the LEC. Slide 92 How to Delegate within a Committee Delegation from there would include the important items included within an event. They would not be worthless tasks as Official Garbage Collector. A task that would be delegated would be: Ceremonies, Cooks, Merchandise, Printing, Patch Design, or any other task that would need completing. NOTE: THIS DOESNOT MEAN YOU DO NOT DO ANYTHING DURING THE EVENT. IN THE END, IT IS YOUR JOB TO MAKE SURE THAT THESE OTHER JOBS ARE COMPLETED. Slide 93 Delegating S.M.A.R.T The job you designate to a committee member would be Specific. No one wants to get a job description like, Rake Leaves. No one is going to rake all the leaves from Kia Kima, let alone Currier. The job would tell me when, where, how, and why. Secondly the job must be Measurable. This is allow the person to know when theyre done. An example of this is, I need 500 copies of the Planbooks for Ordeal. Not just, I need Planbooks. Slide 94 Delegating S.M.A.R.T The next thing we as a committee need are Achievable & Realistic goals. These are goals that are going to be done before or at the event. An A&R goal would be asking a person to find Clan 9 at Ordeal. An un-A&R goal would be, Hey, I need Clan 9 to build a bridge to Narnia in 10 minutes and it has to be done with only trees that are in oaken nature from the western part of Texas along the Arizona border. Oh, and the trees must be albino. Slide 95 Things wrong with that statement Narnia only exists in England Oaken Nature is not a real phrase Arizona and Texas do not touch, let alone have a border Albino trees. Need I say more. Slide 96 Delegating S.M.A.R.T Finally the tasks must be Time Bound, meaning that they must be completed or able to be completed before the end of the event. These are planned ahead of time (Backdating; which will be covered later), and will require some of the most work. If all the steps are done, the event should run relatively smoothly. Slide 97 Support & Checking Up The support list is a vital part of the process. If you cannot contact your committee, how are you going to make sure the jobs are getting done? This bring up the next and final point, checking up on your committee. Slide 98 Support & Checking Up Checking up on your committee is a must. Your committee members have other commitments other than just the Order of the Arrow, most of us are in school, play sports / band, or have a girlfriend. We dont always remember what you assigned us. You, as the head of the committee must make sure that we are reminded constantly so that you dont look bad when it comes time to fulfill the job. Because in the long run, its your job. Slide 99 The Task at Hand: Examples of Delegation The Ordeal Scenario: Youre the Ordeal Chairman. Jobs you have to do: Registration, Doubleknot, Wristbands, Dues Forms, Name Tags, Kia Kima / Currier Maps, Copy of Schedule for Lodge Members, Membership Cards, Lodgemaster, Pens, Receipt Book, Budget Sheet, Camp Reservations, Elangomats Secured, Elangomat T-shirts, Elangomat Handbooks, Clans divided, Spirit of the Arrow Booklets, Work Projects, Tools for Work Projects, Menu, Food List, Secure Food Items, Check w/ Dennis re: Kitchen, Service Patrol for Cleanup, Bags for Breakfast/Lunch for Ordeal, Flag Ceremony, Movie, Chapel Service, LEC Agenda, First Aid Station, Supplies (FA), Health Log (FA), Emergency Plan (FA), Kia Kima Display, High Adventure Promotion, NOAC Promotion, Project 2013 Promotion, Ceremonies Teams Confirmed, Outfits secured, Sashes Secured, Sites selected, Site Prep Crew, Props secured, Torches and Fuel, Brotherhood Teams, Outfits secured, Sashes secured, Site selection, Site Prep Crew, Membership Cards, Brotherhood Spirit of the Arrow Books, Props Secured, Torches and Fuel, Brotherhood Review, Brotherhood hike, Lodge Flaps, All other Lodge Merchandise, Accounting procedure, Recognition items, Inventory Sheets completed, Plan books, Lodge Flaps, Membership Cards, Teamwork Event / Games, Handbooks. Slide 100 The Task at Hand: Examples of Delegation 1. Form a Committee 2. Delegate within the Committee 3. Check-Off jobs that are covered by other individuals 4. Check-Up to make sure jobs are getting done 5. Perform Slide 101 The Task at Hand: Examples of Delegation Jobs after this process: Elangomats Secured, Elangomat Handbooks, Elangomat T-shirts, Clans Divided, Spirit of the Arrow Booklets. Your work load went from 238 items to 5. Delegation at its finest. Delegation can make or break an event. Slide 102 Ordeal Structure Ahoalan-Nachpikin Lodge LLD 2014 Slide 103 What is Ordeal? Ordeal is our first opportunity as a Lodge to meet our new brothers, but it is also the most crucial point of our Lodges future. The Lodge Chief could meet and greet every single new member, but if the event did not run as well, the hope is lost. The vets of the OA are not the only ones who notice when events are run poorly. Slide 104 How Do We Fix This? The most successful way of preventing this is backdating. This allows us as a Lodge to prepare for the worst. Murphys Law is the most common killer of Lodge events. And most, if not all problems could have been solved before the actual event started. Slide 105 What is Backdating? Merriam-Websters definition: to put a date earlier than the actual one on; to make retroactive Simply, you plan. You plan an event starting a month before to six months. It is personal preference and depends on the significance of the event. Backdating will also be covered a little more in depth later today Slide 106 Whose Job Is It? Ordeal? Its OUR job. Ordeal is run at different points by different people. This is where delegation comes into play. Without delegation, Ordeal would be a complete headache for the Ordeal Chairman. But luckily, he has a team behind him to get the job done. Slide 107 The Ordeal And You Your relationship to Ordeal matters mainly on your position in the Lodge. Rarely will you receive a job you have never done or are not already accustomed to, this is to make your life easier during the Ordeal and also the life of the Ordeal Chairman. Ex.: If you are Service Chair, it is your job to get Service Projects. Slide 108 Starting the Planning Process The first thing you do in any planning process of an event is first make a schedule. Ordeal runs Friday Sunday on a weekend in May and September. The schedule needs to be set in stone three (3) months before the event. The planning should start before or around this time also, meaning that committee members should be assigned jobs. Slide 109 Whats My Role?
